Minutes of Transylvania University Panhellenic

April 9, 2018
CALL TO ORDER:
The regular open meeting was called to order by President Caroline Briggs at 5:00 pm in
Thomson Basement. The roll was called by Vice President of Administration Olivia Beutel.

ROLL CALL​:
President, Executive Vice President, Vice President of Administration, Vice President of
Public Relations, Vice President of Recruitment Education, Vice President of Recruitment
Management, Alpha Omicron Pi delegate, Chi Omega delegate, Phi Mu delegate, Delta

● Great Cake Race 5K and 1 mile walk on May 6th at 4, it will help to support our local
philanthropy, Sweet Blessings. Registration is online!
● Pansy Brunch/Golf Scramble on the weekend of May 20th
Phi Mu
● Phi Mu’s formal is April 28th and the theme is the ROARing 20s!
● Planning a casino night philanthropy event to benefit KRM sometime in May
OFFICER REPORTS:
President
● September 17th, Kim Novak will be here for a Greek Training, it will probably be
mandatory for your new members
● TIPS training will be mandatory as well as Green Dot for new members
● Campus Grill Out is on May 9th, will be same day as the service event for Greek
Weekend and the times are to be determined
● Need volunteers for the Be Bold event this Saturday, contact Michelle Thompson
● Panhel Bylaws will be revised on April 26th, they must be approved within 2 weeks by
your chapters

● Rho Gamma training and bonding is May 6th
● Shirts are for sale to whole campus, if there are more than 100 they will be $17

● Still working on reserving spaces
● Meeting with AOII on Thursday night, please let your recruitment chairs that we can
meet at any time

NEW BUSINESS:
● Judicial Procedure
o Informal Discussion
o Infraction Filed
▪ Minor Infractions, i.e. budget violations, recruitment regulation violations,
serving food or drinks not approved, gifts of any sort, etc.
▪ Major infractions, i.e. failing to observe formal silence or contact rules,
disparaging remarks about other sororities, repeated public relations
violations, encouraging a PNM to intentionally single preference, tackling
a PNM etc.
▪ Turn in infractions to Michelle or Caroline who will then deliver a notice to
the accused sorority who will then schedule mediation or go directly to
judicial board hearing
o Mediation
▪ Mediator will be a neutral party and cannot be an undergraduate student
▪ No more than 3 people may represent the accuser and the accused
▪ Goal is to come to a solution without having to go to a hearing, then a
summary will be sent to all involved within 24 hours
o Judicial Board Hearing
▪ Statements and Witnesses by both the accusers and accused, and
Deliberations by Judicial Board, when they will vote on the violations and
decide appropriate sanctions
o Appeals
▪ Either side can appeal
o If it is solved it will stop before moving on, i.e. if you resolve the issue at informal
discussion an infraction will not be filed.
o If you need more information, email Caroline, Candace, or Michelle and Candace
has the NPC manual
