PRESIDENT’S REPORT

It is a pleasure to report to you the activities, events, and accomplishments of


Business Administration Society of St. Louis College Valenzuela during the academic year
2017-2018.

1. For the 2nd week of first semester, the BAS organization conducted a general
assembly to welcome the new sets of officer as well as the new members for
this school year.
2. One of the biggest highlight for this Academic year was when the BAS
conducted a seminar, which includes all the members also some students from
different organization. Mr. Chinkee Tan led this seminar. It is a whole day
seminar about investment.
3. The BAS organization was also a part of foundation month celebration.
4. The BAS officers also became a part of our College Week celebration.
5. The BAS planned to have a Christmas Party celebration but unfortunately,
because of conflict on schedule it was declined.
6. The BAS member got a chance to be part of a college quiz bee, which led
them in 4th place.
7. As a project of our organization, BAS already have 10 sets of scientific
calculator that has been borrowed and rented.

Revised Constitution & By-Laws / Organizational Policies

Article 1: Official Name and Domicile

Section 1. The official name of the organization shall be Business Administration Society.

Section 2. The official domicile of the BAS organization is in St. Louis College Valenzuela
(SLCV) located at #005 Maysan Road, Valenzuela City, Metro Manila, Philippines.

Article II: Philosophy and Objectives

Section 1. The BAS organization shall serve as a focal point of coordination of all BA students
of SLCV that leads and responds to the concerns of its members.

Section 2. The BAS justifies the three Louisian core values of wisdom, truth, and charity. And
believes in the provision of high quality Christian education that leads students to become
trustworthy, rational, responsive, and committed members and leaders of their respective
communities.

Section 3. The BAS believes in the role of collaboration and in trusting each of the officers and
members to reach the organization's goals and objectives.

Section 4. Thus, the BAS shall have the following objectives.

4.1. To serve as a focal point of coordination among BA students of SLCV.

4.2. To provide programs and activities for the improvement of the organization of BAS.

4.3. To support the SLCV administrations program and policies to improve students
productivity.

Article III: Policies

Section 1. BAS Projector Policy

1.1 The projector of BAS will be reserved on a first come,first served basis. It may be
borrowed for a period of 3 hours only , unless special arrangements have been
made through the adviser of BAS and to the President of BAS

1.2 All BAS member which have reserved the BAS Projector , may use the projector at
no cost.

1.3 The Projector of BAS may also be rented of other organization and clubs at cost of
80php per hour.

1.4 The person borrowing/renting the projector must be bring their ID's and letter and
must be sign in to the log book of BAS.

1.5 The person must know how to use the projector , If they do not , they will be
required to make an appointment with BAS officer to day of use.

1.6 Individuals using the BAS projector must provide their own laptop.

1.7 Projector users are responsible for repair or replacement cost of any projector
component beyond normal wear.

1.8 The BAS projector may be used in any of the rooms inside the school.

1.9 The BAS projector may not be rented / borrowed for use outside the school.

Section 2. BAS Scientific Calculator Policy

2.1 The BAS Organization will lend ten (10) Scientific Calculators for the benefit of all
BAS members on a first come, first served basis. However;
2.2 Members of other organization will also be allowed to borrow/rent the calculators.
2.3 The Scientific Calculator can be borrowed once a day for a period of 3 hours only,
at the cost of P20.00. For every succeeding fifteen (15) minutes, a penalty of P2.00
will be charged to the person borrowing/renting the calculators.
2.4 Any person borrowing the Scientific Calculator is entitled to one device only.

2.5 The person borrowing/renting a Scientific Calculator may approach any of the
officers or advisers of BAS. They must sign their name, year and course, control
number, time of borrow and return, and signature in the logbook of BAS.
2.6 The person who borrowed/rented the device shall be responsible for its replacement
cost in case of malfunction, damage, or loss.
2.7 The Scientific Calculators can be used inside the school premises.
2.8 The Scientific Calculators cannot be borrowed/rented for use outside the school
premises.

Article IV: Membership

Section 1. Every BAS member has the right:

1.1. To actively participate in the BAS.

1.2. To be informed with all the policies transaction and undertaking of the BAS.

1.3. To communicate appropriately about the concerns in BAS officers and members.

1.4. To appropriately express his/her views and concerns to the BAS and its officers.

1.5. To vote for the executive officers of the BAS.

Section 2. It is the duty of the BAS member:

2.1. To attend general assembly and participate in approved activities of the BAS.

2.2. To support and collaborate with the BAS officers.

2.3. To exercise their right to vote.

Article V: The BAS Officers

Section 1. The BAS officers shall be organized the core group and its members.

Section 2. Every BAS officers shall be ready and willing to offer his/her time, skills, and talents
to the organization.

Section 3. Every BAS officers shall become a role model to the students of SLCV.

Article VI: The BAS Core Group

Section 1. The BAS Core Group shall be the highest set of officers governing the BA students
and the representatives authority of the BAS.

Section 2. The BAS Core Group consists of the BAS President, BAS VP-Internal, BAS VP-
External, BAS Secretary, BAS Assistant Secretary, BAS Treasurer, BAS Auditor, and the BAS
Year and Course-Level Representatives, which shall all be under the supervision of the BAS
adviser.

