During our client visit on 2nd of May, we were able to talk to


two people from the accounting department (Ishwar and
Mike) and one person from the civil department (Sultan) in
order to gain knowledge by asking questions with regards to
their communication issues, their key tasks and roles, and
how the department operates.

This meeting was generally about the progress of our project


and how we can improve about our knowledge of the
business to further enhance our communications policy.
- A weekly progress report needs to be submitted to
Sam every Wednesday
- Project will be mainly focusing in the SDU department

schedule on that. We are able to parallelise this task and reviewing the business which we

The SDU Manager, Ajit, trained us on how to use the


SimPRO software. The training further assisted us to gain
more understanding on how they log their jobs/tasks and
keep it up-to-date. This also gave us a chance to explore
and became more knowledgeable on how to utilise the
software itself.

The meeting was all about the simPRO training with Ajit
and the communications policy that we submitted last
week. With the communications policy, we were asked to
send it to the department managers for approval. Then,
for the training, we gave him an update of how it went

what plans are we undertaking in the next few
weeks/months.

The Communications Policy draft was sent to the


department managers for reviewing purposes and to be
able to gather feedbacks and improve the quality or add
more informations to the content if needed. At the
moment, we are still awaiting for their response. We also
set a meeting with them next Monday, 16/05/2016 to
discuss about the policy and see if they are happy with it
or if we have to make any changes.

As of now, we have already gained a broader


understanding of the simPRO software. However, we

think that more hands on practice is needed to be able to


ensure that we have fully familiarised the software.

We spent several nights looking at the data on simPRO and


exported multiple days worth of data. We found that the
SDU date currently on simPRO is not usable because it is not
kept up-to-date the same way as MDU data. As a result it is
missing status updates and frequently a due (commit) date
both of which are necessary to analyse trends.
We are instead taking data from ETA Direct because that is
actively kept up-to-date and has a repository of data so we
are able to start data mining immediately. Though data is
only relevant to Visionstream jobs, Ajit said the process for
completing the job remains the same whether it comes from

UCG or Visionstream and therefore any trends should remain


the same for both parties. He also explained why data on
simPRO is not kept up-to-date regarding status changes and
it is because he would have to double-up on data entry on
both ETA Direct and simPRO which he does not have time to
do.

We are waiting on Matt, Asim and Ajit to provide feedback


on the policy draft. We had a meeting planned with them
for Monday (16th) but due to their workload they were not
able to provide us with the time for a meeting. Once we
receive feedback (which will hopefully be by the end of the
week) we can finalise the policy.

Data mining/analysis

We have reached the point where we can start performing


data analysis on data pulled from ETA Direct. We will be
looking at 3 months worth of data from start of March 2016
to end of May 2016. We want to write scripts to automate
as much of the process as possible and present our findings
through meaningful graphs. ETA Direct requires us to export
.csv files for each individual technician so that process

cannot be automated.
Mid-project review

AUT have a planned mid-project review which we need to


prepare for. This will require some time and we will be busy
with that for several days. We will ideally have the
necessary documents ready by the end of the week so as to
not take up too much time and can therefore get back to
working on the project.

impossible due to their workload and availability. Once

We are having an issue with regards to our


communication policy as we have only gotten feedback
with two employees. We found that it is very hard to
communicate with the employees and even set up a
meeting with them when we are there as they are very
busy during our visit on a Monday. Seng advised us if we
are able to come in the afternoon or after lunch but we
still need to have a meeting with Sam about this and with
regards to our change of plans with the project.
