30th CONVOCATION CEREMONY GUIDE
18 - 22 NOVEMBER 2017

Please read this guide thoroughly

This guide is prepared specially for the Bachelors Degree graduates

Graduation is a significant milestone in every students journey. It is the opportunity for


the University and family to formally recognise the hard work, and and congratulate on
your success. It is also a meaningful time, for family and friends, from near and far to
celebrate your achievements and wishing you luck on embarking a new adventure of life.

Most importantly, it is an unforgettable day that you will feel special and be proud of.

1. GRADUATION CEREMONY

The graduation session usually takes place in Novembers, with the coming 30th
ceremony taking place from Saturday, 18 to Wednesday, 22 November 2017 at the
Muadzam Shah Hall, Universiti Utara Malaysia.

In order to ensure the smooth running of the event, graduands are expected to gather
at the Dewan Tan Sri Othman Yeop (DTSO), at 7.00 am for the morning session
and 1.30 pm for the afternoon session. Graduands will be given seat numbers and
willbe seated accordingly before the procession to the Hall.

2. BEFORE THE GRADUATION CEREMONY

Here are few things that you need to before attending the ceremony.

2.1 CONVOCATION CEREMONY PRE REQUISITE

If you are eligible to graduate, here are few things that you need to do first.

1. Graduation Status Review


2. Clear any Outstanding Amount Due To The University Latest by 8
November 2017.
3. Pay the Convocation Fee of RM 170.
4. Fill in the Graduate Tracer Study

1. Graduation Status Review

You can check your eligibility to graduate in the 2017 Convocation


Session.

Log in to your portal at http://portal.uum.edu.my/ , and click on the


Graduation Menu. Follow the instruction given and complete all the
information required.

You may print the Invitation to Convocation Ceremony letter upon


completing the task for your record.

1.1 Confirm Your Personal Information.

It is very important that your personal information (name, matric


number, identity card number/passport number, phone number and
email) is correct in the Student Portal System.

We will use your name and other details as found in the student
system on your degree and certificate and transcript.

Take few minutes to update these details carefully, and ensure it is


correct by 8 November 2017. Any changes should be notified via
email to konvo@uum.edu.my. Changes made after the date
mentioned willl be penalised for RM 520.00.

1.2 Express your gratitude

You may now express your gratitude for the loved ones through the
short messages that will be displayed on the screen while you are
presented. Fill your words in the column provided in the portal.

2.2 Clear any outstanding amount due to the University

It is the policy of the University that Degrees shall not be conferred


upon any person who has outstanding amount due to the University.
Hence, it is good for you to commemorate your good name to us.

Therefore, if you have any amount due to Unniversity as displayed in


the Student Portal System, these must be settled by 8 November 2017.
Please retain the receipt as proof of payment.

2. E-Com (Via Internet) Payment By Credit Card (Visa & Master Card) can be made
through online by surfing UUM website www.uum.edu.my
and click on Online Payment and follow instruction. Please
select Other Payment and mentioned your purpose
payment.

Payment can be made at any Bank Islam Branch, using the preprinted
form available at the bank counter. You may choose to pay by credit
card through Online Payment button available at :

If you have any questions on your debts to the University, please call
04-928 3231/3260/7777.

2.3 Pay the Convocation Fee

Every graduates has to pay RM 170 for the convocation fee. You can
pay using the method mentioned above.

2.4 Graduate Tracer Study Survey

As a continuous effort to improve our higher education system, the


Ministry of Higher Education considers your opinion and feedbacks for
future planning and improving the various aspects of our higher
education system. You can extend your support and cooperation by
giving your sincere views and feedbacks through the questionaires
provided in this study. It is COMPULSORY for every graduate, either
attending or not attending the ceremony) to fill up this questionnaire
before 14 November 2017.

What is the purpose of this survey?


The University wants to know what you think of the programme of study
you have gone through, the facilities and services you have used while
you were studying, the type of job you are doing and how you fare in
your working world. Your valuable feedbacks canmake a significant
change to your institution and to the Ministry of Higher Education in
improving the standard of higher education of our country. This is
therefore a good way for you to give back and say thank you to your
institution.

Who are involve in this study?


All graduates of Higher Learning Institutions who are graduating in
2017.

How long does it take to complete the questionnaire?


Previous respondents indicated that they took about 20-30 minutes to
complete the entire questionnaire, that is a little amount of time
compared to the time you spent in your institution.

What do I do if the questions are not so relevant to me?


If this Happens, please try to best interpret the questionnaire according
to your situation.

Do I get to know the results of this survey?


Yes, the outcomes of this survey is published annually and is available
at http://graduan.mohe.gov.my/v/ from 20 October 2017. Kindly print
the slip and bring along during collecting robe.

What else do I get?


The Ministry of Higher Education is in the process of supporting you
with information such as career opportunities, how to search for jobs,
where to further you studies and many others. As mentioned, the
ministry would like to know whether these services are useful.

Will my responses be anonymous?


Yes, it is. Your responses will be summarised in the finding of the
research report.

2.5 Conferment Of Degrees

The schedule of the Conferment of Degrees can be viewed in Appendix 1.

Please make sure that you follow the conferment session as scheduled. We
will not give opportunity to join the session again if you miss it.

2.6 Robe and Mortar Board Collection

You must wear the official academic dress which is uniquely designed in
blue colour, (consists of a robe, a hood and a mortar board) to your
ceremony. The colour of the hood will be different based on the programme
specified.

2.7 Collecting your robe

Your academic dress will be available for collection at the Robing Room,
Ground Floor, Tan Sri Othman Hall.

Please note that representatives are not allowed to collect the robe and
mortar board on your behalf. Graduates are advised to personally collect
the robe at the Robing Room.

