Subject: Recommended changes to memo

The memo I just read through that is meant to be sent to the tenants of “The Plaza” is not in
condition to be dispersed. I get from the memo that you are in distress over your tenants but
these emotions should not be expressed in the memo as that is in violation of our company’s
policy. Below I have a few recommendations to improve the memo so that it can inform the
residents of your concerns in a professional manner and hopefully decrease these issues.

Refrain from using a judgemental tone, the purpose of this memo is to inform, not berate.
Therefore I propose that this memo be rewritten as to remind residents of our policies and new
changes that are taking place.

There is no need to underline what you have. Paragraphs four and three should be switched as
four and two deal with similar topics.

First paragraph alterations: remove the sentence starting with “This has” and the “Okay?”.

Second paragraph alterations: remove this paragraph entirely and simply state the new changes
and the appropriate number to call. Merge with the fourth paragraph and state the changes in
the new paragraph.

Third paragraph alterations: rephrase paragraph to simply state for residents to stop tampering
with the alarms as well as the legal ramifications / fines that can be incurred. If residents
continue tampering with the fire alarms then confront them personally, and if need be contact
law enforcement.

Fourth paragraph alterations: as stated above, simply merge with the second paragraph and
remove hostile language.

Fifth paragraph alterations: simply remind residents to keep trash inside unless it can go directly
into the dumpster.

Sixth paragraph seems fine.

Please make the above specified changes to the memo and re-submit for final examination.
