Program Information Guidelines
PROGRAMINFORMATIONGUIDELINES
V2.0
Thisdocumentdetailstheguidelinesforsubmissionofprogrammaterial.Thestagemanageris
responsibleforbothconveyingrelevantinformationtoallconcerned(cast,crew,director,etc.)
andforthesubmittalofthecompiledinformationtothedepartmentspublicist.
I.DEADLINE.
Thespecifieddeadlineforprograminformationisafirmdeadline.Postdeadline,requeststo
addorchangethesubmittedmaterialwillnotbeaccommodatedunlessdrasticand
unanticipatedchangesshouldbemadetothecast/crew.Suchexceptionswillrequirethe
approvalofeithertheTechnicalDirectorortheDirectorofProduction.Allprograminformation
isdueatthedeadline.(Pleaseseebelowforalistofitemsthatshouldbeincluded.)Please
makethestringencyofthedeadlineabsolutelyperspicuoustoeveryonewhowillbe
contributingmaterialtotheprogram.
II.SUBMITTINGPROGRAMINFORMATION:Content&Format
1. AllprogrammaterialmustbereceivedinONEdocument(henceforthreferredtoas
Document).PleasesendasingleMicrosoftWord(orequivalent)documentthat
includesalloftheinformationyouaresubmitting.Donotsendinformationpiecemeal.
2. Allprogrammaterialisdefinedasallandeverywordand/orimageyouwouldlike
printedintheprogram.Thisincludes,butisnotlimitedto:
a. biosforstudentcast,crew,anddesigners
b. biosforALLperformersincludingthosewhoarenotstudents
c. directorsnote
d. dramaturgesnote/dramaturgicalinformation
e. directorsnotesofthanks
f.
alistingofallcharactersandtheircorrespondingactorsnames
g. alistingofallcrewandtheircorrespondingrolesintheproduction
h. alltime/scenesettinginformationyouwouldlikeprinted(suchasActI:1928,
Brooklyn)
i.
allcaveats(suchasStrobelightswillbeused)
j.
runningtimeoftheproductionandanyintermissioninformation
3. AllprograminformationshouldbelistedinDocumentintheorderyouwouldliketo
appear.Forexample,ifyouwouldliketheDirectorsNoteprintedinthefinalprogram
beforetheDramaturgsnote,itshouldappearintheDocumentinthatorder.

4. CastandCrewshouldbelistedintheorderyouwouldlikethemtoappearinthe
program.(Randomorderoflistingisunacceptable.)Forexample,ifyouwouldlikethe
casttobelistedinorderofappearance,listthemassuchinDocument.
k. FYI:CastandCrewlistsshouldbetwoseparatelists.

FYI:Crewmembersaretypicallylistedalphabetically;contrastingly,castlistscan
be(1)arrangedaccordingtoorderofappearance,(2)alphabetically,or(3)in
whatevermannerthedirectorprefers.
5. Biosshouldbealphabetizedbylastname.ItisnotnecessarytoseparatetheCastbios
fromtheCrew/Designerbios.
6. Biosshouldappearinthefollowingformat,listingnamefirst,thencharacterorcrew
positioninparenthesis:
JaneDoe(LadyMacBeth)isaseniormajoringinTAPS
or
JohnDoe(lightboardoperator)isajuniormajoringin
7. Beforesubmittingthefinaldocument,itisadvisedthatyoucirculateadraftcopy
amongstthecastandcrew.Thiswouldbetheonlyopportunityforthecastandcrewto
prooftheirsubmissions;oncethedeadlinehaspassed,theywillnotbeabletomake
changesoraddtotheirbios.
III.BIOGRAPHIES
Pleasebesuretoconveythefollowinginformationtothosewhowillbesubmittingabio:
1. ForStanfordSummerTheater,biosshouldbesubmittedforallcast,crew,and
designers.
2. Allbioswiththeexceptionofthedirectorsmustbe50wordsorless.Bios
consistingofmorethan50wordswillbeeliminatedfromtheprogram,ortruncated
indiscriminately.Thedirectorsbiohasnowordlimit.
3. BiosmayNOTincludeThankYous,jokes,orhumorousinaccuracies(Asin,ifanactor
isnotMichaelCrawford,heshouldnotwritethathestarredastheoriginalPhantom
intheOLCofPhantomoftheOpera).Biotextshouldbeasprofessionalandrelevantas
possible.
4. InaccordancewithMLAguidelines,alltitlesshouldbeitalicized.
IV.OTHERREGULATIONS
1. TheDirectorsNotehasnowordlimit.
2. Thedramaturgicalnotehasnowordlimit.

3. Additionalphotosordiagramsthatyouwouldliketoincludeintheprogrammustbe
discussedwellinadvanceofanydeadline.
4. Pleasemakesurethatthedirectorhasreviewedthematerialsforsubmissionpriorto
submission.
5. Programmaterialmustbesubmittedthroughoneperson,only:thestagemanager.
Othersinvolvedintheproductionshouldnotsubmitprograminformationthemselves.
V.PROOFINGTHEPROGRAM
Uponcompletionofadraftoftheprogram,theStageManagerwillreceiveacopyforreview.It
isadvisedthattheStageManagerandtheDirectorexclusivelyreviewthedraftofthe
program,toavoidconfusionandexcessiveinput,sinceasstatedabovenomajorchangesor
additionscanbemadepostdeadline.
Adeadlineforcorrectionstothedraftwillbesetwhenthedraftissenttothestagemanager.
Missingthisdeadlinewilllikelymeanthattheprogramswillgotoprintasis.
