Welcome and Roll Call


Mike Gavin called the meeting to order at 2:03pm ET welcomed all in
attendance. Roll Call was taken. Motion to adopt the Minutes of the April 7 th call,
Peter Navesky, seconded Les Boatright.

Poster Showcase Call for Entries Now Open


New this year the Poster Showcase is open for everyone. There will be two
Divisions, Competitive and Non-Competitive Divisions.
Participants can enter the Poster Showcase by submitting an abstract to Julie
Husk by Friday, June 16th at 5:00pm ET. Details and the Poster Showcase
Guidance can found on our conference website at

abstracts/
Participants in the Competitive Division will elect to be in one of the following
categories: Student (undergraduate or graduate), Academic or Practitioner.
Participants in this Division will present their Poster to a group of evaluators who
will determine if they have met the requirements of a gold, silver or bronze
standard from IAEM. More than one participant in any category can receive a
gold, silver and bronze standard. Participants are competing against a standard
and not each other.
Participants in the Non-Competitive Division will not be evaluated by IAEM at the
Annual Conference but will display their Poster for all conference attendees to
view their research and findings.
Participants in both Divisions will be available for a special Poster Showcase
presentation session for all conference attendees during the end of lunch on
Tuesday, November 14th at the annual conference.

EMvision Talks Call for Speakers


The Call for Speakers for the EMvision Talks deadline is May 26th at 5:00pm ET.
All the information including the link for submitting your Talk can be found on the
conference website at https://iaemconference.info/2017/speakers-2/emvision-
talks/. This page also includes all the benefits and responsibilities of being a
speaker in the EMvision Talks.
The Speaker Guidance for the Talks can be found in a link on this page. We
strongly encourage all interested speakers to review the Guidance prior to

submitting their Talk. The Guidance contains all the requirements and tips for a
qualified submission.
The EMvision Talks will be live on the plenary stage on Tuesday, November 14 th.
The working group will select the top 5 7 speakers.
All selected speakers will receive $200 off their full conference registration fee.
o Action: Please promote to your respective constituents within your
Region/Committee/Caucus.

Conference Hotel Information


We have four hotels with IAEM room blocks. Our headquarters hotel is the
Westin. Could can find all the lodging information on our website at
https://iaemconference.info/2017/lodging-3/lodging/. Rooms are filling up so
make your reservations soon.

Working Groups
The Conference Committee has several working groups that help plan various
activities at the conference. All members are encouraged to help in the planning
of at least one working group. Anyone who has not volunteered yet should send
Julie an email with his or her interest.
o Hospitality This working group meets on the third Wednesday of every
month at 12:00pm ET. Our next meeting date is May 17 th. We are finalizing
the details for three fantastic tours for Saturday, November 11th at the
annual conference. The three tours are as follows: A water tour onboard
a boat of the Port of Long Beach, a tour of the Disney EOC at Disneyland
and a tour of global operations at Disney Global Studios in Burbank. We
will be reaching out to all on the Conference Committee who will be
attending the annual conference as well as others to be Ambassadors at
the conference. New this year, we will be asking Ambassadors to sign up
for designated time slots and locations in high traffic areas to welcome
attendees and answer questions. Our goal is to make everyone feel
welcomed and a part of the IAEM Community. Tenia Duncan is planning
the tours and activities for the Spouse Program. They will meet on
Monday Wednesday during the breakout session time slots.
o EMvision Talks The Call for Speakers is currently open and will close on
May 26th at 5:00pm ET. This Working Group will meet on May 24th at
3:00pm to discuss the review process for the submissions received.
o Poster Showcase Our next meeting date is on Monday, June 26th at
10:00am. This is after the Call for abstracts closes on the 16 th and we will
begin the review process to select those who will participate in the Poster
Showcase at the IAEM Annual Conference.
o Newsletter Peter Perez is working on second edition of Newsletter. He
hopes to have a draft of it to Julie by the end of next week.
o Leadership Symposium The next meeting date for the Leadership
Symposium working group will be on May 16th. This working group is
looking for objectives the symposium. The Naval Post Graduate School is
still planning on sponsoring this symposium.

o Conference Evaluations This working group is tasked with creating
incentives to get attendees to complete the conference and speaker
evaluation forms from the conference. Even though we have a large
attendance at our annual conference we only receive around 200 300
evaluations from the attendees. We receive very few evaluations for the
speakers. We want feedback from the conference to improve it every year
and we want to provide feedback to our speakers. The first call will be
held in the summer. A doodle poll will be sent out for a convenient
available date for all. If you are interested in be a part of this working
group, please email Julie.

IAEM Webinars from the 2016 Conference Speakers


Sharon Kelly our IAEM membership manager and registrar for the conference
would like our help in facilitating a member benefit. She is asking us for a list of
fantastic speakers who presented well at the 2016 Annual Conference. The
speakers will be asked to present in an IAEM webinar of their presentation at the
past conference.
The Final Speaker Selection Working also gave a list of five speakers who
submitted great presentations but did not make it on our conference program for
potential webinars.
The Digital Engagement Committee will be putting on these webinars for IAEM.
o Action: Please send Julie a list of names for those speakers you saw at
the conference you feel would be great in taking part in the IAEM speaker
webinar series.

Other Business
Please send pictures of past disaster incidents that occurred in your vicinity that
we could use in a slide show during the opening ceremonies. Julie will send a
Google Drive for uploading of all pictures.
Our program is almost finalized. This year we have more breakouts than in the
past several years. We have planned over 70 breakouts at the annual
conference.
IAEM is conducting member training interest survey. The email went out
yesterday. We are gauging members interest in pre/post-conference training, the
costs associated with the training and members attendance at the annual

If you have read or heard of a great book on emergency management, please let
us know the title and author so we can have it in our Bookstore at the Annual
Conference.

Next Meeting Date The next meeting date is Friday, June 2nd at 2:00pm ET.

Summary and Adjourn Mike thanked everyone for being on the call. There
being no further business, the meeting was adjourned at 2:47pm.
