BRIEF HISTORY

VenYou Events was established on October 1, 2016. This event organization is


owned by Raya Vilar, a HRM graduate of Foundation University in Dumaguete
City. She acquired her Event Management Services NCIII certificate. After
acquiring the said certificate, she directly practices the work itself and invests it
in a sole proprietorship.

The organization named VenYou Events because the word “Ven” comes from the
word “event” and the first letter is also the first letter of the owner’s last name.
The word “you” pertains to you, the customers that will benefit the services of
this company. The owner came up with this name of event organization to sell
the services that they offer.

Due to the high demand of events nowadays, the owner decided to put up an
event organization located in the 2nd floor of Robinsons Mall, Calindagan,
Dumaguete City.
KEY EXECUTIVES

Responsible for managing the events and the master controller that brings together
the talents of the event team.

Responsible for planning and execution of an event.
Logisitic Committee: Narissa Mabanag
Responsible to handle technical relating to transportation services and inventory,
effectively evaluate the cost with any budget or distribution strategy.

Responsible for programming and event production. Deals with vendors, security
and safety requirements and which building, maintenance.

Responsible for the supervision and handling of the financial affairs of the company.

VENUE AND LOCATION: The location of this event will be held at the Convention Center
located at Dumaguete City beside DepEd Division Office.

DATE AND TIME: The event will be happening on November 25, 2018 starting at
exactly four o’clock in the afternoon until eleven o’clock in the
evening.

OBJECTIVES

The Fiesta Salo Salo will be a fun gathering for Globe Telecom retailers, to be held in
the Convention Center on November 25, 2018. The said event will be highlighted with
various vibes, fun parlor games, raffle prizes.

This event will become a success and will be worth to remember.

ACTION PLAN

As an event manager, the venue will be inspected in a month before the main event to

conceptualize for the set up and decorations. The materials and expenses must always be

checked a month before the said event. In case of dilemma during the event, the event

manager must not let the problem get to him or her for he or she is the leader of the team.

In case of brownout, the event manager must consult the management’s electrician to avoid

danger and to know what the cause of the brownout is and conduct a dry run before the

day of the event. A generator must be provided in case of any power interruptions.

Negros Oriental Convention Center is one of the most selected venues to take place in
terms of certain events like birthdays, debuts, seminars, competitions, and other events
that needed to cater a big amount of guests. Negros Oriental Convention Center is very
accessible; it is located near the heart of the city. The place is very convenient because of its
large and wide space inside, clean comfort rooms, air conditioned, etc.

CONTRACT OF AGREEMENT

This agreement made and entered by and between VenYou Events having an address of

Robinson’s Mall, Dumaguete City.

Whereas, planner wishes to obtain the profession services to client under the terms and

conditions set forth in this agreement: NOW, THEREFORE, in consider of the manual

promises and covenants herein contained, the parties agree to the article that follows:

1. Scope of services- the planner shall be responsible in planning and coordination of the

event. This shall include acquiring sponsorship, support groups, as well as promoting the

event and handling on site logistics.

2. Compensation-The client agrees to pay a total amount of 180,950.00 php to the planner.

A non-refundable deposit of 45, 237 Php per week will be made and will due on two days

after the event. First payment will be received on the 22nd day of October 2018.

If the remaining balance is not receiving within this period of time, an interest rate

of 10% of the remaining balance shall be charged for every week the balanced is

past due.

3. Date changes and Cancelations- should the gate of the event will change, the planner

will make the best effort possible to accommodate the new date. The client understands to

do the last minute changes can affect the quality of the final event and that these changes

are not necessarily the fault of the planner.


In the event of cancelation of the event, the client should notify the planner no later than 15

days prior to the planned dates. After the deadlines, the planner may collect the full fee

owed, including any applicable interest that may arise due to late payments.
