Village Holiday Craft Fair Vendor Agreement

Vendor Opportunities:
Home Based/Commercial Business: ONE 8' table with white table cloth, chair $25
Hand Crafters: One 8’ table with white table cloth, chair $25
Vendors MUST staff their table the entire craft fair Saturday, November 12th, 10:00 a.m. – 4:00 p.m.

The Village will only allow one representative per Independent Product Consultant home based business and reserves the right to
limit the number of similar vendors. We reserve the right to return any application submitted if we feel it does not fit the venue
we are trying to achieve. Vendors spaces will be first-come, first served.

Note: Applications are not considered complete or confirmed until payment has been received. If we receive your
payment after accepting another similar vendor, your payment will be returned immediately.

RULES & REGULATIONS FOR VENDOR SPACE:


1. Vendor Space Assignment: Vendors will be assigned their space on a first-come, first-served basis. We reserve the
right to relocate booths at any time for the betterment of the event. We have limited tables with power available and
they will be assigned on a first come-first served basis, please indicate on your form if you will be needing power.
2. Vendor Space Payment: PAYMENT IN FULL WITH THE COMPLETED VENDOR FORM IS REQUIRED FOR
CONFIRMATION. Any returned cheques will result in a $35.00 charge to the vendor.
3. Vendor Space Cancellation: Vendor fees are NOT refundable under any circumstances regardless of timing of
cancellation.
4. Vendor Space Usage & Operation: Vendors are required to set-up their display with the time limits set prior to the
opening of the event. Hawking of consumers is prohibited (approaching customers on the sale floor). Other
considerations regarding the usage of the space include:
a. No “sticky” food may be given away from your space;
b. Vendors may sit/stand behind, beside or in front of your table(s) as long as you are within the perimeters of
your assigned space.
c. All demonstration, sales and/or promotional activities and distribution of merchandise, flyers and
promotional materials shall be confined to the limits of the vendor space including sounds.
d. Vendors are required to maintain their space in a clean, safe manner and present a positive appearance at all
times;
e. No signs may be attached to the walls at any time WITHOUT PRIOR PERMISSION.
f. Vendors are required to park in the designated vendor/volunteer parking area so that closer spaces are
available for prospective customers. PLEASE move your car as soon as you are finished unloading.
5. Vendor Hours of Set-Up, Break Down & Operation:
a. Set-up hours will include Friday, November 11th, 2016 from 6:00 p.m. – 9:00 p.m. and Saturday, November
12th, 2016 from 8:00 a.m. – 9:30 p.m.
b. Open to the public from Saturday, November 12th, 2016 from 10:00 a.m. – 4:00 p.m. – your space must be
staffed throughout this entire period.
c. Break down will start at 4:00 p.m. on Saturday, November 12th, 2016.
d. No Break down can occur before 4:00 p.m. on Saturday, November 12th, 2016.
6. Insurance & Responsibility Considerations:
a. Vendors shall protect the Village of New Minas and all volunteers, and save them harmless from any and all
claims for damage or lawsuits which may arise from injury, as well as lost or damage to property or persons
occurring within the space occupied by the vendor. Village of New Minas and volunteers shall not be
responsible for the safety of any exhibit or vendor property in the case of loss by fire, robbery, theft, accident
or any other destructive cause or for any injury that might occur to the vendor, his/her employees, guests or
customers during the event. The Vendor is hereby advised to carry insurance protection covering display
materials against damage and loss and public liability insurance against injury in transit to, from, and within
the confines of the vendor area, subject to the rules and regulations of the event.
b. Force Majeure: In the event that the Village Holiday Craft Fair, on the dates specified, is canceled or
prevented by reason of any governmental action, war or civil disturbance, fire, flood, hurricane, inclement
weather, inability to obtain any necessary material or service or other cause beyond our control (event of
force majeure) there shall be NO refunds, the risk of the same being solely the burden of the vendor.
c. Vendors shall assume all risks incident to or in connection with this event and shall be solely responsible for
damage or injury of whatever kind or nature, to person or property, directly or indirectly arising out of or in
connection with the permitted activity or the vendor’s operation. Vendors hereby expressly agrees to defend
and save Village of New Minas, its officers, volunteers, representatives and venue lessors harmless from any
penalties for violations of any law, ordinance or regulation affecting its activity and from any and all claims,
suits, losses, damages, or injuries directly or indirectly arising out of or in connection with the vendor activity
or conduct of its operations or resulting from the negligence or intentional acts or omissions of vendor or its
officers, agents, employees or representatives.
7. Declaration of Confirmation: By signing this Vendor Agreement, the Vendor agrees to abide by these rules and
regulations and by the decisions of the Village of New Minas representatives with the understanding that failure to
comply shall result in any agreement, whether written or verbal, to be considered null and void.
