Preface:
Institute of Management Sciences has its prime objective to develop trained managers by offering
them broad knowledge in many business areas and thus preparing successful management careers.
One step to achieve this objective for students is to exercise internship program in any recognized
organization. So this program facilitate the students to gain some understanding of complete
working of the organization and at the same time enables the students to face challenges in their
professional life by sharpening their skills of decision making, leadership, communication and
team work.
İnstitute of Management Sciences, BZU Multan issued me a letter for internship at “Volka food
international”. I joined the organization on 18th July 2017. Internship period is of six weeks from
18th of July to 25th of August 2017.

INTRODUCTION:
VFI is a modern and state of art production of Confectionery & Bakery products. VFI’s aim is to
produce hygienic and healthy products with international standards of productions. It is the
achievement of VFI that's why it proudly claims that VFI is producing "Safe to Eat" products.

Corporate Overview:
VFI always aims high. Its objective is to become a diversified food company specializing in every
type of confectionery and bakery products. VFI is totally committed to its consumers and work
round-the-clock to fulfill their demands. From production to marketing, VFI’s dedicated and
hardworking team is fully focused towards producing a high-quality product that is offered at a
competitive price. VFI fosters innovation across the board to help the company achieve customer,
employee and shareholder satisfaction and to turn its vision of becoming a leader in the market
into reality.
VFI aspires to see itself as a professional company with integrity that aims to produce the finest of
products while following best manufacturing practices. Its aim is to take the company to new
heights and transform it into a dynamic and progressive structure, which will be at par with
International companies.

cannot be maintained without strong Quality Checks and modern Research and Development at
all levels.
At VFI, world class laboratory experts are there to examine regular hygiene check for every lot
and SKU. Team of experts consists of highly trained professionals, technical staff and latest
equipment’s like Moisture Analyzers, Ash Determination equipment’s, Spectrophotometer and
purity confirmation equipment’s for ingredients used in the products.

The Principle of Quality Assurance is the “OPPORTUNITY IS A RESPONSIBILITY”. VFI does
not only maintaining the top Quality but also focusing on improving its procedures by following
strict standards. VFI believes in the principle of continuous improvement, hence its purpose is to
create every product flawless. Its focus is to provide delicious and hygienic products to every
customer. VFI has managed to produce lofty standards in maintaining quality and creating values.
This consistency could not be achieved and maintained without strict quality assessment and
innovative R&D at all levels.

The philosophy and principles of good quality product is:

History:
In 2003 concept of Volka food international was developed by Ch. Zulfiqar Ali Anjum and it
took four years to complete this idea and the construction was started in September 2007. In
September 2010 the installation of mega plant of gummies and other machinery of confectionary
items take place. In 2011 VFI started its operations in the country with the strength of 600
employees. Currently Volka has 2500 to 3000 employees. In 2013 Volka started its export to many
Asian, and European countries in September seeing a huge turnover of 1.8M/year. With the
passage of time company has going to highest peak of success.

COOKANIA:

Cookania deals with bakery items such as cookies and biscuits. List of the products is given below:

 (Chocorama Vanilla, Gold, Nutsy, Pikanut, Raisano, Zeeraray, TeaTime, Khaas, Milka Bisk,
Khass khatai, Dream Cream, Cake rusk, Choco Chip).

DEPARTMENTS OF VOLKA FOOD INTERNATIONAL

Administration:

Mr. Abdul Wahid is the head of administration department. He also look forward on the
transactions of purchase and sale (except raw material and packaging material). Admin department
is linked with almost every department of the organization.

Employees’ related issues, Logistic department, Building projects, IT department, Warehouse,


Technical departments, Medical facilities are the major concerns of this department.

All workers of the industry are registered with special face and thumb scanner security system.
Medical facilities is free of cost to every employee of the organization.

Compliance Department:
Compliance department is under the supervision of Madam Saira Parveen. She ensure Quality
Assurance and Quality Control of the products of the organization.

