MINUTES OF MEETING

Dated: 19-02-19

 Prof. Dr. Arif Jawaid held a meeting in the conference room at 02:30 a.m. on Tuesday 19th February 2019.
The meeting was chaired by Deputy Registrar-Admin and Director Academics in the beginning and then
Dr. Arif discussed all the agenda points. Following were the members present in the meeting:

 Meeting started in the name of Allah. General purpose and the importance of the meeting was highlighted
and further course of action was discussed.

Serial Discussion Action By


1. AJ opened the session by informing all that this is not Dr. AJ
a scheduled meeting and this concern is of high For all Deans, HoDs,
importance and needs immediate action. faculty
& students
2. SA continued the meeting agenda by putting forth his
observations and concerns. He stated that parents of the SA
students and visitors usually visit Registrar office and
Dy. Registrar Admin’s office to discuss their issues, for
solution who are later directed to concerned
departments. He also quoted his meeting with Rasheed
khan whose two granddaughters are studying in
Management Sciences Department had concern that
sometimes his children leave home early without
breakfast and on reaching campus get to know that they
don’t have class.
He emphasized that VC has ordered to keep check of
classes through cameras and maintain record of missed
classes. As skipping classes would result into short
attendance and other issues. He also said instructors
should inform beforehand in case of absence. He
suggested to look into the matter and find a solution.
He also highlighted that Ms. Maryam of English
Department was found sitting on desk and left class
early. She was called later for discussion where she told
about her medical reason and meeting with HoD. AJ
added that the meeting she quoted is out of his
knowledge.
Concluding his concerns, he asked all the HoDs to keep
check of classes, punctuality and maintain record.

3. AJ opened the forum of discussion as these issues are


of serious concern and can be dealt by mutual AJ
consensus.
Faculty members should inform about their absence
beforehand. If a person informs at the nick of an hour,
his/her class should be substituted.
Students are our customers and we should take care of
them. Substitution of classes will help us in utilizing
their important time effectively. General activities can
be conducted in substituted classes such as
recapitulation.
There are certain faculty members who don’t have any
class throughout the day. He earnestly requested all to
follow substitution system.
4. Dr. M. Amjad Khan (HoD Biology) stated that LGU’s
leave policy is as per organization’s rule. We should not HoD Biology
deter from the system. Substitution system would be
helpful for habitual cases only. However make-up
classes or swap of classes would be more beneficial.
5. Ms Aiza Rana (HoD Management Sciences) mentioned
the current practice of Management Science
Department. She told that she doesn’t sign leave HoD Management
application until the instructor has mentioned the Sciences
schedule of due classes and their make-ups. She also
mentioned the practice of all other universities that they
follow make-up of missed class.
SS highlighted another relevant issue with respect to
her department that substitution system may not be
effective for her department as when a teacher of
Programming is absent a person of same specialization
will be able to substitute his class otherwise it will be
unattended.
AJ replied in that case a separate timetable should be
maintained of approved leave faculty members AJ
consisting of their make-up class schedule. Moreover,
a follow up and check of classes should also be carried.
6. Dr. Tahir Ilyas (HoD CS) and Ms Shumaila (HoD
Stats) suggested to issue warning to such habitual cases. HoD CS
AJ suggested to mention these in the faculty members HoD Stats
ACRs instead of issuing warnings. He also offered to &
have counselling sessions with the habitual faculty AJ
members.
7. Other Discussion:
AJ asked all HoDs to call the parents before signing AJ
Gate-Pass as per LGU’s policy. As once student is in
campus he/she is our responsibility.
He also reminded everyone of preparing Lesson Plans
and upload those on Moodle.

The meeting was adjourned with the note of thanks at 03:30 p.m.