Upon collecting the robe, you need to show to the staff in charge, the
documents as below:

i) Payment Slip as mentioned in para 2.2 above;


ii) Completion of Tracer Study Survey Slip.
iii) Robe Collection & Returning Authorisation Form

It may be useful to bring pins to hold the hood to the robe, and hairpins/pins
to the mortar board. Robes cannot be altered and are to be returned as the
scheduled given in its best condition.

Please abide by the robe collection schedule as outlined in Appendix 2.

The location of the Robing Room is in Appendix 3.

2.5 Invitation Cards and Car Stickers

You will be given the invitation cards and car sticker upon collecting the
robe.

2.6 I cant attend the ceremony

If you are not able to attend your graduation ceremony, you can choose to
either graduate in absentia or defer your ceremony for up to one year. Here
is the information required to make sure you still get your transcipt and
certificate.

1. Graduating in absentia

This means you will receive your award but not attend the ceremony. If
you choose to absent from the ceremony, you will not be able to attend
at a later date.

2. Deferring your graduation

Alternatively, you may choose to defer your graduation to another year.


Send an official letter to the Director, Academic Affairs Department,
before the ceremony. Only genuine problems will be considered.

Either way, you should confirm in the student portal, and ensure your
details are up to date (name, matric number, identity card number/passport
number, phone number and email).

2.7 Guests Invitation cards and stickers

You will be given guests invitation cards and car stickers upon collecting
the robe.

3. THE CEREMONY

Since the ceremony is an official ceremony, graduates must adhere to the rules
and etiquettes mentioned below.

3.1 Convocation dress code for the graduates

Here are the official dress for the graduates to be worn underneath the
robe.

i) Gents

You must wear formally.You will look great wearing plain light coloured
long sleeve shirt, with suitable colour necktie. Put on a dark coat,
matched with similar colour trousers, and formal black leather shoes and
socks. You may to wear lounge suit as well. Neat and tidy will make you
look more smart and presentable.

ii) Ladies

You may choose to wear baju kurung, lounge suit, loose plain blouse
with dark coloured pants or match it with plain dark coloured skirt of
ankle length. The skirt should be without slits on any sides. You will
appear formally with black court shoes with maximum 1.5 inch heel
height. You will look beautiful and gorgeous on the stage.

It is important to note that baju melayu, cheongsam, sari, and other


traditional clothes, except mentioned in (i) and (ii) above, are not
allowed and will not be permitted to enter the hall.

1.2 Assemble at The Tan Sri Othman HALL

In order to ensure the smooth sailing of the ceremony, graduates are


encouraged to come early to the campus. All graduands will assemble at
Tan Sri Othman Hall and get ready for the procession to the main hall as
early as 7.00 am for the morning session, and 1.30 pm for the
afternoon session.

Graduands will be given the seat numbers and will be seated accordingly in
the Tan Sri Othman Hall, before the procession. You will sit on the same
chair number given earlier.

Do not exchange your number with your friends, as it will create mistakes in
calling your names later.

1.3 Ceremony Etiquettes

Please set your handphones in silent mode throughout the ceremony.


Please observe that taking pictures with flash is not allowed in the hall. Do
not move from your place to take pictures.

The robe and mortar boards should be worn properly in the hall. It is also
not proper to leave the hall before the ceremony ends. Please stay quietly
to cherish your friends achievements and to honour the guests.

1.4 Receiving the scroll

There will be no rehearsal for the graduates before the day. However, the
marshall will brief you at the Tan Sri Othman Hall. You will watch the
demonstration shown on the stage before the procession to the hall.

4. POST-CEREMONY

You need to return your robe and collect your certificates after you have finished
your session.

4.1 Returning Your Robe

Robes should be returned immediately after the ceremony at the Robing


Room, based on the schedule given.

Late return of the robe set will be fined the minimum of RM 10/day, and the
maximum of RM 600, effective from 26 November 2017.

5.1 Collecting your certificate and transcript

You will be getting your transcript and certificate upon returning your robe
set in satisfying condition.

You can also send representatives to collect it for you.

If you choose to graduate in absentia, you can either collect the certificate
or request to be posted to your home addess. Please download the form

5. GUIDE FOR PARENTS AND GUESTS

This section is served as guide for parents and guests in respect to honour His
Royal Majesty Tuanku Chancellor and other distinguished guests.

5.1 Dress code for parents and guests

Male guests may choose to wear lounge suit, batik, national dress, long or
short sleeve shirt with trousers.

While, female guests are suggested to wear national dress, long or short
sleeve blouse with ankle length skirt, or long trousers.

This dress code also applies to children above 12 years age.

With due respect to the ceremony, guests with improper dress will be
prohibited from entering the hall.

5.2 Guests Invitation Card

The convocation ceremony is the opportunity for the family to congregate to


recognise your hardwork. However the entrance to the hall is limited to
certain number of guests, per graduate.

Guests can make entrance through the invitation card given to the
graduates upon collecting the robe.

We are unable to allocate any additional guest cards. Guests without cards
or a preferred alternative for young children, there will be a live telecast
under a tent, next to Muadzam Shah Hall.

5.3 Other reminders during the ceremony

In lieu to honour the ceremony, guests are not permitted to leave the hall
and will not be allowed to re-enter.

It is cold inside the hall. Guests are reminded to wear clothes or carry extra
covers to help them withstand with the situation. The temperature inside the
hall is usually about 20 degrees for every session.

Taking pictures with flash is not allowed in the hall. Parents and guests can
only shoot from the seat.

6. OTHER RELATED INFORMATION

6.1 Prayer Hall

There are two locations of the Muslim prayer hall, one is at the beside of
Tan Sri Othman Hall and the other one is back of Muadzam Shah Hall.
