Description
The American Association of Petroleum Geologists (AAPG) Latin America & Caribbean Office in Bogotá seeks a part‐
time, bilingual Events Coordinator to support courses, workshops and conferences throughout the region.
The coordinator will be involved in every aspect of events, from evaluating venues, promoting events, organizing
programs, working with speakers and conducting post‐event surveys and follow‐up. The coordinator should be
well‐organized, self‐motivated and capable of working with diverse teams. Excellent communication skills in English
and Spanish are required.
The coordinator will report to AAPG’s Latin America and Caribbean Region Manager and will work with volunteers
and vendors throughout the region.
Responsibilities
Understand unique requirements for each regional event (3‐4 per year)
Develop and maintain the following for each event:
o Contact database with event committee members, speakers, sponsors and exhibitors
o Sponsorship brochure and exhibition space prospectus (if applicable)
o Event program with presentation titles, summaries and presenter information
Schedule organizing committee calls
Obtain venue quotes and compare pricing
Research vendors and evaluate based on combination of quality and cost
Promote events using social media platforms
During events
o Assist with on‐site registration
o Load presentations onto the event computer prior to the workshop
o Coordinate event logistics with hotel staff
o Post event updates on social media
Following events
o Finalize and distribute the participant list
o Obtain presentations and prepare for publication on AAPG website
o Develop, distribute and evaluate participate surveys
o Write and distribute thank you letters for event sponsors
Requirements
Excellent English proficiency (reading, writing and speaking)
Proficiency in MS Office (Word, Excel, Power Point)
Experience using social media (Facebook, Twitter, LinkedIn)
Outstanding communication and problem‐solving skills
Strong organizational and with multi‐tasking skills
Ability to meet deadlines
Latin America & Caribbean Region Events Coordinator
Work Environment
15‐20 hours per week
Flexible schedule
Work from home office (must have access to computer and high‐speed internet) and attend occasional
meetings in Bogotá
Possible travel 1‐2 times per year, depending upon event schedule and location
Compensation
$25,000 COP/hour contract payments
Contractor is responsible for covering benefits and social services
Payment monthly via wire transfer
Initial contract for six months; renewable
Start date – 1 October 2018
