DUTY LIST FOR KG ANNUAL DAY 2010 ( 28thOct ,THURSDAY AT UCC)

Committee In-Charge & Members Description for the In-Charge


Program Coordinator Ms. Rana  Prepare and Allot time Slots and Duty Lists for teachers.
All Junior Concert Teachers
 To Allot Green rooms for all Scenes.

 To design Forms. Circulars, Tickets, Brochures, Program


Sequences, Ads etc.

 To prepare Schedules for the run-throughs.

 To ensure the Program goes flawless with the help of the team.

Ms.Yasmin decoration of the foyer outside the theatre.

Decoration committee  Please take large posters from Ms.Jayanthi.

Ms.Sonai(Posters0 show before we leave the hall (instructions by hall staff).

Ms.Aarti seats and present bouquet after the announcement- Kids for
presenting the bouquet are ___________ ,_________

 Please alias with Ms.Shilpa about the welcoming with


PreNursery Kids.

 Please ask Banu to put coffee table in front of chief guest seats,
water bottles and brochures of the play on the table.

 Please make sure that coffee table, and lamp goes in lorry with
the props. Please remind Banu to send Bouquet to chief guest's
car.

 To maintain overall discipline on 27th and 28th October.

 To ensure that no parent except the parent volunteers have their


entry in green rooms.

 Please instruct all teachers and students to maintain cleanliness.

 Please check that we leave nothing behind.

 To give instructions to your committee members about the


seating arrangement.

 To check passes on the gate, to give away Program Sequence


Ms. Shobha (In-Charge) of the play on the gate, to make VIP signs for the chairs to be
Ms.Sreyoshi(Corridors) reserved.
Discipline & Logistics Ms.Smita(Over-all help)
 Make signage for photographer and videographer, signage from
car park to theatre.

 Two student volunteer on the drop off point gate to stop parents
to enter in the green rooms without any reason, and give away
DPS ID to them for entry if they are helping in make-up. I will
give you the list of parent volunteers helping in make-up.

 A student volunteer on the gate from where chief guest car will
enter, to guide them to the VIP parking lot.

 They will not allow parents to enter or exit once an item has
already started .Entry/ reentry or exit will be only allowed when
that item will be over and curtain is closed.
 We have to be very strict with this rule.[Instructions by theater
staff].NO FOOD AND DRINKS IN THE THEATRE

Mr. Ketur (In-Charge)


Ms. Shailja  To bring Caterer to the theatre to show the place for food stall.
Catering for Parents Ms. Aarti  Food stall will be open in break and dispersal times.
Ms. Shravani

 To check with Principal Sir about the memento for the chief
guest. If we need to purchase please do that. If it’s available in
the school please pack it properly and bring it to the theater on
28th Dec.

Ms. Jayanthi (In-Charge)  Please look at the minute to minute and be at the backstage at
Memento For Chief Guest Ms.Priya least 15 minutes before the memento presentation.

 Please arrange a tray to present the memento, once he receives


it, please request him to put it back on the tray so that you can
send it to his car. Please take Banu’s help to put it in his car.
(Please make sure that it goes to chief guest's car).

 To manage back stage discipline.

 Please don’t let anyone enter at the back stage without any
reason. People who will be at the back stage all the time are Mr.
Anand, Ms.Yasmin, Mr. Avl, Ms. Jigyasa, Rana, Ms.Padma,
and student volunteers for changing props in scenes[Please look
Ms. Nupur (In-Charge) at the props committee for their names].
Stage Discipline
 The moment first item will start you will let the next item enter
at the backstage. At any time, two items will not be present at
the back stage. They will be waiting outside the backstage; you
will only open the door when the first item will start.

 Teachers in charge of the items will enter before the children


when you open the gate another teacher will follow them.
 To see all the run-throughs.

 Please keep a script copy for each class program and program
sequence handy.
Mr. Anand (In-Charge)
Stage Manager Ms.Srobanti  To use head phones to keep in touch with the people in control
room handling light sound and fly bars.

 Once everything will be ready, you will give instructions to


open the curtain.

Projections & Lighting Mr. Vikram (In-Charge)  Please take the PPT’s from me.

Fly bars Ms. Yasmin(In-Charge)  To control the fly bars.

 Please keep the script handy and understand the scenes during
Smoke machine Mr. AVL(In-Charge)
the run-throughs itself, it will be helpful.

 We have paging system at the backstage which will be heard in


all the green rooms.
Duty on Paging system Ms. Susan (In-Charge)
 To instruct all the scenes to come to the backstage at the right
time.

Microphones Ms. Pooja Mohan  To give numbers to mikes and fix them for the participants

First Aid Nurse Elizabeth  Please carry the first Aid box to the UCC

Ms. Jayanthi (In-Charge)  Ms. Jayanthi please allot duties to your committee members
Ms. Savitha program wise we will enter the eating area.
Refreshment for teachers, Ms.Shailja
students and parent Ms.Aarti  Strength of each class participating in the Program will be
volunteers. Mr.Bhanu forwarded to you.

 As KG children will require help in the eating area- Teachers


will also be helping in the cleaning up for the next programs
welcome to the eating area.

Sound Mr.Arvinder (In-Charge)  Please be informed of all the scenes, music and scripts.

Program, Refreshments, till Dispersal.

Dispersal Ms. Gayatri (In-Charge)  Ms.Deepti Pick laminated Placards from me and distribute on
Mr.Serin the Day to the respective Classes.

All KG Teachers school.

 All the class teachers please make sure you stand in the allotted
places and will be responsible for your own class children.
