JOB DESCRIPTION (JD)

Job Title: Hostel In charge (Hostel Parent)

Responsible to: Principal or the authority delegated by the Principal

A. Qualification, Skills and Aptitude


 Must have a Master’s degree in any discipline with a minimum of two years’
experience in managing a high-school boarding house,
 Sound knowledge of and skills in managing day–to–day activities and functioning of a
hostel including activities related to physical, extra-curricular activities, etc
 Strong written and verbal communication skills in English and Nepali,
 Good negotiation skills and powers of persuasion,
 Believes in a collaborative effort, and has a strong work ethic,
 Sound knowledge and familiarization with general school policies and procedures is
highly desirable.

B. Main Purpose of Job


 The main purpose of the job is to take on full responsibility and execute the task of
heading the boarding house, and ensure the proper management, supervision and
welfare of the boarders. She/he will be responsible for the smooth operation of all
activities within the boarding house and all-round development of the boarders.

C. Duties and Responsibilities

 Meet Subject teachers ,class teachers, coordinators to remain updated about the
boarder’s academic performances and behaviours,etc and communicate the same to the
respective parents,
 Supervise and ensure boarders complete their homework’s and assignments, project
work, etc. in time and meet the academic requirements of the school,
 Organise an orientation programme for the parents of boarders from time to time.
 Arrange an open house session for parents who are interested in hostel facilities.
 Supervise the maintenance and cleanliness of the Hostel building, its areas and
premises and safeguard the property of the Hostel,
 Maintain the daily attendance of the boarders and record the daily movement of the
boarders in and out of the boarding house,
 Accompany the boarders in a collective group, to the school and back to the boarding
house after school hours,
 Prepare daily, weekly, monthly and an annual an annual calendar for the hostel
activities including extracurricular activities,
 Ensure a conducive environment in the boarding house by imparting the importance of
discipline on the boarders and to create an atmosphere of brotherhood amongst them,
 Monitor the quality of food for the boarders and bring to the notice of the
Management of any lapses,
 Arrange, monitor and supervise the allocated study hours for the boarders and ensure
proper utilization of the study hours every morning and evening, as well as for
holidays,
 Supervise personal cleanliness, exercise, involvement in games and activities of the
boarders and organize special programmes during weekends and on holidays, with
prior information to the School management,
 Ensure that the room inhabitants take total responsibility of the cleanliness, upkeep
and decorum of their rooms and be liable for any damages incurred,
 Make proper arrangements for sick boarders regarding medication, diet and to contact
parents of the ailing boarders if required,
 Provide a duly approved list of the requirements of boarders to the Accounts Section
on a weekly basis for procurement and subsequent billing to the individual boarders,
 Recommend permission to leave the boarding house for boarders if such a condition
arises,
 Deal courteously with the parents and guardians,
 If a boarder, on account of grave breach of discipline, is to be removed from the
boarding house, the Hostel In charge should endorse the case in writing to the
Principal,
 If a boarder is found very ill and on advice of the medical practitioner, the boarder can
be sent home to recuperate upon recommendation by the Hostel Parent,
 Supervise, arrange and document the monthly leave-outs in accordance with the
schedule and ensure the boarders report back to the boarding house/school on time.
 Submit reports on the CEO/Principal about the boarding house activities and take
timely advice and suggestions from them,
 Carry out all the activities of the boarding house, he/ she will be answerable for any
lapses.
 Be very careful and vigilant and prepared to shoulder round- the-clock responsibilities
to ensure the smooth operation of the boarding house.
