CHAPTER I
The Problem and Its Scope
INTRODUCTION
The Negros Oriental State University Guihulngan Campus was
established to promote education in accordance w/ the Philosophy furtherance of
the cause of the students, to assist him in becoming the man to be who can
grow, into an adult & be able to build a better word. It is one of the branches of
Negros Oriental State University Located at Kadre, Poblacion Guihulngan City
Negros Oriental. This was created to provide a prepared learning environment
that responds to the needs of characteristics of particular development period to
satisfy the childs inner need to work and create the whole person he is to
become. It was also built to develop him into a well-balanced being in all areas
physically, intellectually, emotionally, socially and spiritually.
Negros Oriental State University Guihulngan Campus uses the manual
type of cashiering system for so long. In this connection, the researchers
proposed the computer-based system to help school improve its cashiering
system and to became more efficient to the students in enrolling, not also for the
students but also to the administration.

Statement of the Problem
In this modern age, Negros Oriental State University Guihulngan Campus
is still practicing the manual system of cashiering. It resulted to a very time
consuming process of issuing, calculating collecting and recording of students
information and fees they paid and keeping records accounts of students is not
safe and hard to find when need it, lost of data will probably the huge effect.
Manual cashiering was not just cashiers burden but also to students that lead to
the decrease of the number of enrollees. Manual cashiering system was done
using a calculator that sometimes causes an error. At the end of the day the
cashier will have to summarize the total collection they had that consumes too
much time.
Here are the present problems of Negros Oriental State University of using
manual cashiering system:
1. Speed in processing manual cashiering system tends to be slow.
2. Computation errors that could consume time than it should.
3. Loss of students accounts.
4. Time consuming.

Objectives of the Study
The main objective of this study is to design and develop a LAN Based
cashiering system in the Negros ORiental State University-Guihulngan Campus
to address to make their recording fast, easy, updated and accurate. Likewise
accounting data becomes efficient with minimal accounting errors, to increase
cashiering productivity. To address cash verification and receivable are being
tracked accurately.

Significance of the Study
Since Negros Oriental State University has been using manual cashiering
system, the purpose of this propose system is to make the cashiering system of
NORSU- Guihulngan cope up with the ever-growing number of students and to
minimize the errors using manual system. Through this system, the students can
easily trace on what they have paid because the fees will display in times that
they will check their balance. And make the student accounts secure and a
reliable one.

Scope and Limitations
The Standards of the proposed system include computing, storing, saving,
the secure payment and service. It provides an exact calculation of payments
and eliminates manual process of calculating and recording the student
information and fees they paid. The proposed system will focus only on the
cashiering system of Negros Oriental State University-Guihulngan Campus.
After several interviews and observations the researchers have come to
identify how the LAN Based cashiering system works. The aim of the research is
to provide a liable specific school, Negros Oriental State University,
The system can only do the following:
1. Add, save, delete and update the students account for admin only
2. Compute the summarized of total collections of the tuition and other fees.
3. Record the amount that was paid of the students.
4. Secure the students accounts.
5. Increase speed and transaction to be done.

CHAPTER II
REVIEW OF RELATED LITERATURES AND STUDIES
RELATED LITERATURE
The review of related literature in this research is grouped into four main
sections.Section 1 reviews literature that discusses the factors that influence the
length of time customers spend in checkout lines and how these factors affect
customers shopping preferences. Section 2 reviews literature on how queuing
theory and waiting line techniques help store managers minimize the amount of
time customers spend in checkout lines. Section 3 reviews the literature on the
factors that influence the decision-making processes of managers in their effort
to choose between increasing the number of cashier checkout stations and
replacing them with electronic self-checkout systems. Finally, Section 4
summarizes the major factors that contribute to longer than expected waits in
checkout lines and methods of queuing/waiting techniques that help managers in
their decision-making processes. Factors that Influence the Length of Time
Customers Spend Waiting in Line the researcher defines total checkout service
time as the time from when a customer is ready for services and enters or joins
the queue until when the customer receives service and obtains the receipt for
payment of goods purchased. A wait for service is defined as the time that a
customer is ready to receive service until the time the service commences

