All District Music Festival Volunteer Job Descriptions:

It is important that you sign in. You will be given a Green Parent Volunteer Badge that must be worn at all times. This helps
students identify you should they need your assistance and it helps us identify that you can go back stage during the
rehearsal. Please return your badge at the volunteer check in station once your duties are complete.

Your green badge is only valid during rehearsal. A special permit is required during the performance.

Specific duties may include:


♪ Helping with student crowd control back stage and out in the plaza and/or back parking lot
♪ Guiding students to and from the restrooms
♪ Helping guide students into the theatre
♪ Guiding students back to their instrument cases and/or to the plaza area at the end of the rehearsal
♪ Chaperoning dressing room area

Music Festival Rules


♪ Parent volunteers are asked to kindly assist ALL children. This would include students from other schools.
♪ Parent volunteers must remain available as called to assist students.
♪ Be prepared to answer your cell phone if we need you.
♪ Once the students are arranged on stage, they are under the control of the Music Teachers.
♪ Please be available to guide younger students to restroom facilities outside on the plaza or in the front lobby.
♪ Please do NOT use, or let students use, the front lobby doors.
♪ While beyond the checkpoint, students are to be under adult supervision at all times (including backstage, while in
dressing rooms, out in the parking lot, etc.). You may be asked to chaperone any of these areas.
♪ Parent volunteers will be allowed to sit in designated areas on stage or in the auditorium during the rehearsal.
♪ No food or beverage allowed inside the Kavli Theatre or in the dressing rooms.
♪ No siblings or children that are not performing are allowed back stage.
♪ Only male chaperones are allowed in male dressing rooms. Only female chaperones are allowing in female dressing
rooms.
♪ If asked to help escort elementary children back to the plaza after rehearsal, please be aware that children MUST
remain in line and go directly back to their designated area where their teacher will release them. They are NOT
allowed to stop at the drinking fountain, use the restrooms or go to their parents until they have been released by
their teacher at their designated area.

Emergency Procedures and How To Request Help


Should you need help or assistance while you are volunteering, please look for a Music Instructor
wearing a Blue Badge or an Staff Member wearing a Red Badge. You can also call the Hillcrest Center for
the Arts at (805) 381-2747 and an HCFA Staff will transfer your call to an event supervisor on site.

Should an emergency occur, instructions will be given by the Civic Arts Plaza Staff and the Event
Supervisor, Terry McCallum. You may be asked to help guide students to a safe location.

In an emergency, all on-stage students will exit through the rear loading dock door the same way they
entered the theater. At no time should on stage students exit into the Theater audience area per Ventura
County Fire Safety Regulations.

Should you come across a student who needs medical assistance, call 911 and notify a Music Instructor
(Blue Badge) or an Staff Member (Red Badge) immediately. An event staff member is located at the Box
Office Table or at the Stage Manager’s table on the downstage right side of the stage.
