Board and General Meeting Minutes

Wednesday, May 15, 2019

Present:

Today’s meeting took place in the library at Olympic View Elementary @ 1330 Horne Street NE, Lacey,
WA 98516. ​Motion 1​ was made at 5:39 pm by Cherie LaFavor to call the meeting to order.

Introductions
Unnecessary.

Principal’s Report
Good turn out for the Kindergarten Open House, about 40 families came out! Over 160 kids came to the
bike rodeo, it was really fun! Jason thanked the PTA for their contributions and mentioned that Mrs.
Workman and Ms. Swan put in a big effort to make it happen and Ms. Crain was the cheerleader.

Ms. Swan’s concerts have been a big success; 5th grade concert is still to come and will include an
orchestra performance. A $5,000 grant has been awarded to cover half of a $10,000 project for
transforming the playground. This is for a training program that reduces behavior referrals at recess
down to 1 or 2 a week. They’ve done a successful trial run of the program which includes games, a
leadership component, and training for paras.

Ms. Crain shared a thank you card from the staff for PTA’s effort to put out food during Staff
Appreciation. They were all really grateful for all the work put in to keep food available, and warm, and
delicious.

Treasurer’s Report
Budget updates
Jolene went through budget line items with the group to further discuss what needs to be added,
removed or updated for next year. The plan is to have a preliminary budget ready for the June meeting.

We discussed only doing one or two food/restaurant fundraisers a year. A suggestion was made to do a
similar thing over the summer with Regal Cinemas.

Recommendations made for the PTA: specifically outline what an event is raising funds for, plan out
clearly and evenly spread fundraisers throughout the year - careful not to oversaturate with asks to the
parents.

Events and Fundraisers


Art to Remember
Cherie has gotten a stack of forms back for orders; she heard kids get very excited to participate.
She’ll mail the forms this Friday. Ms. Wyrick wants to help run the same fundraiser next year if we
can do it again.

PTA Sponsored Parenting Workshop - 5/21 Safety without Fear


We are offering childcare and light refreshments. Sarah asked that we confirm there are paras lined
up for next week, Jason said there is at least one, and there should be two.

BOGO Book Fair


5/29-6/4 Stacie will know when delivery is by early next week. We will be needing help with setup.
Hours will be 3:30-6:30 every day except the 31st to 8:30. An email will go out soon for volunteers.

Billy B
His event is at 6:30 on the 31st, and he’ll do an assembly the Wednesday prior to promote the
event. PTA will provide pizza. His event is an environmental presentation. He’s using this event to
video tape for his promotional material. The event is FREE!

School Dance
The dance will be on June 14, 7-9pm, maybe Jerod will DJ again. Another glow theme? Need more
lighting is the feedback.

Old Business
Attendees looked over the minutes from the March meeting.
Jason made ​Motion 2​ to approve the minutes. Ron seconded the motion. All were in favor. Motion
carried, the minutes from the last meeting were approved.

Bingo
We needed more prizes, but candy was a good last-minute filler. The baskets looked great, and the book
giveaway went so much smoother going by grade this year. We need to get cash banks onsite sooner,
and need to lock the gym or somehow keep people out until doors are open. GREAT TURN OUT! Terri
will do it again next year, and of course Ms. Crain. Next year we should attribute where the baskets &
prizes are coming from (which classes gathered what, Ron’s table, etc.).

New Business/Open Forum


The umbrella hole in the PTA donated picnic table needs a cap if possible. A student got their arm stuck
in there. Cherie is going to contact the company to see if they make one, but if not Ron can put in a work
order with maintenance for something.

Cherie explained the issues she’s been having with Budd Bay, and Ms. Trickle had a bad experience with
them over an order placed 6 months ago. The group agreed to try and switch to Tags Trophies for spirit
wear next year.

Closing
Next PTA meeting will be June 11 at 3:15 p.m.

Motion 3 ​was made by Jason to adjourn the meeting at 6:58 p.m. Ron seconded. Meeting was
adjourned.
