Our primary objective is to monitor our Vehicle fleet and its performance on a per
Trip basis, and derive the required inputs to Incentivize the Drivers.
Journey Plan
1 On a per Trip basis our Journey planners should be able to prepare the
Journey Plan for each of our Drivers/Vehicles with the following parameters:
a Indicative Distance in kms as per the coordinates entered on the Map
by the Journey Manager or destination coordinates fetched from
Central Ordering Helplines database (for Concrete/Cement products),
or destination coordinates from Transport request raised by staf
(pick-up and drop) using the web /mobile interface.
b Automatic Route plan to be generated based on the coordinates
entered on the map.
c Approximate Drive time for the route planned
d Expected Idle time (engine ON) (required for some kind of vehicles)
e Expected Stop time (engine OFF) at location
2 Printed as Journey Plan must also show the latest Fuel consumption average
of the vehicle (which will be updated by our in-house Workshop).
3 Journey Manager can enter an exception to fuel consumption in a diferent
field along with reason for the change allowed for a particular trip based on
Terrain/Traffic or any other conditions. Default value in exception field should
be same as the Vehicles approved average by ATE Workshop Team which
means there should be an interface where Workshop will update the Vehicle
Maintenance data.
4 Method of calculating the Vehicle Maintenance Cost and apportioning to
drivers is provided towards the end of this document.
10 Maximum technology enabling for Minimizing manual data entry is one of the
key element of this project. We need to explore the use of RFID key tag to
select the Vehicle and Identify drivers etc., encoding of pre-determined routes
and provision to edit when there is a need to modify route etc.,

11 Planned Vehicle Maintenance and usage wear and tear will be mostly on
account of the Vehicle Running. A small portion of it would be due to non-
usage for a long time. Hence the Total Maintenance Charge of the vehicle on
a monthly basis should be proportionately assigned to each driver who used
that vehicle. Hence, standard formula would be to take the total drive time
recorded against all the drivers who used a particular vehicle in a month, and
take the total maintenance cost of the vehicle or plant for the month and
then apportion the cost to each driver based on the actual driving hours.
12 Breakdown Maintenance costs must show separately still as a ratio of the
drive hours. However whether to use the Breakdown maintenance for
calculation is something that we will have to deliberate upon.

13 Fuel Consumption actual must be based on the Vehicle Refueling and the
quantity of fuel filled into the vehicles from time to time. Process and Method
may be proposed by the vendor.
