PROCESS INVOLVED IN OM SAYARATCHA

PHOTO ID CARDS

Photo identification cards typically contain a photo of the cardholder and other unique
information such as name, address, job title, or other data that indicates special authorizations.

One of the most common uses of ID cards is basic photo identification. ID cards are
usually made from PVC, and are sometimes covered with an over laminate to protect
information on the card and to increase durability and security. However, photo ID cards serve
many purposes, and are necessary in many work and high-security environments where
identification is essential to the task at hand. Today’s ID cards range from simple photo IDs right
on up to high-tech multifunctional cards.

More complex cards can include a range of technologies such as a barcodes magnetic
stripe or smart card encoding to increase card functionality. Adding these elements into the card
design allows for integration with access control systems for buildings and computer networks,
cashless payment, or time and attendance tracking. Proximity cards or contactless smart cards are
embedded with Radio Frequency (RF) technology, which enables them to be read from a
distance as a card holder passes by a card reader.

Creating an ID card requires a special printer that can print on durable PVC plastic cards.
ID card printers print using a process that either applies resin to the surface of a card, embedding
the color through a process called dye sublimation, or prints images, graphics, and text on a
special film which is then fused to the card in a process called reverse-transfer printing. The
cards may be preprinted with common information such as a company logo, and then fed through
the ID card printer to add each cardholder’s unique information. Depending on the type of printer
and the features it supports, ID cards can be encoded and security overlaminates can be applied
at the same time or in a separate pass.

Today’s ID card technology offers more options than ever before when setting up an
employee ID program. Depending on your company’s needs, you can produce cards ranging
from basic photo IDs for worker identification, to multifunctional badges that track time and
attendance and control access to company buildings and computer networks. A professional ID
card system also enables you to print visitor badges to further increase the level of security for
your facilities when guests visit.

6
MULTIFUNCTIONAL AND SMART CARDS

Many organizations and businesses with ID card programs find more than one way to take
advantage of their system and maximize its use. For example, an employee ID card can also
serve as an electronic door key, a time & attendance card, or even a cashless payment card at the
company or school cafeteria. By integrating more than one use for ID badges, companies can
both streamline operations and increase security. Multifunctional cards are a key component in
such applications as:

 Keyless entry
 Cashless payment programs
 Time & attendance tracking
 Loyalty programs and memberships
 Retail tags
 Laundry services
 Volunteer & visitor management
 Passes & tickets

It’s worth noting that most multifunctional cards are encoded with data, and thus referred to as
Smart cards. Smart cards can be utilized in virtually every ID card program, and work with a
myriad of applications. Examples of smart card encoding technologies include:

BARCODES

 Magnetic Strip Encoding

 Proximity Cards

VISITOR MANAGEMENT CARDS

Visitor management systems can help alleviate a wide range of security concerns for
schools and businesses. Visitor ID cards are often issued during the check-in process when
visitors arrive at their destination and speak with the receptionist or front desk. Once visitors
state the purpose of their visit, they’re either lent a reusable visitor badge or have a customized
paper or plastic visitor ID badge created specifically for them, sometimes containing their photo
or signature. Re-writable ID cards are an economical choice for visitor badges since these
specially cards can be erased and re-written hundreds of times without requiring any ink or toner.

9
Other types of visitor cards include adhesive and clip-on expiring visitor badges that change
colors once the cardholder’s visitation time is up.With visitor management software, you can
keep a database of every individual who enters and exits your organization. You can even scan
important documents such as their driver’s license and upload it to the database to have proof of
identification — a preemptive measure that any organization can take to increase safety.

FACTORS TO CONSIDER BEFORE BUYING AN ID CARD PRINTER

Shopping for an ID card printer doesn't have to be overwhelming—focus on these 5 key factors
to help narrow your search.

1) Single or Dual Sided Printer

Most card printers are available in either single or dual sided models. Single sided are less
expensive but require you to manually flip and re-print to the backside of the cards. Dual sided
card printers will save you a lot of time on large batches.

2) Dye Sublimation or Reverse Transfer

Dye sublimation printers are the most common and least expensive type of printer. They use a
ribbon with panels to infuse color onto the card, but often leave a tiny white border on each card.
Reverse transfer printers (also called re-transfer) use a ribbon and transfer film to achieve a
higher quality print that ensure full bleed with no border.

