COMMENTS:

Any business letter, emails, or memos should be written in a professional way. It is because it represent
the company’s identity and way of communication. According to the samples, all the business
procurement proposals were written in precise manner. The sender keeps the language of the letter
formal and easy so that the receiver does not find it difficult to read. As in the samples of letter and
email reply, the receiver greets the sender’s proposal by saying “Thank you” which appreciate them in a
good way.

In aspect of formats, the sender ensure they write the business proposals in a right format. They ensure
that the subject, opening, and disclosure of the proposal are complete and right. They used correct
salutation and include the details of sender and receiver such as their position in the company and the
contact details.

Besides, as it is for procurement purpose, the sender keeps the contents short and simple. They directly
said what they want without a long greeting so that the receiver can easily understand the message or
purchase order being sent. Those details of order for example the products specifications, quantities,
price agreed upon, and delivery date was organized in a table so it will look simple and smart. Thus the
receiver can reply according to the requirement of proposal.