 Compliance department performs three types of functions,


A. Overall factory hygiene
B. Health and safety of all workers
C. Certification and standardization.

To reduce the level of risk organization perform following steps:

Quality Control Laboratory:


Quality control laboratory of Volka food international is well established and fully equipped. There
are all equipment’s present there to check the quality of their products. Mr. shahid (lab head) and
his team run the laboratory

 Mr. Ameer Amir (Microbiologist)

Quality tests are performed on the daily basis to check the quality of the products they made every
day. If the product or raw material does not qualify the quality standard the whole production will
be stopped and raw material returned to the supplier but there are very few chances that the product
does not meet quality standards.

The quality lab is further divided into three parts:

A. Microbiology lab
B. Raw material lab

C. Packaging material lab

A. Microbiology Lab:

It is the main lab of quality department. It works under the supervision of Mr. Ameer Amir. He
conduct all necessary test required for the quality testing. In microbiology lab mostly finished
products are tested. Their microbial count, type of microorganisms and also the raw material is
checked according to organization standards. They conducts the test according to the international
standard procedures.

 The equipment’s present in microbiology lab are as follow.

(Refrigerator, Weighing Balance, Water Bath, Autoclave, Hot air Oven, Colony counter,
Microscope, Incubator, and Laminar Air Flow)

B. Packaging Lab:

It is the second part of laboratory. In this laboratory all packaging material is checked for quality
purpose. Quality is checked as per standards defined by the industry. The standards are

 Dimensions (size, weight, length, etc.)

 Thickness

 Pressure capacity

C. Raw Material Laboratory:

In this laboratory all the raw material used in the production is analyzed as per standards.

Different tests to check the quality of raw material:

In quality enhancement lab, all the raw material is checked, if the material is not as per standards
the whole lot is rejected without any hesitation.

Export Department:
Mehboob Ali Shahid is the Manager of Export department. In 2012 VOLKA Food International
started its export. After great effort now the products of VFI are exported to more than 25 countries
in the world. The countries included “USA, UK, UAE, KSA (Yemen, Tanzania, Uganda, etc.)
Portugal Sweden, Russia, Afghanistan, East Africa South Africa West Africa, and Australia etc.

Mostly products of Cookania are exported in American states, products of giggly are exported in
Europe and Middle East demand both Cookania as well as giggly products.

There is no defined percentage of the export. Products are exported after the demand of the
distributors present in foreign countries. Proper contract is made between buyer and organization
under the consideration of law for every transaction they made.

Mr. Fayyaz Ahmad is the head of supply chain department at VOLKA Food International.

Under supply chain two department’s works,

 Raw and packaging material purchase and storage,


 Logistic department.

Basically storage is divided in three sections in the storage house:

 Green area, if the material passes the test,

 Yellow area, if the material is under testing and results are late.

 Red area, if the material fail to pass the tests, it is quickly rejected.

Logistic Department:
Logistic department works under the department of supply chain, logistic department holds
warehouses. Finished goods are stored in warehouses. The demanded products are transported to
different distributers. The transportation of the products is also dealt by logistic department. The
contract is made with different transport companies and these contracted companies provide
services for the company. Products for export are also stored in warehouses under logistic
department. Before the dispatch of product quality department ensures the quality of the finished
products and then material is dispatched to the distributors within or outside the country.

Planning Department:
Planning department works under the supervision of Mr. Akbar. He is working as a planning

manager. Miss Mahira, and Miss Sana Mumtaz supervise the supply chain and production

respectively.

There are different problems of the production that they face on daily basis. They make the plan

of the production of every product (about their taste, ingredients, size, color and availability of raw

material… etc.). They also decide for the changes in origination as well as production. The basic

work that planning department must do is:

o They check the production capacity

o Sale forecast by sale department

o Planning against production capacity

o To overcome the problems of Supply Chain

o To check the minimum and maximum stock.

