Test Question 13 assesses ‘Ability to perform essential clerical tasks’

Question 13 instructions:
Assume you are a reception clerk who greets walk in Veterans Affairs Canada clients.
Describe at least 3 activities you would likely partake in when dealing with a walk-in client and indicate why
you would perform each activity.

1.Greeting client in a friendly manner. I would do this so the veteran would feel relaxed, and comfortable,
and would understand that I am there to serve them.

2. I would ask them for their identification such as their service number, name, date of birth etc.. I would do
this in order to clearly identify the veteran, and have the correct file in front of me. I would do this so that I
would be addressing the correct Veteran, and would have their file in front of me that would allow me to
give them accurate information.

3. I would probe the veteran with questions to determine what exactly they are looking for to help or assist
them with. By asking probing detail questions I would be able to figure out how to help them thoroughly,
and accurately. Also by asking questions you can often get to the route of the problem, and may discover
newly undiscovered problems. By address all the problems you can give them a complete resolution to their
issues, and problems in one sitting.

A Veteran, Jane Doe, had applied for a disability pension for her right arm. Her application was denied and
she is appealing the decision. Four weeks ago you sent a letter to her physician, Dr. Smith, for copies of the
medical and X-ray report. To date, you have not received any information from the physician. The Area
Director has a meeting scheduled with this Veteran in two weeks in order to discuss her case.

Please write an email message to the physician as follow-up. This email message will be used to assess your
ability to communicate effectively in writing.

Dear Dr. Smith

My name is Jordan Charron, I work with Veteran affairs. One of your patients who is also one of our
distinguished Veterans, had recently applied for disability pension benefits with respect to her right arm. It is
extremely important that I have a copy of her medical report as well as her X-ray report in order for us to
determine if she qualifies for certain benefits. If you could kindly forward these report to be as soon as
possible that would be much appreciated. We require these reports before the end of the week. You may
consider forward these to us by secured scanned email.

Question 15: This question assess ‘Ability to perform essential clerical tasks’ and ‘Client Service Orientation’

Question 15 instructions:
Your work day is from 8:00am to 4:00pm. The list below randomly indicates some typical activities or tasks
that you would encounter at the very start of a work day. Review the following tasks, and prioritize them in
order of importance, from 1 to 9, where 1 is of most importance, and indicate the reason(s) for your choices.
Be sure to tell us WHY you would prioritize these activities and tasks that way, and be sure to include any
rationales and assumptions you wish to make. Keep in mind that you may not be able to finish all this work in
one day or this week.

 4 There are several documents to be copied and distributed. Some are urgent and
others must be sent next week.
 6 There are 10 e-mail messages to read.
 3 There are 3 urgent Purolator packages to be sent out by 12 noon.
 8 There are several documents to be filed.
 5 The voice mail message indicator is lit up on your phone.
 2 The Area Director is only available until 1pm, and you must obtain their signature for
at least 3 Travel Authorities that are due by the end of each day (4:00pm).
 7 You are required to cover Reception due to lunch break scheduling, from 12:30pm to 1:00pm.
 1 There are at least 10 packages and pieces of mail to be processed for the entire office, by 11:00am.
 9 The computer specific to key card access tracking requires rebooting by 2pm daily.

The reason WHY i would prioritize these activities and tasks the above way, is because firstly, there were 10
packages and pieces of mail that affects and could potentially affect the entire office, and not just my section.
Some of these packages may be of an urgent or sensitive nature. Because of this potential impact, I would do
this task firstly. I would get the area directors signature secondly because they are probably very busy, and
may be called to an important meeting at any time even if they work until 4 pm. I would have the Purolator
packages processed thirdly due to their urgent nature and I only have half the day to get them processed.
Fourthly, I would get the docs processed and copied because some of them are also urgent even though it
may only be one that is urgent. Fifthly, I would check voice mail messages ahead of the email messages as
some of the voice mail messages may be follow ups or duplicates of the mail messages, and are probably
more urgent than regular email messages. For this reason I would also check email messages in the sixth
position or while I am listening to the voice messages. I would make sure these tasks as done before I tackle
the reception duties for the afternoon. I would make sure the files are filed in the 8 th position. Lastly, I would
make sure the computer Is rebooted by 2pm since I would be done with my reception duties by this time.
