Introduction to Planning & Dispatching:

In every manufacturing firm, production and sales play a challenging role in the present
economy. Availability of right product at right time at right place is the essence of the
Planning and Distribution.

Demand forecasting, demand projection, manufacturing and dispatch of the finished

product to different locations so as to reach at the right time are the various facets of
Planning and Distribution.

The process involves planning of production based on requirements and demand and
also co-ordination among various sales outlets and different production units in various
transportation alternatives. The process is a consolidated effort of all these wings of the
organization.

The main activities involved in Planning are the Rolling Plan, Distribution Plan, Dispatch
Advice, monitoring of actual dispatch, ensuring availability of material at all sales
outlets, etc and are detailed as below:

 To obtain the requisition from all the branches and regions.

 To get monthly requisition from the regions before 15 th of preceding month.
 Prepare rolling advice after consolidating the requisitions received.
 Obtain rolling programs from PPM
 Preparing monthly dispatch plans and sending copies to the region.
 Prepare weekly dispatch plan.
 Prepare monthly deviation reports.
 Holding monthly meetings with branch managers.
 Issue delivery orders for direct dispatches from the plant.
Research Methodology:
The methodology of the study has two major sources for collection of data, (I) Primary
data and (II) Secondary data.

I) Primary Data:

The Primary Data consists of information on questionnaires and interaction with the
concerned sections of Marketing Department (Head Quarters, Regions and Branches
spreading all over India) and operations departments to provide first hand information
on the project for study.

II) Secondary Data:

The Secondary Data will be obtained from various Periodical Reports, such as, Annual
Sales Performance Report, Inventory Report, Rolling Plans, and Dispatch Plans etc.
The Secondary Data will also be collected from the Intranet & Internet.

Sampling Technique:

The Data will also be collected by applying Stratified Sampling Technique. For this
purpose, the entire market has been divided into three Groups, viz., Customers,
Operations Departments and Regions/Branches of VSP. Random Sampling was taken
from total 50 users of above three Strata.

Stratified Sampling Technique was applied on the following aspects:

 The quality of products which VSP offers

 The grades of the VSP products
 Distribution plan of VSP products
 Whether the production capacities of VSP are meeting the overall demand of
VSP products.
 The supply pattern of VSP products.
 The efforts being taken by VSP to minimize the inventory levels at stockyards.
 Price fixation of the products with relation to their quality.
 Information being given by VSP about its products.
 Whether the production of VSP is meeting the customer requirements.
 The customer relations and attending of Quality Complaints by VSP.

Literature Review:

The literature review section examines the importance of search studies, company data
or Industry reports that serve as a foundation for the setup of study. The research
dimension of the related literature and the relevant information begins from an
explanatory perspective, approaching towards specific studies which do judge the
limitations and informational gaps in data from the secondary sources.

This analysis may reveal conclusions from past studies to realize the reliability of the
secondary sources and their credibility. This in turn enables one to rely on a
comprehensive review for the study.

The review of literature does scrutinize the important research studies. The primary
sources that provide relevant information are the best form to retrieve data from the
research. The primary sources were encouraged with the help of distribution of
questioners as well as conducting personal interviews. With this the data received
enables the researcher to accurately arrive at the problem of the study and the
consecutively solutions to the same. The secondary sources were also relied on for
additional information. It includes company journal, newsletters, records, manuals etc.

Conclusion:
Post the project we will have a better understanding of the Planning & Distribution of
Visakhapatnam Steel Plant , knowledge on sales of their products and analyze
production capacities based on various products to optim ize production.