3) Volume Requirements

Companies that print larger batches will want printers with larger hopper sizes faster print speeds
and that have high yield ribbons available. Companies that only print small amounts can save
money by purchasing a handfed only printer, or printers without high volume features.

4) Lamination & Visual Security

Laminating ID cards greatly increases the durability and cost of ID cards—it is essential for
cards that will be handled on regular basis or swiped. Lamination can also be used to add
holograms for high security. There are other less expensive ways to add visual security including
watermarks, holographic cardstock and hologram stickers.

5) Connection Type

All ID card printers can be directly connected to a PC with a USB cable. If you need to connect
to a Mac, be sure to select a printer with Mac compatibility. If you need to connect to a network
to print using multiple computers, be sure to select a printer with Ethernet.

12
Volunteer Badges

Volunteer ID badges play a critical role in a broad range of nonprofit and school environments,
providing that extra layer of security so non-employees can immediately identify a volunteer.
Visitor ID cards can display important information such as the person’s name and their reason
for volunteering (e.g. they are helping with a school program or are helping to serve the
homeless at a soup kitchen). Typically, volunteer badges are highly visible when displayed o
ensure the cardholder is instantly recognized as a volunteer. Examples of badge attachments
include lanyards, reels, and strap clips.

Volunteer Badges the Right fit for Organization

Schools and nonprofit organizations are examples of industries in constant need of volunteers.
Especially in sensitive environments where children are present, volunteer badges should always
be worn. In short, volunteer ID badges are a quick and easy way to identify a person’s role
within an organization and let others know who volunteers are.

13
For volunteer programs with a multitude of volunteers coming and going, ID badges can be
designed and printed on the spot (or on-location such as at disaster relief tents). When paired
with ID card software, a volunteer ID badge can even keep a log of the number of hours the
volunteer has served and printed out for the volunteer to have at the end of his or her time with
the organization. Since some state correctional programs mandate volunteer work for certain
crimes, it is necessary that all volunteer times are tracked efficiently.

Here at AlphaCard, our experience allows us to design custom volunteer ID badge systems for
facilities with hundreds to thousands of volunteers per year. If identification is an important
factor, volunteer badges can be customized with personal data such as the person’s legal name
and photo. There are also generic volunteer badges that might not give the person’s actual
identity but stand out by being a different color than the badges of employees. There are several
options to choose from.

CONTRACTOR CARDS

Contractor ID cards can take on many forms such as photo identification, visitor management,
safety clearances, proof of certifications, and even time & attendance. Most importantly, they
can enhance job-site security. Because contractors are essentially freelance workers, their visual
identification along with pertinent data such as certification numbers and clearances are
extremely important to display when working with employees. Not only do these cards boost site
security, but ensure that there are no unauthorized persons on the property, or in restricted areas.
Contractor cards can also be used as time & attendance cards to keep track of hours worked.
Since contractors typically provide the material, labor, and equipment for their client,
identification is of utmost importance. Alpha Card specializes in construction contractor IDs, or

14
photo ID badge systems workers whose job it is to ensure safety standards are met and that the
job is done correctly and in a timely manner. We also design customized systems for
independent contractors such as IT professionals and nurses who need contractor cards to show
proof of identity at a job site.

CONTRACTOR CARDS THE RIGHT FIT FOR MY ORGANIZATION

Does your organization regularly hire contractors to help or lead projects? If the answer is “yes,”
then we highly recommend investing in photo identification system that verifies the contractor’s
professional information. Contractors can purchase ID card systems for their work crews to
display at job sites — either way, contractors need to have ID on them at all times in case their
role or identity is questioned.

involvement the owner/manager has in the organization.
At the base level, your bookkeeper will be responsible for all the day-to-day
transactional accounting for the business. This will include the tracking of all transactions and
the management of any government reporting. In very small owner-managed businesses, this role
is often filled by a family member with accounting experience. An outside accounting firm is
usually used for annual financial statements and returns. In larger organizations this role will
extend right through to preparing the financial statements with an external auditor engaged for
assurance purposes.
The finance department is also responsible for management of the organization’s
cashflow and ensuring there are enough funds available to meet the day-to-day payments. This
area also encompasses the credit and collections policies for the company’s customers, to ensure

