Protocol - Tour Programme

Protocol to be followed

Any tour programme that the semester students /respective faculty proposes should be
solely decided in matters of academics, logistics, climate, and consensus.

Stage 1 - Preparation and Selection of Tour Programme

- To be coordinated with concerned faculty. State Tour, South India and All India/
International tours should be scheduled after the end of semester or mid semester
provided official teaching hours are not compromised. Faculty have their right to
official vacations and this should be taken into consideration

- The Student tour coordinator should ensure his/her full responsibility during the
tenure and not entrust the task to any official tour agency unless and until sanctioned
by the Administrations and Faculty Committee

- The respective tour programme should be related to the corresponding curriculum in


the present or previous semester.

- The Proposed Schedule of the programme should not clash with official functions of
the institute or interfere under any circumstances the academic functioning of the
institute

- After the schedule has been drawn subject to approval by the concerned studio va
advisor whose signed permission is requisite for further approval

Stage 2 - Approval Stage

- The Studio advisor should ensure the tour schedule does not clash with the academic
functioning of the institute and all the respective faculty should be on board to
ensure smooth coordination.

- After prior signed approval of the respective faculty . This should be forwarded to the
faculty committee headed by the Dean for deliberation with the Tour Coordinator and
student representatives regarding the selection of faculty accompany the team.
Following approval the Principal shall grant approval according his discretion.

- Stage 3 - Implementation Stage

- Tour Agencies shall be approached only in the case of dire emergency arising out of
flawed schedule preparation (according to the Faculty committee discretion)

- Preparation of the Draft Templates

- 1) Parental/ Guardian Approval - A signed drafted form by the respective parents/


guardians granting their approval for their respective wards to go for the tour
absolving the Institute from any responsibility in case their ward causes any problem (
legal or otherwise) which hinders the smooth conduct of the tour.
2) Student approval - A signed Draft by the respective batch comprising their
compliance with decorum and the awareness of their individual responsibility so as
not to violate any incident affecting the reputation and prestige of the Institution and
not drag the institution to any legal hassles in case they break any Penal Code law
stipulated in the Indian Constitution while on the tour.
3) Tour Approval - The whole schedule and approval of the tour programme should be
finalised 3 weeks prior to the start of the study tour.