Human Resource Management Department:


Mr. Irfan Aslam is the manager of HRM Department. In his team, Mr. Zeeshan Majeed working
as Assistant Manager, Miss Shanza and many employees in this department. Miss Shanza plays
key role in the department. Internees are also handled by her. Records of the employees are also
maintained by this department. Miss Shanza also check the attendance record of the employees on
daily basis and their salary is also given by her. There are four basic functions of this department
that are given below:

Research and Development Department:
Mr. Abdul Razzaq is the Head of this department. The basic procedure for any new product
development is as follow:

Research and development department works hard to introduce innovative and new products to

the market. Proper research is conducted for this purpose. After research, production planning is

made. They mostly do research from the market and by taking interview of their distributors and

customers.

Accounts, Finance and Taxation Department:


Mr Abid Hussain is the senior manager and all these departments worked under his supervision.

Purchase, payment and sale are performed by these departments. Oracle 9.2 is used for this

purpose.

They always do tax based purchase. They do minimum six month contract with the seller. As

purchase is tax based, so they need funds from bank. For this purpose, they have accounts in

different banks for smooth flow of money.

Marketing Department:
Mr. Haroon Sulheri is the Head of marketing Department. He has got the team of nine members.
They always work hard to maintain the position of their brand in the mind of their customers.
The functions performed by the team are as follow:

They focus on brand building and touch points by which they achieve or maintain their brand
position in the mind of their customers. They identify the target audience, target market for their
product, the need of the customers, by conducting researches or taking feedback from its customers
and after that they convert that needs into product form. The new idea about product shift to RND
department and then RND department starts its work and collect the sampling of the new products
and perform testing of several time to check the product. After the completion of the product
marketing department advertise its product by using different Medias and channels. They mostly
use television or outdoor media. They use following two approaches for that purpose:

 ATL
 BTL

In ATL approach they mostly use mass media and Television because of their wide coverage and
large audience and in BTL approach they use the local cable ads and radio to capture their target
audience.

This department makes BCG matrix to check the popularity of their products in market and BCG
matrix also tells that which product need maximum attention to work on it. The BCG matrix of

Jellies are the question mark and cake rusk are the dogs of company. They are trying and working
hard to overcome their weakness. They improve their product according to customer needs and
advertise it well to tell their target audience that they have the best product as per their need.

Volka food international divide their products into two ranges for distribution in market:

 Range A
 Range B

The purpose of these ranges are to increase the sales and to distribute the product at different levels
in the minimum time period after production. FIFO method is used for distribution.

Saatchi and plitz are the advertising agencies which are working for the advertisement of the
products of VFI.

Sales Department:
Mr. Rohail is the sale executive officer in VOLKA Food Internationals. Sales and marketing
department work together because sale depends on good advertisement. The primary objective of
this department is to maximum amount of sale of their products and achieve the target goals. This
department has a field force of about 600 employees, who works in field, sales the products as
salesmen, check the availability and collect the orders of product from its clients.

It is a very tough duty so they face many difficulties to do their duties. The difficulties faced by
the sales department are delivery on time, rate cutting, competitor and its scheme, and innovative
products introduced and sale in market and to overcome these problems highly qualified staff is
hired. Training sessions are held on weakly basis by senior sales management to overcome their
weaknesses and to remove the hesitation of new employees. Hierarchy of the department is as

In Giggly, there are 1100 employees and in Cocania the number of employees are 600.

IT Department:
Mr. Rifat Chishti is the head IT department. It is the most important and most sensitive
department of the industry because it is linked with all the departments within the industry as
well as outside of the industry.

This department performs so many functions for the company and some of them are as follow:

o Secure all the data

o Secure the data of sales

o Development of new software’s

o Update the existing software’s

o Connections of all PC’s with each other

o Repair of hardware

Recently Volka use oracle 9.2i software that control its all operations. In future they are

planning to update it to oracle 11.1g that will be much better than the older one. They use

cloud computing to save their data and for backup purpose.

They are using star topology with 0.2 wireless technology in their systems. Fish eye cameras

(360* rotation) are installed in all over the organization to check work and face detector and

thumb scanners are also installed for security purposes.

Electrical Department:
Mr. Amir Raza is the Head of Electrical department, he has 5 years’ experience in VOLKA Food

International. There are two sections of electrical department first is Power it is linked with

generation of power and its supply, and second one is Control its link is when and how to supply

the power.

