Rules & Reminders

1. AIAA has first publication rights to all papers presented at its meetings.

2. AIAA will not consider for presentation or publication any paper that has been, or will be, published
by any organization (exceptions for other AIAA publications). Authors will be required to sign a
statement to this effect.

3. Only the first 6 authors in the publishing order of your author list will appear in the printed
conference program. The online agenda and AIAA’s electronic library, Aerospace Research Central
(ARC), will contain your full author list.

4. All abstracts will be evaluated by qualified individuals from industry, academia, or government. AIAA
encourages the broadest representation of reviewers appropriate for the Forum/Conference.
Exceptions may be made for invited abstracts. Please note that this is a review of abstracts only
and that AIAA’s meeting papers are not peer-reviewed.

5. Authors of accepted papers will be expected to submit a manuscript. Deadline dates will be
included in the author acceptance letter. Authors desiring journal publication should submit their
manuscripts on ScholarOne Manuscripts, AIAA's web-based manuscript submittal and tracking
system (prior to the meeting if they wish to accelerate the review process). Government Program
Monitors/Security Officers should be alerted as soon as authors receive formal acceptance of their
paper.

6. No Paper, No Podium and No Podium, No Paper Policies: If a written paper is not submitted by
the final manuscript deadline, authors will not be permitted to present the paper at the conference. It
is also the responsibility of those authors whose papers or presentations are accepted to ensure
that a representative attends the conference to present the paper. If a paper is not presented at the
conference, it will be withdrawn from the conference proceedings. These policies are intended to
eliminate no-shows, to improve the quality of the conference for all participants, and to ensure that
the published proceedings accurately represent the presentations made at a conference.

7. International Traffic in Arms Regulations (ITAR): AIAA speakers and attendees are reminded
that some topics discussed in the conference could be controlled by the International Traffic in Arms
Regulations (ITAR). U.S. Nationals, who are U.S. Citizens and Green Card holders, are responsible
for ensuring that technical data they present in open sessions to non-U.S. Nationals in attendance
or in conference proceedings are not export restricted by the ITAR. U.S. Nationals are likewise
responsible for ensuring that they do not discuss ITAR export restricted information with non-U.S.
Nationals in attendance.

8. Warning Technology Transfer Considerations: Prospective authors are reminded that


technology transfer guidelines have extended considerably the time required for review of abstracts
and completed papers by U.S. government agencies. Internal (company) plus external
(government) reviews can consume 16 weeks or more. Government review, if required, is the
responsibility of the author. Authors should determine the extent of approval necessary early in the
paper preparation process to preclude paper withdrawals and late paper submittal.

9. All nonmember program participants and authors will be charged the nonmember registration fee
for the meeting; any member program participants and authors are eligible for the member fee.

10. AIAA policy precludes an abstract or paper from being submitted multiple times to the same
Conference or Forum, or to conferences held in conjunction with other AIAA Forums.
Overlapping submissions may result in your paper being withdrawn to avoid duplicate
papers being published in the conference proceedings. Once a paper has been published, by
AIAA or another organization, AIAA will not republish the paper. Papers being submitted to a
Student Paper Competition being held in conjunction with this conference may not be submitted to
the general sessions. Author(s) must choose to submit to the Student Paper Competition OR to the
conference. If your paper is selected for competition it will be published along with the conference
proceedings.

Acknowledgment Required:
This abstract is being submitted only once. I understand that an abstract may only be submitted to
one submission topic, and as only one presentation type. If submitted as a Student Competition
paper, it may not also be submitted as a Technical Paper. AIAA policy discourages submitting the
same abstract to multiple AIAA conferences for consideration. Overlapping submissions may result
in your paper being withdrawn to avoid duplicate papers being published in the conference
proceedings.