Section 3. The BAS President, BAS VP-Internal, BAS VP-External, BAS Secretary, BAS
Assistant Secretary, BAS Treasurer, BAS Auditor shall be elected by a majority vote of BAS
members, while the BAS Year and Course-Level Representatives shall be elected into their
respective sections by majority vote of their classmates.

Section 4. The BAS President shall:

4.1 Call and set agenda for, and preside all BAS regular and emergency meetings;

4.2 Oversee the internal and external affairs of BAS; direct all approved BAS
undertakings;

4.3 Implement all resolutions and decisions made by the Executive Committee;

4.4 Coordinate with the BAS adviser regarding all BAS matters and affairs; consult with
the Dean for approval of BAS programs, projects, and activities;

4.5 Perform temporarily (not more than two months) the duties of the VP-Internal or VP-
External in case of absence, resignation or termination of either the two perform other duties as
may be required of his/her capacity by the BAS.

Section 5. The BAS Vice-President for Internal Affairs (VP-Internal) shall:

5.1. Report directly to the President;

5.2. Coordinate the internal affairs of the BAS under the direction of the President.

5.6. perform temporarily (not more than two months) the duties of the President in case
of absence, resignation or termination of the President.

5.7. perform other duties as may be required of his/her capacity by the BAS.

Section 6. The BAS Vice-President for External Affairs (VP-External) shall:

6.1. Report directly to the President;

6.2. Coordinate the socio-cultural and external affairs of the BAS under the direction of
the President.

6.3. Propose plan for college socio-cultural events which include, but not limited to: (a)
College Week, (b) Christmas party, and (c) Foundation Week.

6.4. Direct standing committees on alumni and external relations and socio-cultural
affairs.

6.5. Create ad hoc committees to discharge specific functions of the external affairs.

6.6. Perform other duties as may be required of his/her capacity by the BAS.

Section 7. The BAS Secretary shall:

7.1. Report directly to the BAS President.

7.2. Keep and update all BAS documents as follows: (a) copies of the Constitution and
by-laws of BAS, (b) list of BAS officers with contact details and scheduled, (c) minutes of BAS
meetings, (d) BAS proposals and reports, (e) photographs of activities and events, (f) members'
and voters' list, (g) attendance records of BAS events;

7.3. Make known to the BAS officers and members, all BAS meetings and undertakings.

Section 8. The BAS Assistant Secretary shall:

Section 9. The BAS Treasurer shall:

9.1 Report directly to the BAS President

9.2 Keep track and maintain records of BAS financial collections and transactions

9.3 Prepare financial reports per projects/activity to be presented every meeting with co-
officer and adviser. And semestral financial reports to be presented during BAS General
assembly.

Section 10. THE BAS Auditor shall:

10.1 Report directly to the treasurer

10.2 Ensures compliance with established control procedures by examining


records,reports and documentations.

10.3 Verifies assets and liabilities by comparing items to documentation.

10.4 Completes audit work papers by documenting audit test and findings

Section 11. THE BAS representatives shall:

11.1 Bring up issues and concerns of the year level they presented

11.2 Perform the other duties as may be required by the BAS officers.

Section 12. THE BAS ADVISER shall:

12.1 Be an SLCV college faculty member recommended by the core group.

Article VII: Rules of Order

Section 1. The BAS President shall set the agenda for all Core group and representatives. BAS
General Assembly and emergency meetings shall ensure that the meetings are run in a fair and
effective manner.

Section2. In the absence of BAS President, he/she may assign the VP-Internal or VP-External to
preside the meeting.

Section 3. The BAS Secretariat or BAS Assistant Secretariat shall inform the officers and
members of the meeting and the agenda at least three days before the meeting.

Section 4. Emergency meetings shall be conducted as deemed necessary by the BAS Core group.

Section 5. The schedule of meetings shall depend on the class schedules and availability of the
majority of BAS Officers who will attend the meetings.

Section 6. A meeting must be attended by at least half of all required attendees to constitute a
quorum. Otherwise, no decision may be made by those present in the meeting, In case there is a
quorum, a majority vote( fifty percent plus one)is necessary for any decision to be made during
the meeting.

Section 7. There shall be an established order of regular meetings as follows:

Section 8. The BAS Secretariat or his/her appointee, shall take down the minutes and distribute
copies of these or make available online to the BAS Core group within one week after the
meeting.

Article VIII: Election, Term of Office, and Appointment

Section 1: The student body shall elect the BAS Core Group officers through ballot voting every
second semester, within the second or third week of Marc.

Section 2: The BAS officers shall be organized to supervise the entire election process, and the
BAS adviser nor even the BAS acting adviser must be in the BAS election.

Section 3: The outgoing Core group officers shall meet jointly with the newly-elected Core
Group officer and representatives after the latter’s official proclamation for the formal turnover of
duties. The event shall be witnessed by all incoming and outgoing officers.

Article IX: Effectivity

The Constitution shall take effect beginning School year 2018-2019.
