Dear mga Ate at Kuya sa Prex 8,

Informing you about the matters discussed during the meeting with Prex Chairman Kuya Jun and the
Prex Secretariat last Sunday (June 2):
1. Date of Prex 9 has been moved to June 29-30
2. Update on the number of participants is to be made every Wed by informing the parish office.
*need for us to do our best to get as many participants as we can.
3. Sponsorship letters have to be accounted for- the bottom part has to be filled up with the name of
the donor and the amount, then submit to Pres Anton or to me (since our treasurer is out reach);
Note: Transparency and Accountability are to be observed.
4. Expenses – will depend on the number of participants. However, for a rough estimate of 25
participants, we will spend more or less 15k-20k (according to ate flora).
*This is why we need to double our effort to get sponsors …
5. Duties and Responsibilities of every member of the committee- please read and understand very
well your duties and responsibilities as stated in the sheet of paper given to you. Please take note of the
committee you belong: Food-Nelia, Nene, Mikay; Vigil-Beth; Security-Junas; Palanca-Rizalde;
documentation-Myrna; Physical Arrangement-Jr. and Pres.Anton
Other Reminders for every committee:
Food- No peanuts, butong pakwan or other nuts ; candies only
Vigil – assigned people have to be there early so that even before the start of the sessions there are
people praying already for the participants; avoid talking; no pillow inside the prayer room
Palanca – whoever recruited the participants will help in getting the love letters from the
participants’ loved ones
Security – participants will not be allowed to leave the venue while on sessions; if the participants
have concerns, we can approach the Lead Partner, or the Chairman or members of the
Prex Secretariat
Physical Arrangement- borrow kneeler from the Parish
6. Our meeting with the Lead Partners will be on June 8, 2019 (has to be confirmed by Pres. Anton if
they are available)
*Lead Partners are the over-all in-charge of the Prex 9 Seminar – so we have to have a close working
relationship with them..
7. Our meeting with the Prex Secretariat is on June 15, 2019 – for follow-up and finalization