 There are four basic functions of Electrical department.

o Power Generation and distribution

o Post operation design (Machinery)

o Server Motor Technology (Programming)

o Software Designing (Electric System)

 The teams under Electrical Department are divided in four groups:

1) Power Team: This group is further divided in different groups,

 First group controls the power house and generates the electricity.

 Second group is distributary team, it distributes the generated power to all over the industry

 Third group maintenance team, it maintains the power generation and supply.

2) Control Team: This team control machines and plant. The team uses different kind of

pneumatic instruments to control the machines and plants. Circuit cards are also used for repairing

and design.

3) Maintenance Team: This group is further divided in two groups,

 Corrective Team: it is most important team, it take actions in seconds, if anywhere in

industry there is a problem related to electrical department, mainly at plant, this team find and

solves the problem.

 Preventive Team: This team prevents the problems. This team uses different kinds of

instruments through which they finds out the possible problem and report is send to higher

authorities, at the end of week when there is a shutdown, maintenance of the machinery is

conducted and possible problems are solved, so problems are prevented before they occurs.

4) Software Designing Team: this team designs different kind of software’s used for the

electrical system, they designs PLC’s, HMI’s System, they have designed such systems that at

a same time the type of problem and place of the problem is find out and there is no time require

to solve any problem.

Audit Department:
Mr. M Arsalan Khalil is the head of Audit department, he is Chartered Accountant by profession.

The main objective of the audit department is to ensure the control activities of the industry and

the inspection of financial records.

The department’s objective to check the errors, frauds, misconduct, manipulation either willful or

by mistake.

The other objectives of the Audit Department are Prevention, Detection, and Correction of the

financial records

Different types of audits are performed by the department and that are follows:

 Quality Audit

 Tax Audit

 Financial Audit

 Operational Audit

 Within an organization there are two types of audits:

1) Operational Audit

Audit of operations performed in an organization e.g. number of employees required in a single

department for work, merit based selection of employees, and transparency of records

2) Financial Audit

Audit is conducted on various basis, internal audits are performed on regular basis and some are

unexpected, or surprised audit, and audit department has the power to check any department of the

industry either production, sale, marketing, Logistic, supply chain, warehouses, etc. Audit

department checks the income statement, capital, Asset, sources of money and balance sheet also.

Internal control is also performed before giving salary to minimize frauds and errors. External

audit is not deduction of frauds. Auditor counter check or cross check the records as his wish.

External audits are performed by QCR or I.CAP (general auditor firms). External audit is

performed on monthly, semiannually, or annually basis.

Audit department is the main department of the industry. It has the highest authority within the

industry because audit department is necessary for the survival of the industry, it is unbiased high

authority, and is directly reportable to owner or CEO of the company.

PEST Analysis of Volka Food International

A type of analysis in which political, economic, social and technological factors are examined to
chart an organizations long term plans. The PEST analysis of VFI is given below:

Political
In Asia & especially in Pakistan the political environment is not stable, no Government has
completed its tenure except the last and the politics also a great influencer on the different
industries of the country. Now following are the effects on the industry.
o The govt. decides that what will be the rates of sales tax
o The rates of main operating variables inputs such as the electricity and gas are also decided
by the govt.

Economical

The country like Pakistan whose economy is not strong enough is affected by so many economic
variables which are the following:
o Low literacy rate is a problem due to which rural customers are not able to differentiate
between Volka, Engro and other brands.
o Employment opportunities will be higher.
o Increasing demand of Volka products requires establishment of new production plants.
o Combined pricing decisions with mutual agreement between Volka and other brands.
o If the country faces inflationary trend in the market, the price will ultimately increase
which will lower its demand.
o Fiscal Policy: It is the policy of taxes. If heavy tax is levied on Volka then its price will
rise having negative effect on its consumption.

Social
Socially VFI have very strong impact on society and has very good social relationship. VFI is
having well organized CSR activities like:

 Rebuild the LAIQ Hospital and build emergency ward

VFI is using latest technology in its operations. The IT department is very effective and provide
Volka up-to-date and latest technology which will provide ease to their workers. The efficiency
of the workers is also increased due to latest technology

Volka food competitor analysis

Volka food is giving tough competition to its competitors in confectionary as well as in bakery
items.

