INVITES INDONESIAN CITIZENS OR ASEAN NATIONALS
WHO ARE CURRENTLY RESIDING AND RECRUITED IN INDONESIA
TO APPLY FOR THE FOLLOWING VACANCY

FINANCE AND ADMIN OFFICER FOR THE ASEAN INSTITUTE FOR PEACE AND RECONCILIATION (ASEAN-IPR)

Background The Association of Southeast Asian Nations (ASEAN) was founded in 1967 with the purpose of promoting regional cooperation
in Southeast Asia, in the spirit of equality and partnership, and thereby contribute towards peace, progress and prosperity in the
region. It was proclaimed a Community through the “Kuala Lumpur Declaration on ASEAN 2025: Forging Ahead Together”, signed
by the ASEAN Leaders during the 27th Summit in November 2015, calling the ASEAN Community to work towards building a
community that is politically cohesive, economically integrated and socially responsible.

The ASEAN Institute for Peace and Reconciliation (ASEAN-IPR) was officially launched by the ASEAN Leaders at the 21st ASEAN
Summit in Phnom Penh, Cambodia. It is mandated to be an ASEAN institution for research activities on peace, conflict
management and conflict resolution; and functions to undertake research activities, conduct capacity building, put together a pool
of expertise in support of ASEAN Bodies, and carry out networking and dissemination of information.

As an entity associated with ASEAN under Article 16 of the ASEAN Charter, the Institute would operate in accordance with the
ASEAN Charter, and guided by the principles of Treaty of Amity and Cooperation in Southeast Asia (TAC).

ASEAN-IPR is inviting qualified Indonesian Citizens or ASEAN Nationals currently residing and recruited in Indonesia to apply for
Finance and Admin Officer to be based in Jakarta.

Duties & a. Provide finance & administrative support to the Executive Director, in managing activities of the Institute, as well
Responsibilities as day-to-day operations of the AIPR Secretariat

Finances Support:
a. Ensure that finances are maintained in an effective, up to date and accurate manner;

b. Ensure that the ASEAN-IPR Secretariat operates in accordance with the Financial Rules and Procedures (FRP)
and Institute’s Staff Regulation (ASR) as well as the approved budget to ensure proper accountability and
transparency;
c. Prepare and take lead in the process of the Institute’s annual Financial Audit.
d. Maintain project financial records and monitoring systems to record and reconcile activities/project expenditures,
payments, statements and other data as required;
e. Review and verify expense claims/settlements for travel and day-to-day transactions;
f. Prepare ASEAN-IPR Secretariat financial reports, verify the accuracy of calculations and the completeness of
supporting documents, initiate correspondence to verify data,;
g. Responsible for procurement process, i.e. project and Secretariat day-to-day supplies and equipment's, including
establish/maintain appropriate inventory records;
h. Support travel preparation (authorization and advances) for the Executive Director and related staff;

Administrative support:
a. Provide administrative/logistic support for day-to-day activities, including during the Governing Council and
Advisory Board meetings as well as prepare and ensure accurate Statement of Expenditures of such
activities/transactions;
b. Organize meetings, project activities/events and project missions as indicated in the activity/project implementation
plan and under the guidance of the Executive Director and related Officers;
c. Establish certain standards for organizing and maintaining filing system for financial records
claim/settlement/procurement, logistics and human resource documents;
d. Other work-related duties and responsibilities that may be assigned by the Executive Director.

Qualifications,  A Bachelor’s degree of Accounting with minimum two (2) years of experience in the field of Accounting;
Experiences &  Proficiency in operating MYOB/ABSS System are preferred;
Competencies  English proficiency and computer literacy;
 Demonstrated experience to carry out the project financial and administration functions and tasks;
 Demonstrated ability to work under pressure and meet deadlines;
 Good interpersonal communication skills;
 Strong organizational, planning, analytical skills and attention to detail;
 Demonstrated ability to develop, implement, monitor and review policy procedures with limited supervision;
 Demonstrated commitment to collaborative work practices in multi-cultural environment;
 Ability to multi-task and occasionally perform tasks outside the usual job scope when assigned by the Executive Director.

An attractive lump-sum remuneration package will be offered commensurate with experience and qualifications of the successful
Remuneration & candidate. Upon completion of the three-month probationary period, the candidate will be confirmed for the position.
