1.0 Reefer Malfunction Reporting

In the following cases, kindly submit a RMQS malfunction report to RMQS (Reefer
Monitoring and Quality System) via auto email address (CENREFRMQS@MAERSK.COM).
1. When assistance or guidelines are required or if the reefer container is not repairable
onboard.
2. When for some reason a reefer is not fit for loading or transportation and must be rolled.
3. When failure or damage to a reefer unit has been corrected onboard, but with possible
damage to the cargo.
4. When a reefer unit has been malfunctioning or running 2°C out of range from Set point, for
more than 24 hrs.
If a defective reefer must be off-loaded and other containers need to be re-stowed, please
check further, “Discharging and Rejection” guideline as below.
5. In addition to above, malfunction reefer reports for successful reefer repair must also be
sent, ensure providing part information (part name, part number, quantity) at L1 (if part
was used). This will ensure that used parts will be recorded properly to MERC+ system.
When RMQS is not available onboard or not working, send your report as normal email
message using the following format, preferably uses excel file malfunction reefer report:

Compressor suction and discharge pressures MUST be stated. If there is no indication on the
unit, measure the suction and discharge pressures with gauge set.
For Super Freezer units, pressures are required for both the R134a and the R23 system.

Malfunction reefer reporting (filling up require information in report)
 All required information must be filled up at field A1 to M1 in malfunction reefer

report (RMQS or excel form).
 Please ensure filling up (YES/NO) correctly in the key field, M1= assistance requires
next port? =Assistance/technical advice require, F1= Repairs needed when discharged?
=outstanding repair required upon discharge.
 L1= "Comment" field should be used when additional information, result of
repair, explain more about malfunction reefer unit (or) used part information.
 Clearly state if unit is under control, result /status of unit after repair, urgent
assistance is needed or not.
Those will help us to assist needful and further maintenance arrangement of reefer unit upon
discharge.
The temperatures, working pressures must be reflected present status of unit as always.
 “Working pressures” at J1, J2 (for standard reefer units), J1, J2, J3, and J4 (for
Super freezer) must be provided without fail as that information are indicating present
status of unit and refrigeration system. Pressure readings must be taken by gauge
manifold set when compressor was running (if same pressure readings are not
available on controller display).
 The temperature readings which reflect current status of unit, must be filled up in
H1,H2,H3 (for standard reefer) ,H5(USDA1,2,3) (for special reefer/super freezer)
 D2:Alarms on controller, alarm list to be provided (state AA=Active alarm, IA=In
active Alarm)
 Malfunction symptoms /supporting information related to malfunction should be
provided avoiding unnecessary sending of lengthy mails for further clarification.

E1: Work done /repair on reefer unit must be provided, “malfunction symptoms or short
repair history”. That complete information in report will help us to solve problem with further
advice based on work done/repair history.
 For STARCARE CA unit, please include O2 and CO2 readings at I10, I11 in
malfunction report which are available in “INFORMATION" MENU in controller. (I18)
reading can also be stated in L1 (comment field). Other CA readings I1-I8 in
malfunction report are only applicable for Carrier CA.
Also, please ensure ordering spare part to maintain reefer kit onboard as per allowance and
land defective parts for warranty claim or core-warranty. Please see 2.0 Ordering of
Reefer Spare Parts, page-11 and 3.0 Returning of Defective Parts, page-54
1.0.1 Duty Phone
Maersk Line has mobile duty phone which can be called at any time of the day for
assistance/guidance on reefer matters. It should only be used for
Maersk Line operated reefer units in case of emergency when all other options have
been tried.

Maersk Line Reefer Operational Hotline
As of December 1st 2013, the Maersk Line Reefer Operational Hotline +45 40524739, will
be decommissioned.
Whenever a Reefer unit malfunctions, the vessel must issue a Malfunctioning Report
(MALREF) as per current SOP (ROM) and apply the required repair/s to the Reefer Unit.
If all attempts to repair the Reefer Unit fail, please see below guidelines.
The decision to reject or land a malfunctioning reefer container lies, as always, with the
vessels Master, who has the full authority to reject or land any Reefer Container that might or
can create a risk towards crew or vessel safety.
The decision to discharge a unit should always take place in close cooperation with Agents and
Port Operations and must, under normal circumstances, involve the below considerations.
Discharging a reefer container is not allowed in the below cases.
1) If the Reefer Container has been loaded in the same country where discharge is requested.
(Cabotage)
2) If discharging the reefer container will delay vessel departure.
3) If more than 20 restows in total is required.
The above does NOT apply in such cases where a reefer container presents a danger
to vessel crew and/or the vessel as such.
Rejection of units should not take place in the below cases:
1) If a unit is “hotstuffed” (unless Cold Treatment) and otherwise functioning correctly.
2) If a Super Freezer is loaded with a return air of -40C or colder (at a –60C set point),
provided that the SF unit is functioning correctly.
3) If spare parts are missing for a reefer container, BUT at the same time the reefer container
is operating according to (expectations).
4) It must be emphasized, that when a vessel is forced to carry a malfunctioning unit due to
above limitations, no Master will be held liable for any claims, provided all responsibilities
are maintained when carrying same.
For queries about reefer settings (temperature, ventilation, humidity), the agent at the port
of loading must be contacted as soonest as possible.

