sum of the activities' durations.

WBS Activity
Similar to Hammock activity. Duration of WBS activity
extends from start of earliest activity in a group to end
of the latest one
For Example
All activities whose WBS codes start with A (A.1, A.1.1,
A.1.1.2, A.2, A.3, etc.) can be part of one WBS activity
whose WBS code is A.

Activity calendars or Base calendars define

work and non-work periods during the project
and the length of the workweek, holidays, and
exceptions.
Use more than one calendar when a project
contains activities that can occur on different
schedules.
Resource Calendar
Resource calendar is a modified activity

calendar that reflects the resource’s specific
availability.
Resource calendars are used for scheduling of
independent activities and meeting activities.
Creating Calendars
From menu bar, select Data / Calendars

Select Base or Resource Calendar
Define Calendar Title
Define Holidays
Define Workdays /
Non-Work days
Calendars can be transferred
from other existing projects.
Assigning Calendar to Activity

Select activity that you want to assign or
change its Calendar.
From Activity Form, select Calendar Number
you want to assign to that activity.
Resources and Costs Data

Resources can be workers,
materials, equipment, etc.
By assigning resources to
activities, you can determine
the number of resources need,
when they will be needed, and
the amount of money the
resources will cost.

Activity Codes / WBS Codes
WBS and Activity Codes enable P3 users to

categorize activities into groups / subgroups.
P3 outputs (Layouts) can be customized by
organizing & filtering data with WBS or Activity
Codes.
This is a very powerful tool for producing
Exception Reports & analysis of data.
Codes can be transferred from other projects.
Creating Activity Codes
Six (6) Activity Codes are readily provided by P3. You

can use and modify these Codes or create new ones up
to a total of 20.
From menu bar, select Data / Activity Codes
Select existing Code or create new ones.
For each Code to be used, assign members of the Code
as Value, its Description and Order.
Creating WBS Codes
WBS is used as replacement or compliment to

Activity Codes.
Comprehensive WBS is the best protection
against Scope Creep.
Structure Similar to Activity Codes.
From menu bar, Select Data / WBS
One (1) level of WBS is readily provided by P3.
You can use, modify or create new WBS levels
up to a total of 20.
Assigning Codes to Activity

Assign Codes directly into Activity Form.
Or use Codes or WBS Detail Form.
Organizing the Schedule

To Organize P3 is to let P3 group all activities
into groups and subgroups as assigned by
Activity Codes or WBS Codes as per your desired
output structure
Organizing / Reorganizing
From menu bar, select Format / Organize

Select whether to organize by Activity Data
Item or by WBS
Assign grouping criteria, formatting
requirements and sorting criteria as required
Choose whether to let P3 Reorganize
Automatically or only when you want it to
Use Format / Reorganize Now function to let P3
organize the schedule whenever you want.

You can assign Filter Hierarchy up to 4 levels,
each level can have several combinations of
Filter Criteria.
Filters and Filter Criteria can be transferred
from other Project.
Layouts
Layout information consist of information on how

to Organize and what/how the Filter shall be
applied to the Project Database.
All that can be formatted; Bar, Data Column, Sight
Lines, Time Scale, Row Height, Header & Footer,
etc., can be saved into a layout.
In Simple Words ...
“A Layout is a format of P3 Output”
One set of Project Database can have several

Layouts but only one Layout can be opened at a
time.
Using Layouts
After you have organized, filtered and formatted

Bar, Data Column, Header, Footer, etc., to your
satisfaction, save them into a new Layout by
using functions under menu bar View / Layout.
Layout can also be modified & deleted by using
functions under the above menu bar.
Layout can be transferred from other Project.

Management (EVM)
What is Earned Value Management?
Earned Value Management (EVM) is a project management

system that combines schedule performance and cost
performance to answer the question,
“What did we get for the money we spent?”
Basic concepts of EVM:
All project steps “earn” value as work is completed.

The Earned Value (EV) can then be compared to
actual costs and planned costs to determine project
performance and predict future performance trends.
Physical progress is measured in dollars, so schedule
performance and cost performance can be analyzed in
the same terms.
What are the benefits of using EVM?
A task has a planned

value (PV) of $1000, and
actual costs (AC) of
$1000.
It appears this task has
perfect cost performance,
and is in good shape to
finish on-budget.
The project has spent

$1000 in actual costs,
but is behind schedule
and has only achieved
$750 of Earned Value.
This is called a cost
overrun, and this project
would have a Cost
Variance (CV) of -$250.
Basis for Earned Value Analysis:
Budget at Completion (BAC) = Overall approved

budget for a task.
Actual Costs (AC or ACWP) = Total amount spent on
a task up to the current date.
Percent Complete = Task progress, related as either
EV/BAC, or simply physical progress shown by the fill of
the task bar.
Earned Value (EV or BCWP) = BAC x Percent

Complete. The budgeted cost of completed work as of
the current date.
Planned Value (PV or BCWS) = The point along the
time-phased budget that crosses the current date.
Shows the budgeted cost of scheduled work as of the
current date.
Performance Indices and Variance
Once Earned Value and Planned Value are known, they can
then be used to determine schedule and cost variance,
and calculate performance efficiency.
Schedule Variance (SV) = Earned Value – Planned

Value. The difference between what was planned to be
completed and what has actually been completed as of
the current date.
Cost Variance (CV) = Earned Value – Actual Costs.
The difference between the work that has been
accomplished (in dollars) and how much was spent to
accomplish it.
Schedule Performance Index (SPI) = Earned Value

/ Planned Value. Schedule variance related as a ratio
instead of a dollar amount. A ratio less than 1.0 indicates
that work is being completed slower than planned.
Cost Performance Index (CPI) = Earned Value /
Actual Costs. Cost variance related as a ratio instead of a
dollar amount. A ratio less than 1.0 indicates that the
value of the work that has been accomplished is less
than the amount of money spent.
Forecasting Future Performance

Trends
To-Complete Performance Index (TCPI) = (BAC-
EV) / (BAC-AC). Indicates the CPI required throughout
the remainder of the project to stay within the stated
budget.
Estimate at Completion (EAC) = AC + ((BAC-
EV)/CPI). A forecast of total costs that will be accrued by
project completion based on past cost performance
trends.
Variance at Completion (VAC) = EAC – BAC. The
difference between the new Estimate at Completion and
the original Budget at Completion.