 Confectionary items competitors:


In confectionary items Volka is facing its two tough competitors (Mayfair and Candy land)

 Mayfair v/s Volka:

 Mayfair tiger bubble gum has a great competition with Volka boom boom bubble gum.
Boom boom grab more market shares then tiger because of its unique flavor.
 Tiger bubble gum is only for children but boom boom is for both children as well as adults
 Boom boom has special cooling pigments that give great taste when burst in mouth.
 Mayfair toffees (Fruito) has more market shares then volka toffees
 Volka has more market shares in Punjab then Mayfair

 Volka v/s candy land:

 In chew candies candy land and volka are direct competitors.


 Chew chum and yums having great competition
 Flip and filly are same products but now filly is more popular than flip
 Volka Fanta and cola toffee is better in taste. People like it more
 Volka jellies are softer in both summer and winter season while candy land jelly ABC melts
in summer and stick with each other

In bakery items (biscuits and cookies) the competitors of volka food are Gibs and Peek
freans. Almost both companies have same biscuits and cookies but Cookania has got
advantage over them because:
o They have perfect texture and size
o They have perfect flavor and sweetness
o They are healthy
o They are perfectly baked
o They have perfect crisp
 Peek freans sooper has got the highest market share but volka tea time is giving tough
time to sooper

Activities performed by me at Volka food international

Volka food international give me lot of exposure and knowledge about the field and office work.
I performed many activities there and those are as follows:
o Maintaining the records of employees (full profile)
o Data entry of the employees
o Entry of received cv for open seats
o Visit production plants and learn how to operate them
o Visit procurement office and learn how to buy things
o Used oracle 9.2 for data entry
o Visit quality lab and learn how to perform different quality tests
o Perform swab test and bacteria deduction test in quality lab
o Test the quality of packing material they use
o Learn actual procedure to export goods

What I learnt in the organization

I learned that what we have been taught in the university is actually being implied there but the
ones who are implying it are either doing it knowingly or unknowingly. Though you get know
the terms and definitions in courses but the practical implementation is more interesting when
you are watching it being implemented. I learned new and improved skills, I experienced
company culture, I build professional connections, and I learn how to work with teams. Beside

these I learned to be punctual. I learned the importance of time, ethics, office, dressing and
dining discipline also. But my major focus was on office work that I do. It gives me real world
experience. It has made me confident. I interact with different people with different fields Most
importantly what I liked in the company was the attitude of every employ, whether he was the
manager or a receptionist, was very friendly and encouraging. They were all very much
organized and friendly.

Conclusion

Volka food international is an international organization so working with such a huge company
was my pleasure. I learned a lot from there. I got to know how they are striving to be number
one. They are facing big competitors in the market yet the commitment of the mangers and the
employs is outstanding and unquestionable. On the basis of our observations we have compiled
comprehensive report that contains analysis as well as its description to make report
comprehendible. Apart from just observations we have also made some suggestions and
recommended the company to concentrate on gray areas that we have identified and brought into
the knowledge of high-ups’. Most importantly what I liked in the company was the attitude of
every employ, whether he was the manager or a receptionist, was very friendly and encouraging.
They were all very much organized and friendly. I feel proud to the part of that family.

Suggestion

The HR department has done a great job in assigning internees suitable mentors and supervisors
who have been a lot of help. The HR department itself has always been approachable and
interactive which has helped and ensure that there are almost no problems arising at the
workplace for internees. One possible recommendation is that the future internship programs you
should assign a real project exclusively to internees, including all aspects from HR to accounts,
sales and marketing departments. This will help future internees to work independently, which I
have learned through these past six weeks

VFI has no.1 Asia production plant and having a large production capacity but still they are
working under capacity. They have 60% local market shares and 40% international market
shares. I will suggest to VFI to capture the maximum market shares in Pakistan and international
because they have capacity of produce and they have work force also. If they work hard on it
they will definitely capture the maximum shares of their competitors.
