One Stop

Shot
OTD Coordination (On-The-Day):
-Instant turnover of all documents of pre booked suppliers to determine the viability and
effectiveness of each.
-Free consultation on all aspects of production immediately upon booking.
-Deployment of 3 coordinators with 2 assistant for the event day & 1 Event Host/Emcee.
• Assist the couple in confirming details, services and final agreements with the suppliers.
• Assist in reviewing service contracts with the suppliers
• Provide advice or suggestions on etiquette, wedding trend while blending with culture, custom and
tradition
• Should the client require the One Stop Shot Coordinators to do ocular inspections for out of town
locations, an ocular fee must be arranged and paid.

Pre-event Meeting with the client.(Days to Weeks before the Big Day)
(Preferably on-location of reception)

• Finalize all wedding plans and arrangements


• Check and confirm details, instruction or changes of all suppliers’ services. (Time of Delivery)
All changes made by ancillary suppliers and the client without acknowledgement from One Stop
Shot will be out of the One Stop Shot’s liability.
• Finalize Church & reception layout or Floor Plan, food set-up, seating and place cards
arrangements, floral arrangements, cake table set-up, gift tables, musicians, stage, microphone,
Audio-visual set-up, dance floor, reception program, and all other details.
• Discuss & Finalize Reception Program.
• Finalize music background per activity on wedding day.
• Finalize activity for match making rituals & corresponding required materials paraphernalia.
• Remind the Couple to Brief participants (attendants, readers, OFFERORS (Offertory Items),
singers, dancers) in ceremony and reception about their roles & Speech.
• Discuss & Check on wedding day requirements-materials, clothes, food, gifts, and paraphernalia.
• Discuss with the couple the prepared Wedding Day Schedule/Timeline.
• Plan out payments to be made on the wedding day.
The Wedding Day
1. At the Bride’s Preparation Venue
• Check on the Bride and the Entourage and coordinate on last minute details
• Check on wedding gown, and all bridal items and accessories
• Check on arrival and services of suppliers in accordance to planned timeline: Hair and Make-up
Stylist, Photographers, Videographers, Florists
• Assist in assembly and preparation of displays as well as photo shoot, hair and make-up and even
bride’s meal before going to the church or ceremony venue.
• Collect all needed materials to be brought to the church/ceremony venue: flowers for the entourage
and principal sponsors, missalettes, veil, cord, arrhae, matches, Unity Candle (if applicable), and all
other wedding paraphernalia
• Collect all needed materials to be brought to the reception venue: gifts and favors, wines, wine
glasses, cake cutter (if applicable) and all other wedding paraphernalia.
• Assist in the payment of balances to some suppliers
One Stop Shot will handle all payments on the wedding day. An acknowledgement receipt will be
given to the respective supplier and the client once payment has been made.
• Implement new changes if necessary and take care of emergencies.
2. Site of the Ceremony
• Check lay-out, set-up, decorations, bridal couple’s pews and chairs, seating arrangements of
entourage, sponsors, parents, musicians’ area, sound system, etc.
• Assemble all needed materials and paraphernalia (i.e. Unity Candle)
• Check the arrival of musicians/choir/singer and coordinate with them.
• Check the arrival of Priest or Minister.
• Check the arrival of, brief and coordinate with, the Commentator, Lector, Readers and Offerors.
• Distribute corsages, bouquets and boutonnieres to the entourage
• Distribute missalette or wedding programs
• Distribute matches, veil, cord, and pillows with arrhae and ring to the entourage.
• Assist in organizing processional line-up for the sponsors and entourage.
• Instruct ushers on seating plan of sponsors and entourage
• Prepare offertory items, (if applicable) wine, chalice and ciborium on the offertory table.
• Last minute reminders and instructions for the participants
• Assist the bride with her gown, tiara, bouquet in preparation for her wedding march.
• Assist in the payment of balances to some suppliers.
• Assist in an orderly photo shoot.
• Collect back all ceremonial paraphernalia and ensure that no item endorsed shall be left behind.
3. Site of the Reception
• Check lay-out, set-up, food set-up, decorations, bridal couple’s table, presidential table, receiving
line, gift table, sound system, stage, audio-visual equipment, dance floor, etc.
• Check on seating plan, place cards, table numbers, and chair counts.
• Set-up guest book table or receiving line materials and displays (if applicable).
• Check delivery of flowers, centerpieces, decoration set-up
• Check delivery of cake and set-up of cake display table.
• Check all materials and paraphernalia for the activities: wine, wine glasses, cake cutter, etc.
• Gather souvenirs, gifts for the sponsors and entourage in a secured place for readily distribution.
• Meet and coordinate with Caterer, Captain Waiter, and Banquet Sales Representative
• Check arrival of and coordinate with Musicians, Entertainers, Band, Host/Emcee, Mobile and
Sound System Personnel.
• Meet and coordinate with the members of the entourage on their roles and activities.
• Coordinate with photographers and videographers regarding bridal photo session
• Manage the flow of guests in accordance to seating plan
• Arrange the Reception line up of the bridal party for the entrance and announcement (if specified)
• Ensure security, numbering and recording of gifts
• Manage the flow and timing of the program, working closely with the Host/Emcee.
• Assist in cueing for the toast, cake cutting, bouquet throw, garter throw
• Ensure service of food and beverage, working closely with the reception staff
• Check on the signing of guest books, signature frame, scrap book, etc. (if applicable)
• Check on the distribution of souvenirs
• Monitor the number of guests
• Oversee the services of the suppliers
Wrap-up
• Assist in the payment of balances to the remaining suppliers
• Handle the wrapping of left-over food, cake, unused bottles of wine and other items as requested
by the client.
• Collect all reception materials and paraphernalia and endorse them to the authorized person of the
couple.
• Surrender all remaining set-up, decorations and items used in the church and at the reception to
the couple or their authorized person
• Assist in packing up all gifts and endorse them to the couple or their authorized person
• Surrender all receipts either to the couple or their authorized person