(Taylor 1994). The length of time this service takes varies from situation to
situation and from store to store. Studies indicate
That the causes and effects of these situations are numerous and are analyzed
based on their varied circumstances. A shopper feels that he or she is in charge
when shopping or making selections of items to be purchased. The shopper
starts to feel the loss of control of his time at the point of joining the queue to pay
for purchases. Consumers expect store management to have in place an
adequate checkout system to expedite checkout processes. Customers who
cannot immediately access a server experience a costly wait if they choose to
stay or not to stay in line (Kocas, 2000). The traditional approach, especially in
the operations research literature, has been to treat this wait time to be of
economic nature. Baker (1986) equates the value of time to its opportunity cost.
A typical assessment of opportunity cost is the wage rate, which suggests a
linear economic cost to waiting time. Normally, consumers naturally tend to react
with psychological feelings when confronted with situations beyond their control.
When consumers wait in line in grocery stores, they experience unpleasant
feelings due to the fact that they, psychologically, feel restricted and do not have
much control over the time they have to wait to be checked out.

RELATED STUDIES
Shop Management System (SMS) is a software application to be
developed to manage most of the activities or tasks running in a boutique shop.
This system has divided to three main modules that are cashier and stock
management, supplier information management and generating report, and
fingerprint authentication and staff management. The system module covered in
this document is the cashier and stock management module. Cashier function is
designed to handle normal daily sales transaction while stock management will
manage stock information such generating barcode and tracing stock availability.
The design of cashier functionality will refer to the existing system to meet the
non-nal requirements of the shop to handle business transaction and some7
enhancement will apply in this project such as the interface and the components
design. For the stock management, SMS will provide the barcode system to
identify each type of stock and the barcode will be generated by the SMS itself.
For reliability issue, authenticated user will able to modify the stock information
as needed such as pricing, discounting rate or editing other information. Stock
information included important information such as pricing, quantity, discount,
description and others to act as the reference for the user on management. The
main feature in this module is focused on how the application using the type of
stock and other information to generating barcode to identify the stock. User will

need to fill the require information as the input such as type of stock into the
system and the system able to generate the identifier code for the stock itself.
This feature can help user not to wasting time on how to generate a systematic
code to identify the stock in their shop and it provides an efficiency way to tracing
the stock by the barcode system. Besides, other features such as cashier in this
module are common functions that needed in shop management which will
provided in SMS as well.

CHAPTER III
THEORETICAL BACKGROUND
Queuing Theory
Queuing theory deals with one of the most unpleasant experiences of life,
waiting. Queuing is quite common in many fields, for example, in telephone
exchange, in a supermarket, at a petrol station, at computer systems, etc. The
telephone exchange was first mentioned because the first problems of queueing
theory were raised by calls by Erlang. He was the first who treated congestion
problems in the beginning of 20th century.His works inspired engineers,
mathematicians to deal with queueing problems using probabilistic methods.
Queueing theory became a field of applied probability and many of its results
have been used in operations research, computer science, telecommunication,
traffic engineering, and reliability theory, just to mention some. It should be
emphasized that is a living branch of science where the experts publish a lot of
papers and books. The easiest way is to verify this statement one should use the
Google Scholar for queueing related items. A Queueing Theory Homepage has
been created where readers are informed about relevant sources, for example
books, softwares, conferences, journals, etc.
There is only a few books and lectures notes published in Hungarian
language, would mention the work of Gyrfi and Pli [33], Jereb and Telek

[43],Kleinrock[48],Lakatosand Szeidl , Telek [55] and Sztrik [84, 83, 82, 81].
However, it should be noted that the Hungarian engineers and mathematicians
have effectively contributed to the research and applications. First of all we have
to mention Lajos Takcs who wrote his pioneer and famous book about queueing
theory [88]. Other researchers are J. Tomk, M. Arat, L.Gyrfi, A. Benczr, L.
Lakatos, L. Szeidl, L.Jereb, M. Telek, J. Br, T. Do and J.Sztrik. The Library of
Faculty of Informatics, University of Debrecen, Hungary offer valuable collection
of queueing and performance modeling related books in English, and Russian,
too. I may draw your attention to the books of Takagi [85, 86, 87] where a rich
collection of references is provided.Performance Measures of Queuing Systems
is to characterize a queueing system we have to identify the probabilistic
properties of the incoming flow of requests, service times and service disciplines.
The arrival process can be characterized by the distribution of the interarrival
times of the customers, denotedby A (t), that isA (t) = P (interarrival time < t):
In queueing theory these interarrival times are usually assumed to be
independent and identically distributed random variables.

