Online Conversation

Its time for this important moment in your Rio

2016 Volunteer Journey: You will have the
opportunity to Know your pre-allocated
Functional Area (International Relations, Services
and Protocol) and talk directly to the ISP team
members. Find out below how this stage will
work.

STEP

Through which programme will the online conversation take

place, and what do I need to take part?
Your online conversation will be conducted using WebEx, an online
tool created by Cisco, a Rio 2016 Olympic Games Official Supporter.
WebEx facilitates meetings and conversations through the internet.
You will need to participate:
A computer, tablet or mobile phone
A internet connection,
A microphone
A loudspeakers
A webcam

STEP

How will I join the online conversation on my scheduled

day?
After scheduling your online conversation on the Volunteer Portal,
you will receive, no later than one day before the scheduled date, an
email from centrodeselecao@rio2016.com with details your session
and the link to access WebEx. So remember to frequently check your
email inbox and junk folder.

On the day of your online conversation, access the email you

received with the details of your session and click on JOIN
MEETING.
Please note that you will only be able to access your session at the
time you have scheduled.

STEP

When you click on JOIN MEETING you will see the screen below.

Remember that you will only be able to access your session at the
scheduled time.

STEP

After clicking on the JOIN button, select the RUN A TEMPORARY

APPLICATION option.

To help make it easier: WebEx does not need to be installed on your

computer.

After clicking on RUN A TEMPORARY APPLICATION, a message

box will appear, asking if you want to execute the file.
Click on EXECUTE.

After clicking on EXECUTE, this icon below will appear in the

footer of your browser page.

By clicking on the icon, you will enter the conversation room.

STEP

Thats it! At this moment, you will already be participating in your

online conversation.
After all, we need to know whether you can hear us and we can hear
you.
Click on MORE > CALL USING COMPUTER and then TEST COMPUTER
AUDIO.

However, to ensure that everything is working perfectly, you will need

to check that your audio and microphone are functioning.

To test your audio, click

on SPEAKER TEST
To test your microphone, click
on MICROPHONE TEST.
At the end of the test, click on OK. Remember that to take part in
the meeting, both must be enabled!

Now you are going to start your online conversation.

STEP

At the end of the session, you wont need to do anything. Just

wait for the message below to appear:

Seems hard, doesnt it?! But stay calm, because when you enter
WebEx youll see that its very simple to use.
Before we finish, check out these last recommendations:

Remember that you will only be able to participate in the

online conversation at the scheduled time and day! If you try
to join before it has been initiated or after it has been
closed, unfortunately you wont be able to.
If your connection drops during your conversation, just click
on the initial link received in your email.
If the conversations connection drops, wait for the
reconnection and click once again on your sessions link.
One week after your online conversation, you will receive an
email confirming the success of your participation.
