CITY COUNCIL
Staff Report

October 2, 2018
CONSENT AGENDA

TO: Honorable Mayor and City Council Members

SUBMITTED BY: Ashlee Wright, Library and Community Activities Director

APPROVED BY: Chip Rerig, City Administrator

Resolution No. 2018-109, Authorizing a Free Use Day of the Sunset Center Theater and
SUBJECT: Lobby to the Carmel Public Library Foundation on Tuesday May 7, 2019.

RECOMMENDATION:
Adopt Resolution No. 2018-XXX authorizing a free use day of the Sunset Center theater and lobby to the
Carmel Public Library Foundation on Tuesday May 7, 2019.

BACKGROUND/SUMMARY:
The 2017 Agreement between the City and Sunset Cultural Center, Inc. (SCC) provides that the City shall have
the right to use the theater and lobby for up to twelve (12) full days each fiscal year without charge, as long as the
spaces have not already been committed to rental customers by SCC.

The Carmel Public Library Foundation (CPLF), a non-profit organization, is requesting one of the City’s free use
days of the theater and lobby. CPLF plans to hold its eighth annual fundraising benefit, "The Futurist Edition"
with Pulitzer Prize winner Thomas Friedman, on Tuesday May 7, 2019 at the Sunset Center.

Granting the Carmel Public Library Foundation one of the Sunset Center free use days will result in a significant
savings in facility use fees. Proceeds from the evening will benefit CPLF, whose mission is to fund the Harrison
Memorial Library in perpetuity.

The Carmel Public Library Foundation has tentatively booked the theater and lobby for the requested date and
will confirm with Sunset Center should Council authorize the free use day.
FISCAL IMPACT:
Proceeds from the event will be used to support of the Harrison Memorial Library.

PRIOR CITY COUNCIL ACTION:

Council has approved two (2) free use days of the twelve allotted to date.

Dear Mr. Rerig,

The Carmel Public Library Foundation respectfully requests consideration of our request to be granted
one of the City of Carmel's "free use days" at the Sunset Center Theater. We plan to hold our eighth
annual fundraising benefit this spring: Tuesday May 7, 2019: The Futurist Edition with Pulitzer Prize-
Winner Thomas Friedman. ·

Set in the beautiful Sunset Center Theater, our annual fund raising benefits highlight national renowned
authors, historians and scholars. Proceeds from the evening will benefit the Carmel Public Library
Foundation whose mission is to fund the Carmel Public Library, to keep the doors open and to mainta)n
the library's preeminence as a steward and cherished cultural institution on the Central Coast of
· Califronia. Ti.ckets to the program are typically $65, and include book sale·& signing and a wine
reception .

Thank you for your consideration of our request. We hope to make this a successful and profitable
event furthering our mission to fund the Library. Please let me know if you require any additional
information or documentation.

Since~ely,

();~~
