CHAPTER – 1

INTRODUCTION

1.1 Rationale of the study


Every company has its own organization structure. Organizational structure can be
described as the systematical process of delegating power and authority among the
employers. Besides, organizational structure also involves in how a business is organized and
to achieve their specific goals. Structure provides the framework that delegates
responsibilities, working roles and relationship for organizational activities and the
management.

The main rationale of the study, about company namely Information Matrix Co, Ltd, is
by making this project, we can study how business operate in their organization and how they
organize and delegate their work. Moreover, we can understand organization structure is
important in every organization to accomplish their specific goals.

Information matrix is the one of the famous media & Technology Company in local. It was
created in 2001 through the merger of Myanmar Inforithm Ltd. ( Established 1997) and Maze

media (established 2000). They are also a leader in the IT enterprise and e government market.

The company publishes highest circulation publication Myanmar such as Internet


Journal, 7DAY News Journal, People Magazine, Planet internet information services, my
Suboo, Fascinating Myanmar travel, 7DAY Sports Journal, 7DAY Daily, IMX Exhibition,
7DAY Trees, IM express. They have readership 8.5 million also.
There are many reasons that we choose that Company. Firstly, we would like to know
media is third pillar and importance role to develop our country. Additional, Information
matrix is also vogue and Success Company nowadays. They bring the truth for us immediately
after episodes.

1.2 Objectives of the study

In this paper, the main our objectives of the study are to know that
1. The important of organizational structure/chart, business’ skeleton.
2. The main features of the different organizational structure: Tall and Flat.
3. Structure provides the framework of organizational activities and the management.
4. Structure helps everyone involved in a company to clarify and understand everyone else’s
authority, role and responsibilities.
5. The difference between internal and external departmentalization.

1.3 Scope and limitations of the study


This study will focus on organizational framework of “Information Matrix Company”.
It is purely based on the information obtained from the department of HR and the source of
internet.
One of the major limitations of this study is the time limitation. The study conducted
for 2 weeks and we got approval near the deadline so we can’t collect more information.

In this chapter, we described the theory of organizational design, organization chart, and span of
management, common types of organizational structure, hierarchy, authority, role and
responsibility, accountability, departmentalization and seven types of departmentalization. These
theory are based on our Text Book, Robert N.Lussier, Ph.D.Springfield, and Massachusetts.

Organizational Design
Organizational design refers to the internal structure of an organization, or the arrangement of
positions in the organization into work units or departments and the interrelationships among these
units or departments.

Organization Chart
A graphic illustration of an organization’s management-hierarchy and departments and their
working relationships.

Span of Management
Sometimes called span of control. Span of management refers to the number of employees
reporting to a manager. The fewer employees supervised, the smaller or narrower the span of
management. The more employees supervised, the greater or wider the span. It is related to the
number of its organizational levels, which determines its organizational height.

Common Types of Organizational Structure
There are two types of organizational structure;
1. Tall organization
2. Flat organization.

Tall organization
Sometimes called traditional or mechanistic structure. Many layers in hierarchy and
narrow spans of control.

Flat organization
Sometimes called organistic structure. Few layers in hierarchy and wide spans of
control.

Hierarchy
Hierarchy is a way to structure an organization using different levels of authority and a vertical
link, or chain of command, between superior and subordinate levels of the organization. Higher
levels control lower levels of the hierarchy.

Authority
Authority is the right to make decisions, issue orders, and use resources. The scope of authority is
a hierarchy that narrows as it flows down the organization.

Role and responsibility


Responsibilities are the specific tasks or duties that members are expected to complete as a function
of their roles. The obligation to achieve objectives by performing required activities. They are the
specific activities for which they are held accountable when they assume- or are assigned to- a role
on a project or team.
The CEO is responsible for the results of the entire organization and delegates authority sown the
chain of command to the lower level managers. Managers are responsible for the performance of
their units.

Accountability
Accountability is the evaluation of how well individuals meet their responsibilities. The balanced
of authority and responsibility means accountability.

Departmentalization
Departmentalization is the grouping of related activities into units. Departments may have either
an internal or an external focus. Internal departmentalization based on the internal operations or
functions. External departmentalization based on external, output activities or factors outside the
organization.

