Event Team Handbook


Welcome to the Team! We are so excited for you to be a part of the Ale-8-
One Family! This handbook is designed to make your experience a bit
easier to get started.

PAYCOM
Paycom is a system utilized by Ale-8-One that allows employees to
efficiently clock in and out during the work day, enter mileage when
necessary, and view/update any payroll and HR information. Because of
its accessibility on wireless devices, Paycom is the perfect tool for event
staff.

Clocking In and Out: In order to clock in and out, you click on the Time
Management tab on the left. Three options will appear below Time
Management; you should select Web Time Clock. After you are on the
Web Time Clock screen, you will see a large clock in the middle of the
screen with the current time; beside the clock will be a green rectangle
that says In (Day). You should click this green rectangle; after doing so,
you will notice that two different green rectangles will appear (Out
(Lunch) and Out (Day)). You will select the Out (Lunch) option if you
are taking a break at an event you are working; keep in mind that if you
work more than 5 hours that you are required to take at least a 20-
minute break. Only select the Out (Day) rectangle at the conclusion of
your work for the day.

Mileage Entry: In order to enter mileage on Paycom, you will also click
on the Time Management tab. You will then see a tab labeled Web Time
and Mileage Entry that you will then click on. Next, you will click on
Add dollars.

For any event that you drive in your personal vehicle outside of the
county in which you live, you will be paid $0.43 per mile. You will
multiply the total miles that you drove by $0.43. You will enter this dollar
amount in the New Dollars section of Paycom.

Make sure you enter the correct date(s) of the event. In the Comment
Section write the event in which you worked. For Department, you can
select the corresponding Event Team Territory appropriate to where you
live. Additionally, make sure to change the pay code to Mileage rather
than Commission.

MILEAGE SHEET
For records purposes, in addition to entering mileage on Paycom, you
must also email Sheila an Excel sheet with your odometer readings and
addresses that you visited. Make sure the Macros is enabled on the Excel
sheet. The form looks like this:

Do not worry about entering your start time, end time, or break taken.
These columns can remain blank. You will first need to enter the date of
the event, the starting location, and destination. In the
Description/Notes column, write the event in which you attended.
Next, write your odometer start and end readings. The mileage column
and reimbursement column will automatically do the math for you after
you enter the odometer readings. You must make sure that your total
mileage and total reimbursement matches what you entered in Paycom.

Sample Time and Mileage

Keep in mind that any time you stop when going to an event will be a
separate line. For example, on the sample time and mileage, Amber wrote
her starting location (her house) and the address of Ale-8 where she
picked up the truck for the destination. She then wrote the mileage from
her house to Ale-8. The next line indicates her trip home from Ale-8 with
her starting location being at Ale-8 and her destination being her home
address.

After finishing the Excel Mileage Sheet, you must email it to Sheila
(svaughn@ale-8-one.com). You MUST attach the Excel sheet to the email.
In the body of the email, include the total miles that you traveled and
your name. Keep in mind that the total miles in this email must match
what is on the Excel sheet and in Paycom! Email must be submitted by
Sunday afternoon!

DRESS CODE
As an event team member, you are the face of Ale-8; you are one of the
individuals who is interacting firsthand with customers and potential
customers of the product. Because of this role, it is extremely important
that you follow the dress-code set forth for the event team, and wear
appropriate attire to all events.
By follow the dress code, we dont mean you have to wear your fanciest
cocktail attire; instead, we mean to dress parallel to the event you are
working. More often than not, there will be a description of attire in the
event details for you to view prior to working. Below are a list of events
and the type of attire we would expect you to wear to each event:

The main dress code rules to remember:
1. No short-shorts
2. No holy jeans
3. Always wear closed-toed shoes when loading/unloading drinks
4. Follow Google Calendar descriptions for attire at events.

SAMPLINGS

Samplings are the backbone of our responsibilities as event staff. For a


sampling, you are required to go to the specified location (usually a
grocery store) which is previously organized by the sales department.
You then sample full bottles of product to customers as they walk by, and
try to sell them a 6-pack if they like Ale-8 upon trying it.
SAMPLING SCRIPT:
This is Ale-8-One, a soft drink that has been family crafted in
Winchester, KY since 1926. The taste is crisp and clean. We use REAL
ginger with just a hint of citrus. Here, try the best of the Bluegrass in
green glass.
Its on sale this week. Would you like me to put a six pack in your basket?
Two for just $6.
It reminds me of (insert appropriate event here).