OUR PRODUCTS DEPARTMENTS

There are so many functions of the production department. Below are some of the most
common functions of this department:
 The production department manufactures goods for the business which are then sold in
order to bring revenue for the business.
 The production department is also responsible for the designing of the goods or products
of the business which are sold to other businesses or to the general public.
 Every aspect of production is controlled by the production department. By controlling
production, the department efficiently uses things such as labor, machines and materials
judiciously in order to prevent any wastage.
 The department improves on the products of the business by bringing changes and
innovations.
 The production department makes sure that it produces goods or products at very low
costs in order to maximize profit.
 The production department works in collaboration with the purchasing department of the
company in order to make sure that materials needed for production are always available.
 The department also makes sure that the machines and equipments used in production are
serviced and properly maintained all the time.
MAINTENANCE DEPARTMENT
To maintain the products of cards We have to,
 Keep in existing condition
 Preserve, protect
 Keep from failure or decline
The ultimate goal of maintenance is to provide optimal reliability which meets the business
needs of the company. Many people do not know the definition of reliability and it is: "The
probability or duration of failure-free performance under stated conditions". The maintenance
department is responsible and accountable for maintenance. It is responsible for the way
19
equipment runs and looks and for the costs to achieve the required level of performance. This is
not to say that the operator has no responsibility for the use of equipment when in his hands.
The point is that responsibility and accountability must be assigned to a single function or
person whether it be a mechanic or operator. To split responsibility between maintenance or any
other department where overlapping responsibility occurs is to establish an operation where no
one is accountable. This a fundamental principle for effective operation of maintenance. The
maintenance function is responsible for the frequency and level of maintenance. They are
responsible for the costs to maintain, which requires development of detailed budgets and control
of costs to these budgets.
Where the maintenance department or group is held responsible and accountable for
maintenance, the relationship with other departments takes on new meaning. The maintenance
department can't afford to have adversary relationships with others. They must have credibility
and trust as the basis of interdepartmental relationships. This is an essential element for the
successful operation of a maintenance management system.

HUMAN RESOURCE DEPARTMENT

Employee Relations
In a unionized work environment, the employee and labor relations functions of HR may
be combined and handled by one specialist or be entirely separate functions managed by two HR
specialists with specific expertise in each area. Employee relations are the HR discipline
concerned with strengthening the employer-employee relationship through measuring job
satisfaction, employee engagement and resolving workplace conflict. Labor relations functions
may include developing management response to union organizing campaigns, negotiating
collective bargaining agreements and rendering interpretations of labor union contract issues.
Compensation and Benefits
Like employee and labor relations, the compensation and benefits functions of HR often
can be handled by one HR specialist with dual expertise. On the compensation side, the HR
functions include setting compensation structures and evaluating competitive pay practices. A
comp and benefits specialist also may negotiate group health coverage rates with insurers and
coordinate activities with the retirement savings fund administrator. Payroll can be a component

20
of the compensation and benefits section of HR; however, in many cases, employers outsource
such administrative functions as payroll.

Compliance
Compliance with labor and employment laws is a critical HR function. Noncompliance
can result in workplace complaints based on unfair employment practices, unsafe working
conditions and general dissatisfaction with working conditions that can affect productivity and
ultimately, profitability. HR staff must be aware of federal and state employment laws such as
Title VII of the Civil Rights Act, the Fair Labor Standards Act, the National Labor Relations Act
and many other rules and regulations.

Training and Development

Employers must provide employees with the tools necessary for their success which, in
many cases, means giving new employees extensive orientation training to help them transition
into a new organizational culture. Many HR departments also provide leadership training and
professional development. Leadership training may be required of newly hired and promoted
supervisors and managers on topics such as performance management and how to handle
employee relations matters at the department level. Professional development opportunities are
for employees looking for promotional opportunities or employees who want to achieve personal
goals such as finishing a college degree. Programs such as tuition assistance and tuition
reimbursement programs often are within the purview of the HR training and development area.
