Accreditation of each organization

The chairperson asked whether each organization have been accredited. This means that they can
collect from their organizations, if not then they do not have any right to collect.

Student commission on Audit Clearance

The attendees were informed of the process on how to acquire a SCOA clearance.

Use of imprest system

The use of the imprest system was thoroughly discussed by the chairperson and openly informed
them the proposal regarding the use of this system.

Submission of list of document

The date of the submission of the list of documents was discussed between the parties and the
following are the documents to be submitted:

*List of all the Officers and at least 3 specimen signatures

*Financial Statements with Notes to FS (AY 2016-2017)
*Resolution or Act for General Appropriation
*Copies of other supporting documents gathered starting May 1-July __ (e.g. purchase requests,
receipts, approved letters)
*Soft copy of the organizations logo

Review of the non-disclosure agreement

We asked the organizations to review the non-disclosure agreement and asked them regarding any
clarifications before they sign the agreement.

Signing of Engagement Letter

The engagement letter was signed right after the meeting and the chairperson discussed the
content of the letter and explained its essence.

Date of release of receipts

Any matter regarding the release of receipts was said to be announced on the first week of August
