Admin Aide IV (Clerk II)

 Prepares and types confidential correspondence, communications and reports of the


Department Head
 Receives and checks certified true copies of records and official documents issued by
the office before signature of certifying officials
 Assists in the supervision of clerical work
 Handles a variety of records, typing of outgoing correspondence and indorsements
 Performs such other related duties as maybe assigned by superiors from time to time

Administrative Office Section

1. Admin. Officer II (Admin Officer I)


 Supervises and coordinates work activities of employees involved in the administrative
service functions such as correspondence dealing on administrative policies in the unit
 Supervises and coordinates the budget preparation and control functions characterized
by such duties as the preparation and consolidation of budget controls, the reports of
budget status and program accomplishments
 Performs other duties and functions as may be assigned from time to time

2. Property and Supply Section (Admin. Officer I)


 Takes charge of price canvassing, public bidding and purchases related activities as well
as property managements
 Assists in the supervision of the price canvassing of various supplies and materials
needed by the city or department and canvasses according to recognized specification
and regulations
 Reviews various purchase requests and RIVs from different offices
 Checks and signs abstracts of proposals, equipments
 Maintains the storing and safekeeping of pertinent documents, memo receipts for office
supplies and equipments
 Assists in the procurement of accountable forms from printing press
 Performs other duties and functions as may be assigned.

3. Personnel and Records Section (Admin. Officer I)


 Receives, clarifies, records and files various letters and endorsements in chronological
order for ready reference
 Maintains a sound program for the management, preservation and disposition of a
variety of records
 Assumes responsibility and custody of various official documents
 Prepares/types, reviews, checks and issues certified true copies of general and
legislative records and documents issued by the office
 Furnishes copies of resolutions and ordinances to all offices concerned
 May make preliminary drafts of important reports, memoranda, or correspondence
which may be issued by the office
 Performs other duties and functions as may be assigned from time to time.

4. Admin Aide IV (Clerk II)

5. Driver I (Admin Aide III)
 Drives out office vehicles carrying passengers on official business of the City
Government under the direction and request of a responsible official
 Makes sure that the vehicle is fully gassed, lubricated, watered and in sound mechanical
condition before usage
 Checks brakes and tires to be certain that they are in good working condition
 Complies with the existing laws and regulations on trip tickets and accomplished
monthly operating reports
 Keeps exterior and interior of motor vehicles presentable and fills out appropriate
mileage, time and passenger logs
 Performs such other related duties as maybe assigned by superiors from time to time

6. Admin. Aide I (Utility Worker I )


 Performs janitorial work in the Office and its premises
 Provides messengerial services such as delivery of notice, agenda, invitations,
communications, etc.
 Assist in safeguarding all properties from theft, fire, destruction, mischief, etc.
 Assists in the preparation and follow-up vouchers
 Assists in the canvass of office supplies, spare parts, diesel and other requirements
 Distributes office supplies from supply section to requesting offices or units
 Performs minor repairs on office furnitures
 Binds and bundles office records