Sampling To-Do List (In Order):
1. Go to customer service desk at store location and ask to speak with
the contact listed on the Google Calendar. If no contact is listed,
then ask to speak with a manager. Do not be surprised if the Kroger
staff have absolutely no idea that you were comingit happens.
2. Wait for the manager to arrive and ask him about the product in the
store (how its doing, does he/she like Ale-8, etc.), and ask where to
set up your materials for the sampling. Make sure to remember the
managers name that you spoke with! (you will need to include this
in a Sampling Review.) Its a good idea to take notes in your phone
after speaking with the manager for reference later.
3. Go ahead and set up your sampling stand and barrel cooler in the
specified area; if youre buying product at the store, this is when
you should do so, however if you have brought product with you
then you should retrieve it from the car at this time. If buying
product in the store, make sure you pull from the back stock to
avoid wiping out the inventory on the shelf. Typically, a delivery of
Ale-8 will be made to accommodate the drinks being purchased for
the sampling.
4. Purchase ice and begin icing down drinks in the barrel cooler.
Allow the drinks to be on ice for 30 minutes before serving.
5. While you wait for the drinks to chill, visit the shelves where Ale-8
is stocked and take pictures of all locations you are able to find it in
the store (i.e. displays, shelves, end caps, etc.).
6. Return to your sampling stand and begin asking customers if they
are interested in trying the product. When discussing the product
with each customer, try to stick to the sampling script as much as
possible; some people are in a hurry and wont give you the
opportunity to say much, however try to hit the highpoints.
7. After sampling the product, disassemble sampling stand, and take
empty cases of cardboard to the back of the store. If you do not see
the cardboard crusher, then ask an employee and they should be
able to direct you to it.

8. If you see the manager again prior to leaving the store then thank
them for letting us sample, and tell them about the positive
interactions you had with customers.
9. Walk through the store to make sure that no Ale-8 bottles are just
laying around on the shelves. Throw any bottles away that you may
see.
10. Gather sampling stand, barrel coolers, and any leftover
product you may have and return to the plant and/or home.

SAMPLING REVIEWS
As stated previously, you will be responsible for submitting a sampling
review after each sampling. There is a google form that you will use to
submit this review.
You will need to know the following information to submit each of these
sampling reviews:

be information that you will be able to recall even after you have left the
store.

EVENTS
As an event team member, you will have the opportunity to work a wide
variety of events ranging from festivals to something as simple as a
random act of kindness. We participate in events in the Ale-8 Core
Territory, Expanded Core (Elizabethtown, Owensboro, Bardstown),
Louisville, Cincinnati, and Indianapolis. Interacting with customers who
are super passionate about Ale-8 at these events is the most rewarding
part of this job. Showing up to an event and receiving such kindness and
generosity from those around you simply because they LOVE the
company and the product you are representing is indescribable.
Although the events we work year to year vary, there are some that
remain constant over time. Among these events include:

If you happen to be in a car accident while on the clock, you are required
to take a drug test immediately after the collision occurs. You may visit
the following locations to take your drug test:

GIFT CARDS
Currently, all event team members use prepaid VISA gift cards to make
all necessary purchases for events/samplings (ice, product, parking, etc.)
If you are working outside of the Ale-8 Core (places like Indy, Bowling
Green, Cincinnati, Louisville), Sheila will periodically mail you a gift card
that you are responsible. These gift cards should only be used to
purchase items when working. It is important to keep track of how much
money is on these gift cards. The card balance can easily be checked by
visiting the website on the back of your card. Sheila tries to keep track of
these, but with Ale-8 territory continuing to expand, this job becomes
more difficult. Please let her know if your card is running low and you
have an event coming up. For core event team members, Sheila will make
sure you have a gift card to be used specifically for the event. She will
give you directions as to how to return the cards. Further, YOU MUST
KEEP A RECEIPT FOR ALL PURCHASES ON YOUR GIFT CARD!! THIS IS
EXTREMELY IMPORTANT!!

ESSENTIAL INFORMATION TO KNOW
As an Ale-8-One employee who deals with the public frequently, it is vital
that you know as much about Ale-8 as possible. Overtime, you will add to
your knowledge, but as a new employee, there are some essential
facts/information at Ale-8 that you must know. These are listed below:
Regular Ale-8
Regular Ale-8 has about 37 mg of caffeine. This is about average
for soft drinks (about 14 mg less than Mt. Dew/about 2 mg. more
than Coke)
Ale-8 has about 10% less sugar than other soft drinks (30 g.)
Ale-8 has less carbonation than other soft drinks

Has been around since 2003

General Information
Ale-8 is still family owned, although Coke does distribute Ale-8
in certain territories. Coke DOES NOT own Ale-8!!!!!!!!
Fielding Rogers is the current company owner. It is his family
that owns Ale-8. He is the great-great-nephew of the founder of
Ale-8, GL Wainscott.
Ellen McGeeney is the COO/President of Ale-8. She is not a
member of the family.
You can find Ale-8 outside of Kentucky.

