Clubhouse Reservation Definitions/Policies

THE GREENS AT SEVEN OAKS HOMEOWNERS ASSOCIATION


CLUBHOUSE RESERVATION POLICY

DEFINITIONS:

1. Resident Event: A scheduled event, hosted by a registered Greens group for


attendance by Greens residents and guests.

2. Resident /Private Party: A party hosted by a resident(s), which would include


non-residents/guests in attendance. The total number of persons at a Resident
Private Party cannot exceed the posted Fire Department Occupancy Code. The
White oak Clubhouse will comfortably accommodate 125 and 70 at the Ridge
Oak Clubhouse.

3. Bereavement or Memorial Gathering: Same as #2 above.

4. Social Committee Event: An on-site social event sponsored by the Greens


Social Committee for all residents of the Greens, only, with the following
exceptions:

a. A single resident (unmarried, divorced, widowed) may invite one (1) non-
resident guest to accompany him or her. This guest will be counted as a Greens
resident.

b. If space is available after the deadline for reservations, non-resident


houseguests, age 18 and over, may be invited to an event by a resident who has
a confirmed reservation. Greens residents have priority over houseguests.
Before bringing a houseguest, resident must first contact Social Committee
Reservation person to inquire about available openings. If there is a charge
for the event, resident will be held financially responsible for guest(s).

Ninety percent (90%) of attendees MUST BE Greens Residents.

POLICIES:

1. Only residents of the Greens are permitted to reserve a clubhouse. Either


Ridge Oak or White Oak Clubhouses may be reserved, but not both for the same
date.

2. Residents are limited to no more than two (2) events per year for “resident

private parties”. Additional Parties can be held, if approved by the Board of
Directors.

3. All reservations must be made through the Management Company and are
processed on a “first come”, “first served” basis.

4. The Board of Directors reserves the right to approve or deny any reservation
request.

5. Reservation requests cannot be confirmed until February 1st of the year of the
event. The Management Company can accept a reservation request in January,
but until the Social Committee schedules its events for the year, no resident
events may be confirmed.

6. A reservation is NOT confirmed until the resident submits the signed


application and contract, accompanied by any applicable fees, deposits and
Certificate of Insurance. The Management Company will send a confirmation
letter to the resident.

7. Refunds will be processed with 21 days after the date of the event.

8. The Clubhouses are intended for social events and may not be used for
political rallies, fund raising, product promotion and sales or religious
services or any other commercial use.

9. The Clubhouses may be used for a resident memorial gathering. No fees are
payable except the refundable $350 security deposit.

10. All events will comply with the City of Bakersfield Fire Department Occupancy
Code.

11. Reservations will be noted in the Greens monthly activity calendar and
posted on the bulletin board in each Clubhouse. If an event is scheduled such
that it cannot be included in the monthly activity calendar, a notice will be posted
at the Clubhouse entry, advising residents of the reservation.

12. Events are to end no later than 10:00 p.m. All clean up must be completed by
11:00 p.m., or within three (3) hours of the end of the event, whichever occurs
first, unless otherwise approved in advance by the Management Company, who
will notify the security company.

13. No portion of the Clubhouses maybe reserved for any “resident private party”
on the following holidays:

New Year’s Eve and Day, Martin Luther King Day, Valentine’s Day

President’s Day, St. Patrick’s Day, Easter Sunday

Mother’s Day, Memorial Day, Father’s Day

Independence Day, Halloween, Veteran’s Day

Thanksgiving, Christmas Eve, Christmas Day

Residents may use the Clubhouses on any of these days. A Registered Greens
Group may reserve one of the Clubhouses on any of these days.

14. At a Resident Private Party, playing pool, use of the exercise room and
library is strictly prohibited. The pool table must have the hard covers installed by
a member of the Clubhouse Committee. The pool table may not be moved under
any circumstances.

15. Amplifiers are not allowed outdoors. No use of dance wax on floors. Tacks,
tape, etc. are NOT to be used on walls, wall hangings, or furniture in the
Clubhouses or pool enclosures.

16. The Clubhouses are for the use of the members who are current with
Association dues. The Board of Directors may restrict the use of the Clubhouses
for violations of the Association’s governing documents, delinquent assessments,
or deliberate abuse of the Clubhouses, recreational facilities or common areas.

17. Late Evening Event – Security will visit the Clubhouse at 10:00 p.m. to
ensure the event is closing or closed.

If the resident has contracted for breakdown and cleaning, the custodial service
will arrive at 10:30 p.m. All persons must leave the facility at that time. If the
resident has not contracted for breakdown and cleaning, they should make
arrangements (see #12) to finish all necessary work by 11:00 p.m., at which time
Security will return to the Clubhouse to set the alarm and lock the building.

18. A temporary gate code for the White Oak gate may be obtained from the
management company for resident private parties. The regular gate code must
not be given out.

19. For dining groups of 70 or fewer, resident may reserve specific rooms at
Ridge Oak Clubhouse, i.e.:

a. The kitchen, card room, great room, craft room or any combination thereof.

b. The TV room may be reserved for standing cocktails and hors d’oeuvres.

c. The TV room may not be set with tables for dining.

d. The library and the fitness room may not be reserved or used.

INELIGIBLE USAGE:

1. An event where the primary purpose is the consumption of alcoholic


beverages. Wine tasting functions are accepted.

2. Any event where the guest list is comprised of people primarily under the age
of 21.

3. Any event with outdoor amplified music.

4. Company parties.

ALCOHOLIC BEVERAGES MAY NOT BE SOLD IN EITHER CLUBHOUSE


UNDER ANY CIRCUMSTANCES.
