Instructions for Document 547 Project Closeout Report

Please go to the CECorps website to make sure that you are using the most current version of
this document.

This document presents a final report for a Community Engineering Corps (CECorps) project.
This document should be prepared by the Project Team once all project requirements have been
fulfilled, in accordance with CECorps policies and the 544 Engineering Services Agreement
signed by the Project Team and the community; or, it should be completed if a project is being
terminated for any reason. Each section of the report must be complete, unless otherwise noted.

This document should be submitted to CECsubmittals@ewb-usa.org within 30 days of the


completion of project activities.

PART A. Administrative Information

1.0 Contact Information


Fill in the table completely with updated contact information for current project leaders. This
information will be used by CECorps staff to contact your Project Team, if necessary. For items
1.1 and 1.2, please provide comprehensive information on the number of students (if applicable)
and professionals involved over the life of the project, as well as the number of total hours
contributed by both groups.

2.0 Project Completion Status


Choose the appropriate statement about the status of the project. If the project has only been
partially completed, according to the terms of the 544 Engineering Services Agreement, or was
never fully realized for any reason, please elaborate on the what occurred in Part B, Section 2.0.

3.0 Completed Work Product


Indicate whether or not the required project documents were delivered to both CECorps staff
and/or the partner community. The 543 Work Plan, 544 Engineering Services Agreement, and
546 Design Report should have been submitted to both entities. If any document was not
submitted, please elaborate on why in the space provided.

4.0 Project Deliverable


Indicate what type of final work product was delivered to the community. If Other, please
elaborate in the space provided.

PART B. Technical Information

1.0 Project Background


Provide a brief description of the entire project, including the partner community, other
partnering organizations, the work that was carried out on behalf of the community, any site
visits that your team took to the community, a summary of the analysis and design work done,
and the anticipated outcome of the project. (Generally 300 words or less.)
2.0 Reason for Closing the Project
Provide a brief explanation why the project is being closed. If the Project Team has fulfilled the
544 Engineering Services Agreement, then the explanation can simply state that fact. If the
project has stopped before fulfilling the 544 Engineering Services Agreement, or if the project
was ended for any other reason as outlined in Part A, Section 2.0, then additional explanation
should be provided for why the project is being closed. For example, if the Project Team was
never able to reach agreement with the community on a work plan, then the situation should be
described. (Generally 100 words or less.)

3.0 Lessons Learned from the Project


CECorps strives to be a learning organization. To this end, we would like your Project Team to
list lessons learned from your project that could potentially help future Project Teams or
CECorps staff be more productive or avoid mistakes.

4.0 Description of Final Work Product


Please provide detailed information on the final work product that was submitted to the
community, as specified in Part A, Section 4.0.

5.0 Project Impact


Sections 5.1-5.3 ask for more information on how the project has impacted the communitys
quality of life and their capacity to fulfill their basic needs as well as the projects sustainability.
Include information on what the communitys next steps are for using the work product (e.g.
soliciting a contractor, pursuing grant funds, etc) as well as how they anticipate sustaining the
project moving forward.

6.0 Project Funding


Please give a best estimate of the monies spent on travel, equipment rental, meetings, other
assessment and design activities, project materials and project construction labor by your Project
Team.

7.0 Partnering Organization and/or Community Contact Information


Please provide the most recent contact information for the partner organization/NGO and/or
community contacts that your Project Team has been directly working with on this project.

8.0 Educational/Training Materials


Please describe and attach any educational or training materials that your Project Team left with
the community for their use in continued operation or maintenance of the facilities. If there were
no materials left, please state that.

9.0 Responsible Engineer in Charge (REIC) Assessment


This section should only be completed by the REIC, stating their name, their assessment of the
project execution and support of its closure, and their attestation that they have the appropriate
licensure to sign off on the work being completed.

10.0 Photographs (optional)


We strongly encourage your Project Team to share photos so that we can highlight your project
on our website and in other promotional materials. If you have any photographs to share from
your project, please contact cecsubmittals@ewb-usa.org for the appropriate link to upload them.
Please do not email them directly as attachments as photos require significant storage space and
will likely be rejected by email servers due to size restrictions.

PART C. Community Acknowledgement of Project Closure

Please have the main community contacts responsible for the project to complete this form.
Include the signed form with the full 547 Project Closeout Report.