DISTRIBUTION OF ALE-8-ONE

Since 1926, Ale-8 has greatly expanded its distribution. Ale-8 trucks
currently distribute to the Ale-8 core territory (as seen in the above map).
Beyond the Core Territory, Ale-8 has distribution partnerships. Coca-Cola
is the biggest distribution partner; they distribute to areas in Indiana,
Ohio, Western Kentucky, Eastern Kentucky, Northern Kentucky, and
Louisville.
Recently, Ale-8 has made some nationwide distribution partnerships You
may now find Ale-8 in Cracker Barrel Stores, Fresh Market Stores, Harris
Teeter, and World Market Stores nationwide.

To stay up to date with our scheduling, you will receive invitations for
events via Google Calendar. You will need to set up a Gmail account if
you have not done so already. Sheila will send you invitations to the
events you are scheduled to work. On the invitation details, you will have
all information necessary in order to be successful on the event.
If you know that you will be unavailable for any certain dates, you may
create an event saying [your name] unavailable for the duration that
you will be unavailable. MAKE SURE THAT YOU INVITE SHEILA TO ANY
VACATION EVENT THAT YOU SCHEDULE ON YOUR PERSONAL CALENDAR
SO THAT SHE CAN SEE IT!!!!

As a way to stay better connected with Marketing Staff and other Event
Team Members, you will be (if you havent already) added to the Event
Team Facebook Page. On this page, you will have the opportunity to add
any photos that you may take at events or samplings that you attend.
Further, Marketing Staff may share important Ale-8 information via the
Facebook page or important Event Team announcements.

EVENT REVIEWS
After working each event, you are responsible for writing an event
review to be used as a reference guide for the Event Coordinator to use
when making decisions about the event for the next year. At the moment,
you may do this by just simply typing a few paragraphs into the body of
an email and sending it to Sheila. When writing your event reviews, keep
in mind that you answer the following questions:
o Did you buy anything for the event (ice, parking, etc.)?
o Did everything go smoothly with the set-up? Where were you
located? Was this an area where there was a lot of foot traffic?
o Did people seem to be excited that we were there?
o What type of people attended the event?
o Approximately how many people did you reach during the course
of the event?
o Would you recommend this event for next year? Why or why not?
o If we did this event again in the future, what could we do better in
order to make it more effective?
o Did you drive your personal vehicle or a company vehicle?
o
Also, please add any other comments/recommendations! These questions
are simply ones that we would like to have answered, but any more
information you could give would be great!

TOURS
If you are an event team member in the core, occasionally you may be
asked to come in to the plant as a back-up tour guide. If you are asked to
do this, you will be trained on a prior date by our full-time tour guide,
Sarah Chamberlain. Here is a reference that details the steps you should
take when giving a tour on your own.
Prior to giving the tour
1. Go to the front desk and ask for the tour cooler key. Go check the
cooler to make sure it is fully stocked with returnable bottles and
diet bottles. If you notice that the cooler is low on these items, go to
the front desk and tell them you need a ticket for 3 cases of
returnable bottles and one case of diet bottles. Take this to the
warehouse guys and tell them you need this delivered to the tour
cooler ASAP!
2. Go upstairs. Get the tour microphone, bottle opener, and tour iPad.
3. Go downstairs to the circle lounge. Make sure everything looks nice
(tables cleaned off, chairs pushed in). Get the TV ready. You will
need to plug the iPad in to the TV (there is a white chord hanging
from the TV). It should be on HDMI. If for some reason the iPad
doesnt work, there is a tour video on a DVD in the DVD player.
4. Go back to the lobby. Mark people off as they arrive for the tour. Tell
them the time you will be getting started. Tell them they can visit
the company store until that time or go ahead and take a seat in the
Circle Lounge.
Giving the tour
5. Go into the Circle Lounge. Welcome people to the facility and
introduce yourself. Tell them you have a short ten minute video for
them to watch that will familiarize them with the history of Ale-8
and its manufacturing process prior to going out into the plant.
Start the video by pressing play on the iPad.
6. After video, ask if anyone has any questions about the video. If not,
unlock the safe located under the TV, and pass around the No. 2
Formula for people to smell. While theyre passing it around, talk
about the old manufacturing materials on the table (the bottle