1.1 Acceptance & Repair of Shipper Owned Reefer

Containers (SOC)
To be accepted on a Maersk Line vessel, a SOC reefer container must have:
 A valid CSC plate permanently affixed to the container;
 A unique and legible container number permanently attached to the container. This
unique container number must preferably be a composition of a four letters prefix and
seven numbers.
A full spare parts kit, including repair manuals and electric diagrams, must be supplied to
Maersk Line by the shipper. The kit must follow the container throughout the voyage and be
delivered to the consignee with the container. If the reefer unit/container is not identical to
Maersk Line own reefers and no proper spare parts or a valid LOI (Letter of Indemnity) is
provided prior to vessel departure holding Maersk Line free of any responsibility towards
breakdowns, repairs, etc. the booking office in charge must forward a pre-advise notice to the
vessel(s) loading a shipper owned container advising them when a LOI is replacing the supply
of spare parts. Failure to do so will result in rejection of the unit by the vessel.
All settings, such as temperature/ventilation/humidity, must be in line with Maersk Line in-
house guidelines. No shipper-owned containers will be accepted with a temperature setting
below -22°C (-8°F).
A shipper-owned container will not be accepted in hot stuffed condition.
Maersk Line is to be indemnified for all loss/claim/damage to cargo requiring special

heating/cooling in the event of malfunction while in Maersk Line custody. Clause 10 & 12 of the
Maersk Line B/L refers in the event the Shipper is to be held liable for any damages/cleaning
costs and will be invoiced for all repairs, including spare parts, if not supplied by the Shipper.
If any malfunction occurs then any repairs involving ML spare parts to be approved by
GLBEQUEMRREF@MAERSK.COM .
When a repair has been performed to a SOC reefer unit, send a malreef report and spare part
order as per procedures for Maersk Line reefers.
Please see RAOM (Reefer Acceptance and Operational Manual) for additional information
regarding SOC reefers.
1.2 Repairs to reefer units of partner lines (VSA unit repair)
For reporting of VSA (Vessel Sharing Agreement) reefer malfunction, please do not use RMQS
system. Please use excel form malfunction reefer report instead, send directly to VSA partners
(e.g HSUD=Hamburg Sud, CMA CGM, HLO=Hapag Lloyd, MSC etc.) for reefer part
replenishment/technical assistance. Please keep CENEQUVSLSUP@MAERSK.COM in
copy.
Please ensure providing part information for part used in VSA unit repair. Part
replenishment will be followed up by VSA partner for their unit repair as per VSA agreement.

1.3 Cannibalization of Empty Reefers

Only in case of emergency and after approval from CENEQUVSLSUP, empty reefers may be
cannibalized. An email must then be sent to CENEQUVSLSUP confirm the container
numbers and defective part serial numbers.
The defective part must be installed in the empty reefer and the container should be labeled
with vessel name, date and part defective.
A reefer malfunction report must be sent as per normal procedures.

2.0 Ordering of Reefer Spare Parts

To order the parts used, create a requisition in the system.
The requisition to be created in RDRM under purchase type: "Reefer parts" and account no.
Z.4060000.1000-CONT.100622
The requisition must always contain following information:

 Delivery port - select port of delivery from list of key ports, see below.
 Part number
 Article number
 Description
 Current stock
 Requested delivery date
The requisitions must be submitted no later than 8 working days before the requested
delivery date.
Order confirmations are issued from the purchase department.
In case of back orders from the suppliers the orders are cancelled in the APM-M purchase
system and vessel is informed accordingly. New requisition must be created by vessel.
Upon receipt of ordered parts C/E must update RDRM.
All parts in reefer kit must be checked and ordered timely to maintain stock as per
allowance list.
Parts in SF kit must always be checked and available at all times if SF kit was provided.
2.1 Allowance List
Vessels equipped with more than 700 plugs are allowed to have on board X-Large Kit.
Vessels with 300 to 700 plugs are allowed to have on board a Large Kit
Vessels with 150 to 300 plugs are allowed to have on board a Small Kit.
Vessels with 50 to 150 plugs are allowed to have on board a Mini Kit.
Super Freezer Kit will be placed on board upon request by CENREFULT (or) LOC.
Vessel completing onboard PTI’s will not be supplied with PTI kits
Vessels with sailing time of less than 72 hours between port calls will not be supplied with
reefer spare parts.
Each of above kits will include manuals and tools.
The allowance list for your vessel can be found in RDRM or received per email request to
CENEQUVSLPUR@MAERSK.COM .
Water cooling
Vessels without connections for "Water cooled operation" in cargo holds please do not order
spares for water cooled receivers.