Hidden Markov Model
Hidden Markov Model (HMM) is a statistical Markov model in which the
system being modeled is assumed to be a Markov process with unobserved
(hidden) states. A HMM can be considered the simplest dynamic Bayesian
network. The mathematics behind the HMM was developed by L. E. Baum and
coworkers.[1][2][3][4][5] It is closely related to an earlier work on optimal
nonlinear filtering problem (stochastic processes) by Ruslan L. Stratonovich,[6]
who was the first to describe the forward-backward procedure.
In simpler Markov models (like a Markov chain), the state is directly visible
to the observer, and therefore the state transition probabilities are the only
parameters. In a hidden Markov model, the state is not directly visible, but output,
dependent on the state, is visible. Each state has a probability distribution over
the possible output tokens. Therefore the sequence of tokens generated by an
HMM gives some information about the sequence of states. Note that the
adjective 'hidden' refers to the state sequence through which the model passes,
not to the parameters of the model; the model is still referred to as a 'hidden'
Markov model even if these parameters are known exactly.

back to the process and then finally the output.
Input Stage, includes the information that requires the Admin and the user
to input in Order to enter into the System specifically the username and
password. Another is that the systems requires inputs in creating student account
and registration, updating students, updating and adding fees, and can manage
courses.
Process Part; control the System that processes the transaction done by
the admin and user, which is the Cashiering System A LAN Based tool for
NORSU-G Campus.
Storage section is where the data information processed by the systems
that are done by the user is being placed, ready to be retrieved from the
database.

Figure 2.1 to 2.6 shows the System Architecture of the Cashiering System
A LAN Based tool for NORSU-G Campus. If the Administration will Access the
system, he will be directed to the administrator interface. Fig 2.1 to 2.6 shows the
administrators view of the system. Administrator of the system has all the access
to the system such as; Home, Register, Search, Fees, Courses. The Register
shows the student information to input Email Address, Contact Number and then
save.
On the other hand, search shows the user of the system including the
Admin, in which it can view the college Department, View user or Student
amount paid, input amount and check the balance. The courses that can manage
courses, add courses, input course details, edit and delete course. Finally, the
inventory that shows that total money of the day.

Fig.4 shows the model that the researchers followed from the start until
the implementation of the System. It begins in the gathering of requirements and
analysis. The researchers conducted an interview in the Cashiers Office to
assemble the necessary information in constructing the system just as how the
office expects it to be. Sharing of ideas and opinions between the researchers
and the office worker took place during the meeting of the requirements for the
said system, whether such requirements could be valid and passible to be
included in the system to be developed. User friendly interface, fast searching of
records of transactions, big capacity of storage, reliable and secure, thus, the
system should have a security password.
After the requirements have been gathered and analyzed, the researchers
then started the building of the design of the system. The user interface was then
lay-out, drafted and designed according to office request. The researches use
Php programming Language for the construction of the system. The design
serves as a guide on where to begin and to end. Without these, the construction
of the system would be difficult.
When the construction of the system was at last completed, it was tested
to notice if it really matches to the specifications and requirements. (After the
successful testing of the system, it was then transported to the cashiers office.)
The Waterfall approach was used as guide to complete the system or project.

The above table represents the hardware requirements that are used in
the system. The hardware requirement is the need for generating the system.
The laptop is useful device which is intended to be operated by an end-user in
order to manipulate in processing data and documents. The ram (random access
memory) is a form of computer data storage that is capable to store data in the
system. The processor is a logic circuitry which responds to and processes the
basic instructions that drives a computer. The hard disk is used to organize files
on the disk. The printer is used in printing the monthly report. The Flash Drive is
a portable device used in storing documents related with the system.

the whole output of the system will be
presented, except for standalone
applications.

application used for documenting files
and related data during system

Windows7. System software created

by Microsoft corporation and is used as
an Operating System for Cashiering

For the building of the System:
CSS (Cascading Style Sheets). Is a

style sheet language used for
describing the presentation semantics
of document written in a markup
language. The team used CSS
because it is appropriate for enabling
the separation of document content
(written in HTML or a similar markup
language) from document presentation,
including elements such as the layout,

colors, and fonts during system

development.
Php(Hypertext Preprocessor). Php is
a general-purpose scripting language
that is especially suited server-side web
development where Php generally runs
on a web server. The team used this
tool for using command-line scripting,
client-side graphical user interface
(GUI), and relational database
management system (RDBMS).
MySQL. MySQL is a popular choice of
database for use in web applications,
and is a component of Php. Free-
software-open source projects that
require a full-featured database
management system often use MySQL.
We used this language for managing
query and other functions related to
database functionality to store
interrelated data during system
development and operation.

