

What are the inputs and purposes for the Direct and Manage Project Execution
Process?
(4 points)

1) PM Plan
- Sets out how a project will be implemented, executed, monitored & controlled and closed
out
- Provides information on how to sustain performance measurement baselines
- Includes techniques for communicating with stakeholders

2) Approved change requests

- Expand or reduce the scope of a project
- Sometimes require preventive or corrective actions to be taken

3) Enterprise environmental factors

- Used to generate data for monitoring the project cost, scope and time
- E.g. company structure & culture, infrastructure, human resource allocation, stakeholder
risk tolerance, project management information systems

4) Organisational process assets

- Includes plan, polices and procedures used to guide the project while it's executed
- E.g. process measurement database, procedures for defect management & action item
tracking, issue and defect management database, communication requirements and
standardised guidelines and work instructions



What tools & techniques are used for the Direct and Manage Project Execution
Process?
(2 points)

1) Expert Judgment
- Used to manage and direct a project
- Can include judgment of one's self, subject matter experts, stakeholders, customers, the
project sponsor or other areas of an organisation

2) Project Management Information System

- Used to gather, records, filter and disseminates information and enable the project manager
to update the PM plan, publish and assign team assignments, allow the project team to
receive and view tasks and inform team members of assigned or changed tasks
- E.g. project management programs, collaboration software, knowledge management
software, accounting programs and configuration management systems



What are the outputs of the Direct and Manage Project Execution Process?
(5 points)

1) Project Deliverables
- Outcomes specified in the PM plan that are achieved during the execution of the project.
Include products, results or services (or a combination of these)

2) Work performance information

- Output of the activities a PM performs to track how a project is progressing relating to cost,
schedule and scope
3) Change requests
- Issued during the execution of a project to ensure a project achieves the goals. May increase
or decrease the project scope and increase or decrease cost and schedule
- Can include corrective or preventative actions or updates to documentation or actions

4) Project management plan updates

- Added throughout the life of a project
- Are an output from many of the project management processes

5) Project document updates

- Result from approved change requests
- May include a variety of documents



What is the aim of the Monitor & Control Project Work process?

To track, review and regulate the progress of a project. This makes potential problems or
setbacks easier to identify and ensures a project stays on track to meet its objectives



What are steps in the Monitoring & Control Cycle?

1) Setting performance standards

2) Observing performance
3) Comparing actual with planned performance
4) Taking action to correct deviations



What are performance standards that are used in the "setting performance standards"
of the Monitor & Control cycle?

The minimum set of expectations for a project and can be measured in terms of the following
standards
- Cost estimates and budgets
- Development cycle time
- Financial forecasts and funding plans
- Innovation
- Physical quantities of work
- Productivity
- Project schedule
- Project specification
- Project team satisfaction
- Quality standards and product specifications
- Reliability
- Resource utilization
- Scope statement
- Senior management satisfaction
- Project requirements
- Stakeholder satisfaction
- Strategic fit
- Vendor or contract performance
- WBS and WBS dictionary
- Work packages



What happens during the "observing performance" stage of the Monitor & Control
cycle?

Informal or formal information is gathered to assess a project. Information can come from
various sources



What is the importance of the "comparing actual with planned performance" stage of
the Monitor & Control cycle?

Used to compare actual performance of the project to the planned performance shown in the
project plan. This shows the progress of the project and allows identification of deviations
and their cause - may also allow identification of necessary corrective actions



What is included in the "taking action to correct deviations" stage of the Monitor &
Control cycle?

Includes the controlling activities of the cycle. The type of corrective action can be small or
large (e.g. adjusting project plan, reassigning resources, changing project management style,
etc.)


What are the inputs to the Monitor & Control Project Work process and their purpose?
(4 points)

1) Project management plan

- Provides cost, time and scope baselines

2) Performance reports
- Prepared using work performance information relating to, current status, accomplishments,
activities and issues

3) Enterprise environmental factors

- Internal or external factors that can affect and place constraints a project such as, govt. or
industry standards, stakeholder risk tolerances and project management information systems

4) Organisational process assets

- Include processes used by the organization itself that can have an impact on the project as
well as lessons learned from previous projects



What is the formula for analysing project performance?

Planned performance - actual performance = analysing project performance

- Planned performance comes from the baselines in the project management plan.
- Actual performance is determined from information that is gathered as work proceeds.



What types of performance can be measured?

(4 points)

1) Time
2) Cost
3) Scope
4) Quality



What is Corrective Action?

An action taken to repair a deviation that has already occurred or to stop it from reoccurring
in the future


What is Preventive Action?

An action used to stop a potential deviation from occurring



What is Defect Repair?

Correcting product defects found during the Perform Quality Assurance and Perform Quality
Control processes to bring product or service back in line with specifications and
requirements



In what ways can performance be brought back in line?

(3 points)

1) Corrective action
2) Preventive action
3) Defect repair



What are the outputs of the Monitor & Control Project Work process?
(4 points)

1) Change requests
- Issued to recommend corrective or preventive action or to repair defects

2) Project management plan updates

- Updates to project baselines & subsidiary PM plans

3) Project document updates

- e.g. work instructions, project risk register and resource calendar

4) Project baseline updates

- updates to scope, quality, cost and schedule baselines in the project management plan



What are the four principals related to changing the PM Plan baselines?
(4 points)

1) Change requests lead to baseline adjustments

2) Changes to one baseline affects other baselines
3) If baselines are adjusted future monitoring and controlling will be skewed
4) Project baselines may be increased or decreased