2.1.1 Compressor oil

Please note that compressor 18-10129-20SV and compressor 18-00055-20RM2, are
delivered without lube oil.
Any delivered reefer ester oil can be used as e.g. Castrol Icematic SW-20, MOBIL EAL22R
ARTIC.
OIL for Scroll compressors.

Use Carrier part no. 07-00427-00P12, art no. 414634 Oil, 32ST, for Daikin, Thermo King
and Carrier scroll compressors.
OIL for Thermo King and Carrier piston compressors.

Use Carrier part no. 07-00292-00, art. No. 270628, Castrol, Lube Oil R-134a, for Thermo
King and Carrier piston compressors.
OIL for Starcool compressors.

Use Starcool part no. 818667B, art. No. 423053,
2.2 Preferred reefer spare parts replenishment key ports

The following key ports shall be selected for delivery of reefer spare parts.
All supplier's can arrange delivery within 5 working days

BLACK/BOLD
( Preferred Port ) According to frame agreement supplier is granted lead time of min. 5 working days – to
ensure full delivery.
BLUE At all times kindly limit use of these ports for spares delivery.

other ports will generate freight charges from one or more shippers.
2.3 Reefer spare parts contacts

2.4 Consumable parts

Consumable parts, such as plugs and cable splices can be ordered in the same way as other
reefer spare parts. The distribution of these parts is done by MCI Star Cool, so the parts have a
Star Cool part number in the systems and allowance list.
2.5 Combining orders / minimum order value

We have been advising and encouraging all vessels whenever we have opportunity to combine
orders in one request, instead of ordering only one item at a time. This is in order to save
shipping costs, frequent local delivery charges and to avoid the risk of losing parts.

The minimum order amount of reefer spare parts to be ordered per manufacturer is 100
USD for the same reasons. Maersk Line will be responsible for the shipping costs incurred from
each supplier if the order is less than 100 USD, not to mention that the shipping cost will
highly exceed the part value. Some items (like fuses) cost less than 1 USD per piece.
2.6 Software files
All latest software and configuration files should be requested to

2.6.1 Ordering Carrier software and configuration card, LOGMANII
PCMCIA cards (SRAM cards) for upload software and configuration files to Carrier
controllers (ML2i / ML3) are no longer supplied to vessels due to reliability issues. An
alternative software tool called USB Host Adapter will be replaced the item once onboard
PCMCIA or SRAM card is no longer operational.

3.0 Returning of Defective Parts

3.1 Responsibility
It is the vessel’s responsibility to ensure that all parts with a core value are returned to the
manufacturer according to manufacturer’s guidelines.
Defective parts must be delivered to the agent labeled for the respective manufacture and
properly tagged. Thus the agent must be informed prior ETA landing port in due time
in order to arrange pick up. In order to track the faulty parts please ensure that
CENEQUVSLPUR@MAERSK.COM is kept in CC of messages to the agents.
All parts returned should be labeled with a Return Tag. Thermo King and Star Cool have their
own Return Tags; use a Maersk Return Tag for parts of all other manufacturers. Wrap the part
in the original packing. The information on the Return Tag is very important when warranty
claims have to be filed. This information is also needed on the Maersk Line “Reefer Parts
Return”.
York RMM (Remote Monitoring Modems) used in Carrier, Daikin and Starcool units are not
to be returned. Thermo King Modems do have to be returned, see the table below.
Empty refrigerant bottles that cannot be refilled do not need to be returned. Refillable
refrigerant bottles can be returned without further notice. Supplier Drew Ameroid should
collect the empty bottles when delivering new spare Freon to the vessel.
3.2 Parts to be returned

The following parts must be returned to reclaim core and / or warranty payment.
Rewinding of condenser and evaporator fan motors is not done; these motors do not need to
be returned if they are not mentioned in the table below, unless the unit is still under
warranty. Parts should also be returned if they still have parts warranty (normally 1 year)
Container numbers – warranty units for a list of container number series that are still
under warranty.

