NDI Online Asset Management
Overview
The NDI Online Asset Management tool provides customers with the ability to track
moves, adds, changes, deletions (MACDS), RMAs, and credits via a web-based
solution.
What differentiates this solution is that it is integrated into the Cisco Service Contract
Center (CSCC) as well as the Cisco ordering tool (CCO) so that all the actions that take
place in the asset management tool then get updated within Cisco so the customer's
database matches the Cisco database. Renewals that currently take weeks and
months to complete now take a couple of days. Cisco will now know where the
customer's devices are located and what level of maintenance those devices are under
so there is no more confusion when an RMA is created. If the customer removes
devices from maintenance the system will automatically calculate and track the credits
generated from the remaining maintenance on those devices.
There are numerous standard reports that can be run but customized reports can also
be created. Some of the reports available to customers are End of Support reports,
Activity reports, RMA reports, Contract reports and Lease reports. The solution also
tracks the financial information surrounding each device for Sarbanes Oxley
compliancy. The customer will be able to see exactly what they are paying per device
on SMARTnet.
The NDI Online Asset Management Solution puts the customer back in control of their
network and the assets tied to their network. They will be able to customize the solution
based on how they want to see and manage their data and also have complete control
over who has access and what levels of access they have.

System Benefits
Financial Implication Reporting - Custom reporting provides the CIO, CFO, and
CEO financial information related to both maintenance agreements and the associated vendor
hardware contracts.
Audit Capabilities – With Online Asset Management, you can easily audit your
inventory with the vendor inventory database.
Parent/ Child Asset tracking – You can track modules that are configured within a
vendor chassis, making management of moves tremendously easy.
Flexible Location Tracking - Each item can be tracked by any number of location
variables, customized by the customer’s needs.
Virtual Inventory - Why pay for maintenance on equipment that is sitting in your lab
waiting to be deployed? With the virtual inventory feature, you can still track the asset and
begin maintenance when you place the items into production.
Data Integrity – Your data will be continuously audited throughout the maintenance
agreement so the Cisco database matches your internal database.
Credit Tracking – The system will track Cisco credits when a device is removed from
production or if a device has maintenance extending beyond the end of service date.
RMA Tracking – RMAs will be tracked and we will make the necessary updates
within Cisco and in your inventory
System Features
Power Search: Allows the user to search by Name/IP Address, Serial Number, Part
Number, Asset Tag and Warranty End Date. It is possible to search all fields at once by
entering search criteria into the field, “Search All Fields”.
Parent Part Number: Allows the user to select specific parent part numbers from a
list of part numbers in the system. Multiple part numbers can be specified within the
search.
Location: Allows the user to select specific or multiple locations from the list of
user’s locations.
Contract Number/Type: Allows the user to select contracts from the list of user’s
contracts.
Asset Status: Allows the user to search Live Inventory, Virtual Inventory, or both
Live and Virtual Inventory simultaneously.
Parent/Parent and Child Assets: The user has the option of searching for Parent
Assets or Parent and Child Assets.

List of Assets: Once the criterion is submitted, a list of assets matching the criteria
is displayed below the main search area. From here, the user can click on an asset’s
serial number to view a variety of details pertaining to that asset.
Asset Details
There are multiple areas of detail that can be accessed on any asset.
Details
View and edit/update basic Asset Information, such as Asset Tag and Serial
Number.

View Child Assets from the list or add new ones.
Maintenance
View basic Asset Information, such as Part Number, Serial Number and Description.

History
Asset Action Items are listed in order by request date along with each action’s
status, initiating user and description.

RMA
This function allows for the tracking of assets returned to manufacturer, RMA
information should be updated every time a device is replaced.
RMA Information should be entered by the user after RMA requests are placed with
Cisco.
RMA is pending completion and will be marked accordingly until the user receives
the replacement device.
Replacement Information should be updated after the user receives the replacement
device. New Serial Number, Received Date and Close Notes should be entered before
completing RMA request.
RMA History can be tracked by viewing the asset action items on the new serial
number.
Add Asset
There are four ways assets can be added to inventory. Assets are placed in Virtual
Inventory first, and have to be made “Live” in order to move to Live Inventory.
Virtual Inventory
Virtual Inventory is a holding area for an asset until maintenance is purchased on it.
Details
View and edit/update basic Asset Information, such as Asset Tag and Serial
Number.

View an Asset’s Location Information, move the asset to a different location or
remove it from inventory.
View Child Assets from the list or add new ones.
Make Live
Serial Number and Location information should be updated when making an asset
Live With Maintenance. Contract Information should be selected from the list and
contract’s Start Date should be updated.
• Serial Number and Location should be updated before making an asset Live with
Maintenance.
Purchase Maintenance
Maintenance is purchased on assets in Virtual Inventory. Purchase order should be
fulfilled within 48 hours.
Update Asset Information: Serial Number and Location are required fields,
Asset Tag and Name/IP address are optional.
Enter PO.
Credit Bank
A Credit Bank entry is created when an asset is removed from contract or inventory.
Initially it’s in the system as Estimated Amount and its status is pending. Once credit is
approved by Cisco, the actual credit amount is entered by Customer Service and the
credit bank entry is approved.
User can View a List of all credit bank entries to date, displaying description,
location, status, estimated amount, actual amount and balance.

Credit Bank Entry Details page displays al available details for the selected Credit
Bank Entry as well as its Status History.
An Approved Credit Bank Entry displays all available details for the selected entry as
well as its Status History and Credit Memo Number.
Audit

Mismatch Details is a list of displaying asset details in our system compared
side by side with details in SCC.
Assets Only in NDI Online Asset Management is a list of assets that were
found in our system but do not exist in SCC. The user can click on a serial number
which will lead to the asset’s Details page.
Assets Only in SCC is a list of assets that were found in SCC but do not exist in
our system. The user can click on Serial Number which will lead to the SCC asset’s
Details page.
Action Items
Every action creates an Action item so the user can efficiently track the history of any
asset. If there is an action required, an action item will have an open status until
Customer Support acts on it. If there’s no action required, then the Action item is closed
automatically, but is still searchable.
Search
Action Item Type allows the user to search by type within the various categories of
action items.
Status allows the user to search by an action item’s possible status levels:
Cancelled, Closed, Open, Pending and Future.
Criteria allows the user to search by Description and Start and End Date.
Action Item ID allows the user to jump to a specified Action Item’s Details page.
List
A list of Action Items matching search criteria is displayed below the main search
area. The user can click on a ticket number to view the details of any listed item.

Details
Action Item Info displays the ticket number, date initiated, initiating user, status and
description.
Details area displays the details of an asset, both old and new information,
depending on the item type.
Action Item History displays the history of an item from open to close.
Action Item Notes displays all the notes that were added to an item. The user can
also add notes in this area.
Related Action Items area displays all other action items related to a particular asset.
