Health and Safety Policies and Procedures

New Employee Induction (office work)

1. Introduction
Even though [COMPANY NAME] operate in a low risk environment, it is essential that new
employees, work placements, etc. are given an overview of the risk to their health and safety.
This is to include an explanation of the potential risks along with the control measures in place.

2. Procedure

2.1 Induction delivery


The health and safety induction session will be conducted on the morning of the first
day at the company. The responsibility for induction rests with the manager responsible
for bringing the new person into the premises.
All induction sessions must be accompanied by a sign-off sheet confirming that it has
taken place and a copy of this must be passed to [INSERT NAME] for records and filing.
A copy of the sign-off sheet is given in this procedure.
It is recommended that this health and safety induction training forms part of the first
day general induction which may also cover the company structure, aims and
philosophies, site layout, smoking arrangements, HR requirements, etc.

2.2 Induction content


The health and safety element of the induction sessions shall be:

1. Fire safety
Location of the emergency exits.
Routine weekly soundings of fire alarm.
Action to take for non-routine soundings of the fire alarm.
Action to take on discovering a fire.
Location of fire extinguishers and manual alarm points.

2. DSE (see DSE procedure)


As part of the induction, conduct a DSE Assessment for their workstation.

3. Facilities
Location of WCs , canteen, etc.

4. Accidents (See Accident Management procedure).

Location of first aid equipment
Identification and location of the Appointed Person
Who to report accidents to

5. General
Location of trolley, etc. to aid in handling of archive boxes, etc. Detail on
other handling risks.
Who to report fire and H&S issues to.
Location of chemical store and instructions to keep out (unless job is
specifically a cleaner).
Location of chemical data sheets.
Slips, trips, etc. - esp cables in the office.
Any other key risks arising from the risk assessments.
