Inclement Weather Procedure


Memphis, TN Location

Trinity Meyer recognizes the fact that inclement weather and unsafe road conditions could negatively
impact employees ability to get to work. The safety of our employees is paramount in any emergency
and we encourage our employees to use sound, rational judgement with regards to road safety.

Except in cases of severe building damage or power outages, the office will remain open. In the event
of travel warnings or advisories employees may elect to not report to work. These employees will be
allowed to use paid vacation time or take the time off as unpaid. In accordance with standard
procedure, employees must notify their supervisor of their absence.

Inclement weather conditions include, but are not limited to:

Snow
Sleet and/or ice
Tornados

If inclement weather commences during the workday, the executive team may elect to close the office
early to allow employees time to get home safely. In the event that the office closes, employees are
encouraged to leave immediately so that the conditions do not further deteriorate and affect their
ability to safely travel.

If an employee has the capability to work remotely from home, they may do so with the prior approval
of their supervisor. Semi-monthly, non-exempt employees performing work from a remote location
must report their hours to their supervisor to be entered into Kronos for payment.

Pay for Reporting to Work on an Inclement Weather Day

Employees who report to work at the Memphis office on an inclement weather day will be paid at their
normal rate for work they perform that day.

In addition, employees who arrive at the Memphis office by 10:30 A.M. on an inclement weather day
will receive credit for eight (8) hours of paid time off for later use.

Employees who arrive at the Memphis office by 12 noon (but after 10:30 A.M.) will instead receive
credit for four (4) hours of paid time off for later use.

Paid time off credit that is received for inclement weather days should be treated like vacation for
planning and scheduling purposes. However, this paid time off may use separate codes in Trinity's time-
keeping systems (such as Kronos).