Daikin units are covered by a maintenance cost program and all replaced parts must be landed
upon receipt of the new part with filled in Return Tag safely attached.
Daikin parts are to be addressed to Daikin per address of local agent in landing port. The agent
will keep the parts in stock for 90 days for inspection by Daikin where after parts are
destroyed.
Please return Daikin spare parts in key ports and preferably in Tanjong Pelepas / Hong
Kong or Algeciras.
NOTE: Electronic parts and compressor motors that are covered by warranty or represent a
core value are delivered on exchange base.

Vessel must return the part no matter if it is burned or otherwise damaged.
York RMM Modems (used in Carrier, Daikin and Starcool units) are not to be returned.
Thermoking modems do have to be returned, see the table above.

3.3 Marking of parts to be returned and documentation

Whenever a repair is done to a reefer unit and return parts have been used, the following
documentation should be completed:
 Reefer malfunction report (malreef)
 Return Tag to be attached to the defective part;
 Reefer Parts Return form (I-form 138) to be sent.
The agent in the port of landing should be informed at least 24 hours in advance in order
to arrange the collection of the parts.
Carrier and Thermoking electronic parts should be tested before returning to manufacturer.

3.3.2 Reefer Parts Return Form

The "Reefer Parts Return" form (I-form 138) should be made in three copies. Please attach
one copy to the part returned, forward one copy to CENEQUVSLPUR@maersk.com, and keep
one copy for your own administration.
The form is used to ensure the parts are sent to the correct address and to claim for core /
warranty payments with the suppliers.
Due to a number of different addresses for the manufactures, a separate form must be used
for parts of each manufacturer. More than one part for the same manufacturer can be entered
on the same form.
If for some reason the I-form cannot be used, an Excel form is available from CENEQUVSLPUR
on request.
Please use the following guidance to fill in the Reefer Parts Return form:
Advice note no: please state vessel number - CA - consecutive number.

The parts will not be physically sent back to the manufacturer, but must be stored by the
agent for 90 days for inspection by Daikin. After this, they will be disposed.
Thus, for Daikin parts, the return address is "AGENT STORAGE 90 DAYS". Since Daikin is
entitled to inspect the parts, the same documentation as for other suppliers is required;
including the return tag to identify the origin of the parts.

3.5 Compressor Return Procedure

To qualify for core credit the core must have the following:
1. Consist of all original parts and be fully assembled. A complete compressor includes
cylinder heads and valve plates, crankshaft cover, oil base, oil pump and all hardware.
2. Core is sealed, including; suction and discharge ports and all port fittings (use covers
from the new compressor or cover ports with duct tape).
3. Not damaged by no-operational causes such as rough handling, fire, or improper
installation and dismantling procedures.
Place the core in the shipping carton used to ship the new compressor or secured (strapped or
bolted) to a pallet.
3.6 Electronics Return Procedure for Carrier and Thermoking

All Carrier controllers and Thermoking main relay boards (MRB) and controllers are to be
returned.
For the Name and Address of Agent field, the nearest addresses should be used.
NOTE: Electronic parts and compressor motors which either are covered by warranty or
represent credit core are delivered on exchange base, this means that the defective part must
be handed over upon receipt of new part.
For vessels call to Latin America please return the parts where possible in Europe / Panama
Vessel must return part no matter burned or otherwise damaged.
3.7 Reefer Unit Warranty

Information on all parts on Maersk Line reefer units covered by warranty can be found on the
data / serial plate on the unit or part.
It is a request from manufacturers that the following information is available when warranty
claims are presented:
1. Unit serial number (FROM DATA PLATE ON UNIT)
2. Unit model number (FROM DATA PLATE ON UNIT)
3. Commissioning date (FROM DATA PLATE ON UNIT)
4. Part no and description of part
5. Serial no of old part (if available)
6. Serial no of new part
7. Cause of failure.
Makers have tightened up procedures and in some cases rejected warranty claims that do not
have above-mentioned information. Therefore once again, it is of the utmost importance that
the malreef / Reefer Parts Return form has the above-mentioned information. In case the
information is not available, please fill in 'NA' instead of the requested information.

1.0 Reefer Malfunction Reporting

A reefer malfunction report must be sent as per normal procedures.

2.0 Ordering of Reefer Spare Parts

The requisition must always contain following information:

Order confirmations are issued from the purchase department.

Upon receipt of ordered parts C/E must update RDRM.

Each of above kits will include manuals and tools.

2.1.1 Compressor oil

OIL for Scroll compressors.

OIL for Thermo King and Carrier piston compressors.

OIL for Starcool compressors.