Seven Types of Departmentalization


There are seven types of departmentalization.
1. Functional departmentalization
2. Product (service) departmentalization
3. Customer departmentalization
4. Territory (geographic) departmentalization
5. Multiple departmentalization
6. Matrix departmentalization
7. Divisional departmentalization

Hierarchy
This hierarchy has 13 levels so they use tall organizational structure or traditional
structure or mechanistic structure.
There are four major aspects of Information Matrix Co., Ltd chart
1. The level of management hierarchy (CEO)

2. Chain of command (Chief technology officer, Executive Director, General Manager’s
report to CEO)
3. Division and type of work (GM divides work by type)
4. Departmentalization (GM is organized by product divisional departmentalization.)

Roles and Responsibilities of Organization Frame Work


3.2 CEO
The CEO's leadership role also entails being ultimately responsible for all day-to-day
management decisions and for implementing the Company's long and short term plans. The CEO
acts as a direct liaison between the Board and management of the Company and communicates to
the Board on behalf of management. CEO manage,

3.3 Chief Technology Officer (CTO)

Chief technology officer is an executive-level position in a company or other entity whose


occupation is focused on scientific and technological issues within an organization. He responsible
for monetary, intellectual or political to technology in progress of the company’s objectives. CTO,
precisely, responsible for the company’s technology direction with a focus on commercialization
outcomes. CTO is monitoring two roles such as corporate strategy and research and development.

Various business operations work together to achieve particular goals.

Research and Development (R&D) is a general term for activities in connection


with corporate or governmental innovation.

3.4 Executive Director


Executive director plays at key management Role. He also manages to design and develop
and implement strategic plans for the organization in a cost effective time and efficient manner.
He plays day-to-day operation of the org which includes managing committees and staffs as well
as developing business plans in collaboration with the board Responsibility.
Moreover, he manages these facts like that
 planning and operation of the annual budget
 establishing employment and administrative policies and procedures
 supervise, collaborate with org staff
 oversee marketing and other communications efforts

 other duties as assigned by the Board of directors Accountability

Finance department is under control of the executive director.Finance performs:

 Controlling expenditure and obligations(including operating expenses, debt


payroll)
 Receipting and depositing all revenues
 Managing the investment of all monies
 Accounting for all assets and capital project expenditures
 Internal and external reporting

3.5 General Manager

Duties and responsibilities of a general manager include formulating policies, managing


daily operations, and planning the use of materials and human resources, but are too diverse and
general in nature to be classified in any one functional area of management or administration, such
as personnel, purchasing, or administrative services. Includes owners and managers who head
small business establishments whose duties are primarily managerial.

Information Matrix Myanmar Company has three general managers. Each has its own roles

3.9 CEO’s Office – also means CEO’s secretary department who is sharing CEO’s work and
scheduling timeline. Their responsibilities is only for the CEO.

(We can see that they use functional departmentalization and product
departmentalization. So, we can say that they use matrix departmentalization. The major
advantages of matrix departmentalization is flexibility.)

SWOT ANALYSIS
4.1 What is SWOT Analysis?

SWOT is acronym for;

S - Strengths,

W - Weakness,

O - Opportunity,

T - Threats.
The Strength and Weakness are defined by measures such as market share, loyal
customers, level of customers’ satisfaction and product quality.
Opportunities are new potential areas for business for the future, such as new
market or new conditions in existing markets.
Threats describe how the competition, new technology or other factors in the
business development.

4.2 Strength of the Company

4.3 Weakness of the Company

 Sometimes their products are not effective to get efficient in journals and newspaper.
 Some branches was killed by the company because they cannot afford on these branches
effectively.
 Their organization chart have too many steps to get the final decision when arguing.
 Their video production is a bit late than others.
 Raising many un-official online media will decrease their demands.

 To continues to increase in importance as a means of increasing the speed of doing business

5.1 Suggestion and Recommendation

As our points of view, we think that COMPANY should more emphasis on each products
to qualify. And also to hire up the marketing team to extend their products in business
mainstreams.

But in the coming situation, it can be the best media service because the government has
been arranging to extend the Media services and also they already have 8.5 million
readerships.
