CHAPTER 5: COMMUNICATION

COMMUNICATION

In a business communication is important to function properly. In this business we are going to use
both forms of communication. For a better communication between employees we would like to propose the
following:

Daily Reports

1. All of the employees will have to report to their respective assistant manager at and end of the day.
a. This includes the following:
i. Accountant
ii. Marketing Consultant
iii. Cashier
iv. Sales Clerk
v. Delivery Personnel
vi. Utility Man
vii. Machine Operator
viii. Security Guards
2. As the reports pass onto the assistant manager they will sort them according to the urgency of the matter.
After sorting he/ she will present it to his/her respective manager.
3. The manager will assess the reports and make the suitable action to improve work efficiency. The memos
will be delivered directly to the employees by the assistant manager.

Monthly Meeting and Deliberation

There shall be a monthly meeting and deliberation at the end of each month. The board will be
consist of the four departmental managers: Financial Manager, Sales Manager, Production Manager and
Security Manager, the General Manager, Vice President and headed by the President.

Issues or Problems to be Assess

1. Between Co-workers
a. The employee that is having complaints about his/her co-worker the same level of position will
have to write a formal complaint letter and it will directly sent to their respective manager. After
receiving, the letter the manager will decide on what course of action to resolve the problem.
b. If an employee have any issue with regard with a higher or lower level of position a dialogue will
be set as of, consisting of three parties the complainant; the defendant; and the arbiter (doesn’t
have any affiliation with either parties). From there, they will settle their own matters.
2. Between Instructions
a. In case of contradicting instructions, follow the instructions of the higher level official.
b. If both officials are of the same level follow the latest instructions.

Suggestions

1. A suggestion box will be provided at each departments, all employees are to allowed to make their own
suggestion it can be to improve the work area; the work environment. This will be tackled most probably
the first week of the next month. The Managers of the four department will part take in the meeting
headed by the General Manager.
Filing of Request

1. Any employee wanting file a request of leave or vacation shall write a formal letter of leave and send it
to their corresponding supervisor.
2. The supervisor have the power to approve or disapprove the request, an approval or dis approval letter
will be sent back to the employee.
