Instructions

When a new folder is created, a new folder number must be assigned using the Folder numbering key
This ensures similar files and folders are located together or alongside each other.

TO ALLOCATE A NEW FOLDER NUMBER


Step 1 Check that a folder doesnt already exist (NB. Check the Folder numbering key next tab over)
Step 2 Once you've established you need a new folder, select the Leading category that is most appropriate
Step 3 Work out the best Sub-category for the folder
Step 4 Double check one does not already exist in the Third tier
Step 5 Add a new line below the last Third tier and use the next consecutive number
Step 6 Enter the new folder into the Folder and file register
Step 7 Write the new folder number on the Create new folder form

TO ALLOCATE A FILE NUMBER


Step 1 Determine that a file number is actually needed (Records management policy)
Step 2 Find the correct Folder number where the file should exist (e.g. 1.B.2. for Policies and procedures)
This forms the first part of the file number
Step 3 Filter the Folder and file register by Folder number and see what the last number allocated to a file was
Step 4 Create the record for the new number file using the next consecutive number
