Concert Procedures

Alcohol Training

You are required to attend alcohol distribution training. You may be required to attend an additional
training depending on the location that you work.
You must be current on your training(check your card for expiration date). If you do not have your card
and we do not have a copy on file please consider retaking the class.
All IDs must be checked every time someone purchases alcohol.
Each person purchasing an alcoholic beverage must be present at the time of purchase. There is only one
beverage at a time allowed per person.
If someone does not have an ID, you must call the Alcohol Compliance Officer to certify them(no matter
the age).
If anyone is cited for not following proper alcohol procedures they will be removed from future concerts
without warning. If they choose to be retrained, the group will decide if they are willing to allow you to
return.
Consumption of alcohol by workers is prohibited while on Xfinity property.
You must be 18 years of age to dispense alcoholic beverages. Locations in which food is not served
requires you to be 21 years of age(Jacks Bar or the Pub).
Signup Genius

Concert signups will be e-mailed to all registered volunteers through a website called SignUp Genius. If
you do not already have an account with SignUp Genius, you will need to register online at
www.signupgenius.com
Signups will be announced in five sessions(May ,June, July, August, September). SignUp Genius is the only
permitted way to sign up. Each person is responsible to sign themselves up. If you are having difficulty or
need assistance please contact the Concert Assistant-Christine Cotas for help.
When registering an account for SignUp genius only one email address per family is permitted
During the first week of sign up postings, volunteers will be limited to a specific number of volunteer spots
per family per athlete.
After sign ups have been posted for approximately 1 week, any remaining openings will be opened and
additional spots will be available.
We must fill every spot, this is not optional. For us to work this its all or nothing. If we cannot fill spots
Xfinity will take back a location. Generally the most sought after.
SignUp genius will be a record of all workers and referred to when it is time to pay out each person.
SignUp genius will be left open for 24 hours after each concert for pre-approved corrections such as last
minute fill- ins or emergencies. Once the 24 hour period is up, changes cannot be made. If you worked
but did not sign up you will not be paid out. If you sign up and do not show up you will be removed from
future concerts.
Dress Code

Pants must be black. Shorts and capris are permitted but shorts must be bermuda length. Yoga pants and
leggings are not permitted.
No open toe shoes
Hats or visors are required for working in the concession building.
Xfinity will provide a shirt. There are no exceptions. This shirt must be returned prior to leaving each
concert. Each shirt will be numbered to keep track. You will be charged for your shirt if it is not returned
at the end of the concert.
If you are not in compliance with the dress code you will be asked to leave without reimbursement.
Day of Concert

You will be notified on sign up genius the time of arrival. We understand that it is sometimes difficult to
make the check in time. Please let Stacie Fallon know if you have an issue. You must make every effort to
be on time.
You will have one location to check in upon arrival.
You must sign in when you arrive. You will be penalized for intentional late arrival. You will be penalized
for tardiness as follows: 10% first incident-30% second incident-50% third incident. There will be a
standard traffic allowance arrival depending on the particular concert and traffic updates. It is to your
benefit to be diligent and plan ahead. There is traffic in Waterbury and Hartford during the week.
3 late arrivals may put you on the reserve list(everyone must share in the setup if you wish to share in the
pay out).
Everyone is expected to pitch in and help all of our clean up. If you are done early you must check in with
others to see if they need your help. Again, the payout is pooled, equal work for equal pay.
All locations need to be stocked and inventory counted both at the beginning and end of the shift(profit is
on product sold so it is very important to be careful). Watch for all transfers of products. A manager will
be appointed to each location
You must be extremely careful with making change, shortages are subtracted from our profit.
All changes should be communicated via email in advance. Please do not text or inbox any requests for
changes. Direct questions are permitted on the facebook group page only.
Each stand will have a designated manager. All questions, staffing issues and contact with Legends should
go through the stand manager to prevent duplication of effort.
Any rule violations reported to us by Xfinity will be addressed within 24 hours. Xfinity has final say. We
will not dispute any violations reported by Xfinity and you may be removed from future concerts.

Cancellations

PLEASE just dont do it!!!


Cancellations are simply unacceptable and there will be penalties related to cancelling, including the loss
of up to 50$ in Booster Club funds. A substitution with approved members will be allowed.
Cancellations within 5 days of the concert will be considered within the penalty period. 5 days prior to
the concert signups will be locked for changes and you must send an e-mail through signup genius to the
booster club to make any changes on your sign up.
If you cancel within the penalty period 2 times, you will be removed from future concerts and put on a
reserve list. This is to prevent last minute scrambling to fill spots.
No shows will receive written notice. They will be removed from all of the concerts for the rest of the
month, lose that months funds and be in jeopardy of not being allowed to sign up for future events
including pail shakes.
Cancellations hurt everyone. If we need to work understaffed we not only risk losing a spot but it also
puts extra stress on the people who fulfilled their commitment.
Funds Raised

Xfinity pays us a % of product sold plus tip.


Product sold is calculated from beginning and ending inventory. Once again, be very careful counting and
recording spoilages.
We will average the income over the concerts. This is to be fair to everyone. Unfortunately, some
concerts seem to have a bigger draw than others, but we need to fill all spots for every concert.
All concert monies earned(including tips) will be pooled and shared equally among workers. Travel
concerts(e.g. Saratoga) will be pooled separately.
Following worked concerts, volunteers will be e-mailed to verify worked concerts and shares earned.
Volunteers will have 3 days to respond with any questions or revisions. Please make sure to review these
in a timely manner.
Monies earned will be held in Naugatucks Booster Account. Authorization of spending monies will follow
the 2016-2017 Wildcat Booster Club Rules and Guidelines and will be transferred to the gym directly
toward tuition, competition fees, and uniform costs.
Due to the greater pooling of concert earnings as well as the complicated nature of allotting shares to
each athletes family, actual concert monies will not be reconciled until the end of the concert season in
October. In lieu of knowing actual monies earned, each account will be assigned 100$ credit per concert
share. In October, accounts will be credited with outstanding remaining monies earned. Each person
working will have 2$ per person per concert deducted to cover our insurance premium.
Due to the payment cycle with Xfinity, volunteers should not expect funds to be available from worked
concerts until the month of July, although we will make all efforts to get funds as soon as possible.
Note by signing the booster club or Xfinity contract-I agree to abide by all procedures.
