WR Memo
Memo (short for memorandum) is a business-oriented style that is best suited for interoffice or intercolleague
correspondence. More informal in tone and organization than a letter, memos are generally used to provide or
ask for information, announce a new policy, update on personnel transfers, or for any other internal issues.
An effective memo:
When composing a memo, always take the four -step approach to writing: plan what you want to say,
write a draft, revise the draft, and edit.
Types of Memos
There are four types of memos you might have to write, each with its own organizational format:
information, problem-solving, persuasion, and internal memo proposal.
Information Memo

used to encourage the reader to undertake an action he or she doesn't have to take
first paragraph begins with an agreeable point
second paragraph introduces the idea
third paragraph states benefits to the reader
fourth paragraph outlines the action required

Memo Parts
More informal in appearance and tone than a letter, a memo is set up in a special format. Headings, lists,
tables or graphs are often used to make the information more readable.
All memos consist of two sections: the heading and the body. The heading indicates who is writing to whom,
when, and why. The heading should include the following parts:

lists the name of the writer(s) in the same way as the name(s) of the recipient(s)
there is no complimentary close or signature line, but authors initial their names on the
From: line

lists the month, date, and year the memo was written
do not use abbreviations
avoid using numbers for months and days
4. Re: or Subject
5. Cc or c
lists those readers who should have a copy of the memo for their information or reference but are
not expected to carry out the same action as the recipients listed in the To: line
"cc" can also be placed at the end of the memo below the distribution list (if used)
The body of the memo conveys the message and generally consists of 4 parts:
1. Introduction
2. Statement of facts
3. Argument
4. Conclusion
2. Write a memo from Dr. Pfennig (the PMSD school superintendent) to all PMSD parents explaining the
new dress code that will be enforced starting with the 2010-2011 school year. NOTE: you are going to
create the dress code. Be specific and be creative, but also be appropriate. Make sure you include
an explanation for the new dress code procedures, and remember that you are writing FROM Dr.
Pfennigs perspective. Use an indirect writing approach.
3. Write a memo from you using the direct approach to all of your co-workers suggesting that they
make a donation to the Red Cross (or another charity).
4. Write a memo from you to the facilities department of your company regarding a concern you have.
It could be about the parking situation, a dirty refrigerator, your idea for a new product, etc.
5. You are the office manager and want to remind everyone to clean up after themselves in the
lunchroom. There was recently an infestation of cockroaches. The building has since been fumigated but
you still require the cooperation of staff to prevent a re-infestation. State the purpose of the memo,
your reason(s) for sending it (i.e. the kind of behavior you have noticed) and what actions you want
taken.
6. You are an administrative assistant. You want to tell 10 people about an upcoming computer training
seminar. You are attaching a brochure about the seminar from the presenter, but you also need to
inform them of the following:
7. Last year, your company initiated a major effort to improve productivity throughout the company.
During the first few months, little improvement was made. Recently, however, major gains, exceeding
20 percent, have been made in both the packaging and equipment repair departments. You would like
to commend them for their achievements, and announce to the other departments that gains are
possible. You are also aware that some production employees believe that significant gains in
productivity means the loss of some jobs because the company will be able to achieve the same output
with fewer employees. Another local company laid off 5 percent of its workforce shortly after
announcing productivity gains. Nonetheless, you believe that by achieving even modest productivity
gains, your company will become more competitive and therefore be able to capture a larger share of
the market. You believe that increased demand will more than offset productivity gains, and may even
require hiring more employees. Naturally, you cannot guarantee this, although you are optimistic about
the chances that this will occur.
Write a one-page memo to employees that covers these points.
