Clearances and Confirmations
Equipment
Below is the request form for the equipment I wished to hire from the department.
This equipment involved 1 tripod, 2 lamp lights and a dolly. I already have a tripod in
my possession as well as my own camera. I am sourcing 2 other cameras from peers
who have already given them to me, ensuring they are ready to be used when
required.
Crew/Actors
To ensure my crew/actors are available on the shooting days, I have contacted
them beforehand to make sure the dates are fine and for them to keep the date
free so no one drops out last minute. I have also contacted backup crew members
to check their availability on the day because if any unfortunate events occur to the
original crew causing their absence, I will have people ready to come on set if need
be.
My first attempt at contacting the crew was through email, however, as you can see
below, only 1 member replied.
This meant the recipients were not checking their emails, leading me to go
through an informal method of contacting them being Facebook as this is a
site they are all more likely to check than their emails.
As seen above, all the crew members have accepted the dates and will be
attending the shoot.
Contingency Plan
Actors/Crew
To prevent the chances of an issue occurring in the first place, I did have in mind to
keep a limited amount of people within the video as this would prevent the chances
of people dropping out last minute etc. The reason as to why I have kept this in mind
is due to previous incidences where people havent been trustworthy and reliable. In
the end, my idea resulted in only having one actor anyway in the production which
is going to be performed by myself. As it is my production which I myself am
directing and will be giving directions to others, I have not organised a backup for
myself as I physically need to be there otherwise I will fail the project.
On the day of the shoot for the music video, if my original crew members have
major difficulties in attending, I have prepared a secondary crew who will be taking
the places of those who have not arrived. If my camera operator Joe Maine is
unable to get on set, I am able to call upon Jamie Filby who is a camera operator
just as skilled that would be able to successfully replace him on set. If my makeup/fx
artist and sound controller Annie Callaway is unable to make it to the shoot, I have
Jenna Marie who is of equal talents to replace Annie on set.
It is important I have created backup for the crew members as they are essentially
the legs to the production, so if one was unable to attend and I didnt have a
backup, the production would simply not be creatable.
Locations
For my music video, I have made the Photography Studio 1 the location for the
entire production. In order to make sure there isnt any problems with utilising this
room when it comes to the shoot days, I have pre-discussed and booked its use with
the owners, meaning it should be available to shoot in when I require it. If by any
chance I am unable to use it, I have made sure that one of the other photography
studios on site will be available to use. Although the other studios are smaller and will
be harder to work in, the backdrop of the video would be hard to achieve
elsewhere making it essential to use one of the spare rooms.
It is important for me to have back up locations as getting the team together all on
the same dates is a hard task in itself, therefore, not having a place to shoot when
everyone is together complicates and delays the situation further. Having a backup
location means even if the original location is unavailable, the whole team is still
able to work towards a final production just in a different location, and not just waste
the day.
Equipment
To reduce the chances of issues occurring with the equipment, I have filled in an
equipment application form which books what I will be needing days in advance. If
other individuals have not bought back equipment that I would be using, I will have
to utilise other equipment that suffice the same purpose or maybe even change
some shots in the music video to compensate. If the lighting equipment isnt
available, I will have to use the lighting equipment that is available in the
photography studio already and manipulate those to my needs, however, using this
equipment may restrict what I am able to achieve visually.