This chapter describes the developing of the system with the cooperation of each
member of the group. Each member has its own phases or tasks to work it out In
order to complete the proposal system.
In the previous page it indicates the assigning activity for each member of the
group to make the phase or task completed at twenty-one weeks.
The first task was data gathering which includes searching for the company,
making the letter, submitting the letter, conducting interview and gathering
information from the selected office of the researchers that took for a week.
Afterwards the next task was the requirement Analysis that comprises analysis of
gathered data or requirements needed for the developing the system that took for
two weeks. The third task was the requirements definition in which the
researchers defined the information gathered that took for one week. After the
requirements analysis and definition, the researchers specified all the
requirements that have been analyzed and defined, that took for one week. The
following task was making the system design and architecture that was done by
Cantiga and Fernandez for the development of the proposed system that took for
three weeks. The next task was done by Francisco, Mingay, and Baguio, the
specifying of the system requirements for the system and software design that
took for two weeks. After the design of the system, Francisco, Fernandez and

Cantiga were responsible for the program coding for the development of the
system that took for four weeks.
Then, Mingay and Baguio was responsible for unit testing whether the
system is effective hat took for three weeks. The next task was debugging the
tested system that was done by Francisco, Baguio and Fernandez that took for
two weeks. Afterwards the Acceptance and deployment was done by the
members of the group that took for a week. Lastly, the maintenance of the
system was done by Cantiga and Fernandez.
PROJECT TIMELINE AND SCHEDULE
This Chapter shows the management activity starting from the month of
September 2013 to February 2014. Table 1.2 shows the management Activity
and Gantt chart of the project timeline and schedule that help diminish or remove
project delays in order to produce an accurate and sensible project. This timeline
has list of all major aspects of the project. These aspects consist of both task and
key materials required to complete the project.

total rate summed 100%.

According to the survey that there are 25% of the respondents answered that the
manual system has many errors in the transactions.
C. The loss of students accounts?
There are 20% of the respondents answered that the loss of accounts is one of
their biggest problem, because it has the redundancy of the work.

There are 50% of the students answered that the time that they consumed is the
main thing why the manual system exist in the University.

CONCLUSION AND RECOMENDATIONS
Conclusions
Since the Cashiering System is manually operated in Negros
Oriental State University -Guihulngan Campus, we proposed this
computerized Cashiering System that it will be more effective compare to
the old process because it can manage the student accounts and
payments without error and a reliable one. This system is a friendly-user
typed even though at first; they may find it difficult to engage a new
system. The proposed system is a great start wherein it can help and
solve problems undergone by the Cashiers Office during examination
day.
Recommendations
An automated Cashiering system is highly needed in the University
for a reliable and secure checking of accounts and deatails of every
student. This system that is being implemented will contribute a great help
to all students together with the Cashiers Office in examination day and
for the security of records.

The Negros Oriental State University Guihulngan Campus was

established to promote education in accordance w/ the Philosophy furtherance of

Negros Oriental State University Located at Kadre, Poblacion Guihulngan City

Negros Oriental. This was created to provide a prepared learning environment

that responds to the needs of characteristics of particular development period to

physically, intellectually, emotionally, socially and spiritually.

Negros Oriental State University Guihulngan Campus uses the manual

type of cashiering system for so long. In this connection, the researchers

proposed the computer-based system to help school improve its cashiering

students but also to the administration.

Statement of the Problem

In this modern age, Negros Oriental State University Guihulngan Campus

is still practicing the manual system of cashiering. It resulted to a very time

consuming process of issuing, calculating collecting and recording of students

manual cashiering system:

2. Computation errors that could consume time than it should.
