The Importance of a Well-Planned Public Address Announcer’s Script

address announcers to the overall production value of a live event. This video can be used to
inform Sports Marketing students/interns on how to build their own scripts for sporting events.

Intro Clip (5-7 Seconds) – Public Address Announcer Video

Voiceover (25 Seconds): The voice of a public address announcer is a crucial element to the
success of live events across the world, helping to guide individuals about where to go, what
they are seeing, or providing an element of entertainment to a show. But have you ever
considered the process of determining what an announcer actually reads? Let’s discuss the
creation of a script for public announcements, and its importance to event management.

Voiceover (20 Seconds): When creating a script for an announcer, it is important to keep in
mind the purpose of your announcements and the amount of time an announcement takes.
Generally speaking, shorter announcements are better. They can be informative or entertaining
but must not lose the attention of an audience. Planning what goes into a script will help to
ensure these goals are met. Here are three aspects of effective public address scripting.

Image: “1. Include Required Information” (20 Seconds)

Voiceover: First, make sure to include any required material, such as sponsored segments,
important information, or even a simple thank you for attending an event. These
announcements will be the core part of what is said during a show and are crucial for both
organizers and attendees.

Voiceover: Next, schedule your announcements so that there is a cohesive flow for the
production of the event and to ensure that timing is adhered to. This will also help to ensure
the purpose of your announcements is kept in mind and doesn’t distract from the rest of the
show. Schedules greatly help everyone involved with running major productions.

Voiceover: Finally, format your script in a way that is easy for an announcer to read and to
adjust material if needed. Sometimes, announcers must make corrections or include newly-
released information. Something as simple as leaving room in the margins for changes to be
written-in can be hugely beneficial to an announcer. Large font size and line spacing can greatly
improve the announcer’s ability to read information and to find it quickly.

Voiceover (30 Seconds): A well-planned script for Public Address Announcements can make or
break many live events. The words spoken over a mic to hundreds or even thousands of people
require planning and precise timing to be effective. Including Required information, Scheduling
Announcements, and Paying Attention to Format are all ways in which a live event script can
turn an event into a roaring success. Paying attention to the most audible form of event
production will take an event from hopes of success to speaking dreams into existence!
