Below is the brief of what we want to achieve. Let’s connect in next week and then involved TCS basis the final objective.

Here I have marked CBA for Third party vs Storage in Plant – We need to work out cost benefit analysis basis the 15- 20
year scenario and after considering the following:
1. Physical Records retrieval lead time
2. Future access to physical records
3. Vendor stability and future changes
4. Current and future cost - whether to construct new record room with in the plant or we should have third party
vendor
5. Physical records access by other departments for their respective audit – direct tax/excise/service tax/VAT and
GST, SOX audit and statutory audit
6. Process improvement
7. Web storage requirement vs TRAPEZE tool (Server Capacity and compatibility).
8. Documents will be stored in three different locations – Noida/Pune/Indore for PAN India.
9. IT Support will be required to achieve this.

Guidelines for Sort & Scan and Binding will separately discussed basis experience gained by Ajay and Vineet in past.