capper and the silver carrier) and about how far the manufacturing
process has come over the years. Lock formula back in safe.
7. Then talk about how Ale-8 runs today:
a. 21 trucks make deliveries throughout Kentucky
b. About 120 employees at Ale-8 currently
c. Production happens 4 out of 5 days a week (Tuesday-Friday)
3 days Non-returnable bottles are produced, and on the 4th
day returnable bottles are produced. We produce about 9,000
cases of Ale-8 each day of production; when running at
maximum speed, we can produce approximately 620 bottles
of Ale-8 per minute.
d. Since we are a glass bottle manufacturing plant, we also do
filling and distribution of some other products that are not
our own. These products include: Nesbitts Orange, NuGrape,
and Cock-N-Bull Ginger Beer. We also do some distributing for
Hybrid Spring Water and Ski.
e. Our cans and plastic bottles are produced at Corbin Pepsi.
f. Ask if anyone has any questions before heading out into the
plant.
8. Head out into the plant; make sure to put on the microphone so all
tour guests will be able to hear you. Make your first stop in front of
the vending machines next to the ping-pong table. At this point of
the tour, there are a couple talking points to make sure to cover:
a. Point towards the warehouse; discuss how this is wear Ale-8
is storedit makes an L-shape around the corner. Forklift
drivers transport each pallet of Ale-8 manufactured into
storage in the warehouse. The garage doors located to my
right are where delivery trucks pull-in to be loaded.
b. The large blue barrels on the top shelf are full of our Ale-8
concentrate, which is the No. 2 Formula that you smelled
combined with a few other ingredients. These barrels are
what we send to Corbin Pepsi in order to produce our cans
and 20 oz. bottles.
c. The cardboard cases on the bottom shelf are the Ale-8s we
ship; if someone orders a case of bottles or cans online, this is
the package they receive. We also have a military program
we will ship up to 2 cases of cans per soldier per month; all

you have to pay is shipping. This gives soldiers the
opportunity to have a little taste of home during their time
overseas.
d. Ale-8 is notorious for providing a friendly work environment
for all employees. Im sure youve all noticed the ping-pong
table; during break times, our warehouse and production
workers enjoy playing a friendly game of basketball or ping-
pong.
9. Your next stop should be in the front of the de-palletizer in the
yellow walking space.
a. Discuss how a forklift driver delivers a pallet of empty glass
bottles to the machinery; the de-palletizer removes one layer
of glass bottles at a time and places them on the conveyor
where they will then travel to be labeled, washed, and filled.
Let them watch the process for a minute or two.
b. Dicuss the rolls of labels on the ground; the labels are made
locally here in Winchester at the Walle Corporation. One roll
of labels will make approximately 36,000 bottles of Ale-8.
c. When changing the product being manufactured (i.e.
changing from regular to diet), production employees simply
have to change the roll of labels to the proper product, flush
out the filler, fill the proportioner with the appropriate
product, and change the bottle caps; all in all this takes about
20-30 minutes.
10. Head into the filler room; turn the microphone off at this
point, because it isnt quite as noisy.
a. This is where the Ale-8 bottle is actually filled and capped. As
you can see, the bottle is exiting the corkscrew where it has
been washed and inverted; it then travels around the track to
the back-right corner where it is filled and capped at
approximately 32 degrees.
b. There is a small sprayer that sprays the track to ensure the
friction does not cause any wear-n-tear on the bottle.
c. Returnable bottles run on the same track until this point of
the manufacturing process; they are washed three times
instead of the one to ensure that they are completely cleaned
upon return. They then turn onto the first track instead of

traveling all the way to the back track so they can pass
through a machine that checks for cracks on the bottles
(similar to an X-ray machine).
d. The quality control lab is to your right; they pull a bottle off
the line every 30 minutes and check for acidity, carbonation,
sugar, and they perform a twist-off test to ensure the cap was
placed properly. There is one individual who performs a taste
test of each bottle pulled off the line to make sure the flavor is
crisp and clean.
11. Send a few people at a time into the break room to look out the
window into the rest of production.
a. Let them know that they will be able to see the bottles being
labeled, the cardboard trays being formed, and the already
filled cases traveling along the conveyer to be palletized.
b. Ask if there are any further questions before heading back out
to get their free Ale-8.
12. Use the key you got from the front desk to unlock the cooler
between the vending machines; give everyone a free Ale-8,
opening each bottle unless requested otherwise.
a. Make sure to emphasize that if they want to take the bottle
with them they must pay their $0.30 deposit at the front
desk!
b. Let them know that the gift shop is located to the right of the
front desk if theyre interested, and then lead them back out
into the lobby.
