1 PROJECT / SYSTEM DEFINITION

The Online Car Rental System is easy to use, full-featured and flexible car rental web portal. It
allows Administrators of this car rental website you can add new or change locations, vehicle pictures,
rate card. The Car Rental System provides complete functionality of listing and booking car. To
automate calculate total amount based on booking date and rate master. Saves the booking and can
retrieve the reservation any time.
Administrator can manage vehicles, location and rate details from web based control panel. System
supports any numbers of vehicles and location.
2.1.1 Problem domain
The Process on searching the client details is slow in existing system using manual system and there are
thousands of clients. Besides that, staffs have to record the booking manually and it is difficult to produce
a monthly report or an annual report. Manual system does not allow client to booking online and hard to
keep track on the record of rental cars.

There are a lot of problems in manual system of checking out and checking in of user like :-
1. Difficulties in checking vehicle status whether the vehicle is being used, repaired or available
for rental.
2. Client does not know the detailed information about the car that they had rent.
3. Mistakes in giving vehicle to the correct client due to data redundancies that occurred because
of the manual way are high.
4. Difficulties in referring to the previous data had been recorded since all the checking is done
manually.
5. Searching client details are fast and easy.

And also other companies impose driver to user and user may not want to have a driver with him/her.

2.2 OBJECTIVES

The main objective of the application car Rental System require a temporary vehicle, for Example
those who do not own their own car, or owners of damaged or destroyed vehicles who are awaiting
repair or insurance compensation or travelers who are out of town.

The Car Rental System has been developed to override the problems prevailing in the practicing
manual system. This software is supported to eliminate and in some cases reduce the hardships faced by
the existing systems. Moreover this system is designed for the particular need of user to carry out
operations in a smooth and effective manner.

The application is reduced as much as possible to avoid errors while entering the data. It also provides
error message while entering invalid data. No formal knowledge is needed for the user to use
this system. Thus by this all it proves it is user-friendly. Car Rental System, as described above, can lead
to error free, secure, reliable and fast management system. It can assist the user to concentrate on their
activities rather to concentrate on the record keeping. Thus it will help user in better utilization
of resources.

Every user has challenges to overcome and managing the information of customer , car ,Booking,
supplier, insurance. Every car rental system has different car needs, therefore we design exclusive Car
Rental System that are adopted to your managerial requirements. This is designed to assist in strategic
planning, and will help you insure that users are equipped with right level of information and details for

This project traverses a lot of areas ranging from business concept to computing field,and required to
perform several researches to be able to achieve the project objectives.

The area covers include:

· PHP Technology used for the development of the application.
· General customers as well as the company’s staff will be able to use the system effectively.
· Web-platform means that the system will be available for access 24/7 except when there is a tempo-
rary server issue which is expected to be minimal.

2.5 ANALYSIS DATA

Before developing any new system anywhere, it is imperative upon the developers to acquaint
themselves with environment in which the proposed system would be installed. Also, it is necessary
to interact with the user regarding their demands and the resources available with this gives a clear
overview of the improvements wanted and to be provided. Study and analysis of the proposed
system was carried out under the guidance of experts of the organization. In the existing system, all
the work is being carried out manually. Computers available are just for typing in the excel sheets.
Besides him, we have checked an earlier package being done in FoxPro and the reports created in
Excel sheets for more hints.

2.6 PROBLEMS IN EXISTING SYSTEM:-

1. This project is being considered in order to reduce and totally eliminate the loss of customers to
competitors, and save the company from folding up.
2. The current system is manual and it is time consuming. It is also cost ineffective, and average return
is low and diminishing. Currently, customers can call or walk-in in order to rent or reserve a vehicle.
The staff of the company will check their file to see which vehicle is available for rental.
3. The current system is error prone and customers are dissatisfied. The goal of this project is to
automate vehicle rental and reservation so that customers do not need to walk-in or call in order to
reserve a vehicle.
4. There is a huge amount of paperwork involved in the process
5. The system makes a general report about the rented vehicles once at the end of the month and
generates a report.
6. He / she is expected to go to the organization to make reservation.
7. During renting a vehicle the customer personal information, payments status and rent agreements
are filled in the car rent agreement form in order to hold legal contract between the customer and
vendor for renting the vehicle
