Request for adjustment of Deputies assigned during meetings of the Board of


RE: Commissioners

Thank you for the opportunity to meet and discuss your assessment and recommendations related to the security
of the meetings of the Board of Commissioners. I appreciate your advice and counsel in finding a solution that is
both effective and efficient in meeting our mutual goals of providing a safe, secure environment during our public
meetings. In addition, I appreciate your willingness to address the Board’s concerns regarding the Open Meetings
Act to ensure unimpeded access for individuals with recording devices during public meetings.

Following through on the findings of your assessment and recommendations, I am formally requesting the following
adjustments to the assignment of Deputies during meetings of the Board of Commissioners:

o BOC Meetings During Business Hours – 4 PTNE Deputies


 One deputy at the auditorium entrance to ensure no one is let in from the outside through the BOC
exit. All visitors will be directed to and screened at the South Lobby entrance. Deputies at both the
North and the South Lobby will be advised of the below.
o All personnel who verbally advise they are attending the BOC meeting will be allowed to enter
with their cellphone, camera, or alike; in order to comply with the Open Meetings Act.
o All personnel will be allowed to leave through the BOC exit.
o The Treasurer’s Office door leading to the BOC will be secured to prevent them from re-
entering the Court House.
 One deputy at the employee entrance of the BOC Auditorium to ensure unauthorized personnel do
not enter.
 Two deputies located within the BOC Auditorium at all times.

o BOC Meetings After Hours – 5 PTNE Deputies


 Three Deputies at the Security Screening Station
• One deputy Walk Through Metal Detector
• One deputy inspecting bags.
• One deputy watching visitors in line.
 One deputy at the employee entrance of the BOC Auditorium to ensure unauthorized personnel do
enter.

One deputy located within the BOC Auditorium at all times, joined by one of the security screening station Deputies
once the majority of visitors are in the auditorium, totaling two deputies in the BOC Auditorium during the meeting.
